Changes since the year end: With effect from 1 September 2025, Carrie Burtenshaw and Ruth Nikolich
stepped down as trustees. Stuart Trewern and Jessica Bunce were appointed as Co-chairs on the same
date.
2. Structure, Governance and Management
Solefield Parents Association is an unincorporated association registered as a charity with the Charity
Commission for England and Wales Icharily number 11435461. The association is governed by its
conslilulion.
Trustees are elected by the membership at the Annual General Meeting and serve until they resign or are
replaced at a subsequent meeting. The Iruslees meet regularly throughout the school year lo plan and
oversee fundraising aclivilies, lo review the financial position of the association and to determine grants lo be
made to Solefield School.
New trustees receive guidance from existing trustees and the school's leadership. The association has no
paid employees,. all activities are carried out on a voluntary basis by the Iruslees and the association's
volunteers.
The day-lo-day management of the association's affairs is delegated to the elected officers.. the Chairman.
the Secretary and the Treasurer.

3. Objectives and Activities
The charitable objects of the Solefield Parents Association, as recorded with the Charity Commission, are-.
"To promote and fostergood relations behveen Solefigld School and the parents and lo raise
money for the purchase ofequipment and services for the children.~
Public Benefit
The Iruslees have given careful consideration to the Charity Commission's guidance on public benefit in
planning the association's activities. The association's fundraising events and activities benefit the pupils of
Solefield School, their families and the wider school community. All fundraising activities are open to the
school community and the proceeds are applied for the direct benefit of the children through grants for
equipment, resources and facilities. The trustees are satisfied that the association's activities meet the public
benefit requirement.
4. Achievements and Performance
During the year ended 31 August 2025 the association organised a range of fundraising events and activities
for the benefit of the school community. The principal activities were as follows..
Christmas Fayre- The annual Christmas Fayre continued to be a popular community event, raising nel
inwme of£4,522 after event costs of£73.
Disco- The association organised a school disco which raised net income of £2.802 after costs of £981.
Music and Curry Night- This popular social fundraising event raised net income of £2,622 after costs of
£3,623.
Golf Day- A Golf Day was held during the year raising nel income of £3,956 after costs of £3,207.
Summer Ball- The Summer Ball generated income of £19,833 against event costs of £22,036, resulting in
a nel deficit of £2,203. The Ball is the association's principal end-of-year event and, beyond ils fundraising
role, brings together parents, staff and volunteers to mark the close of the academic year and thank the
wider Solefield community for support given throughout the year. 11 is the most visible event in Ihe
association's calendar and plays a central role in drawing new parents into the volunteer base on which the
rest of the hjndraising programme depends., wilhoul it, the Iruslees consider that the association's overall
fundraising capacity would be materially reduced.
The principal cost element was the hire of a marquee £7,400, which was retained on sile and made available
to Solefield School at no additional charge for its annual Speech Day. Had the school procured equivalent
marquee hire independently, it would have incurred costs in the region of £10,000, which the trustees regard
as a meaningful in-kind contribution lo the school in addition to the cash grants disclosed elsewhere in this
report. In its inaugural year the Ball generated a surplus in excess of £10,000, and the commillee's pricing
and scale decisions for 2025 were taken with the ambition of retuming to th81 level of conlribulion. Taking
together the in-kind benefit to the school, the event's role in sustaining the wider fundraising programme, and
ils contribution lo fostering good relations between the school and parents. the Iruslees consider the overall
outcome consislenl with the association's charitable objects. The pricing and cost structure of the 2026 Ball
will be reviewed by the incoming Iruslees with a view lo restoring a cash surplus.
Merchandise and Unifomi Shop- The association continued to operate a school uniform shop and lo sell
branded merchandise, generating combined nel income of £3,183 from total sales of £4.186.
Grants to Solefield School
During the year the association made grants tolalling £17,584 to Solefield School. as detailed below. These
grants directly fulfil the association's charitable objects and represent a tangible and lasting benefit lo the
pupils of the school.

The largest grant was a £10,000 contribution to the new pre-school playground, providing an enhanced
outdoor leaming and play environment for the youngest children al the school. A further £5,000 was provided
to fund computer leases, supporting access lo technology across the school, and £1,021 was contributed
towards fencing equipment. Books were also purchased through Sevenoaks Bookshop1£2671 and funds
were provided to SLJPPOrt the Quiddilch programme1£1,2961, enriching the school's extracurricular activities.
5. Financial Review
The financial statements for the year ended 31 August 2025 show the following results..

Total income of £46,305 comprised fundraising income of £46,106 and bank interest of £199. Total
expenditure of £49,949 includes £17,584 of grants made directly lo Solefield School Irepresenling the
primary fulfilment of the charity's objects) 8nd £22,036 of Summer Ball event costs. Excluding the Summer
Ball, all other fundraising activities generated a combined nel surplus.
The net deficit for the year of £3,644 (prior year.. deficit of £5,766) reflects the combination of the Summer
Ball running at a nel loss and the level of charitable grants made lo the school during the year. The trustees
are satisfied that this outcome is consistent with the association's purpose of applying funds raised for the
direct benefit of the school community.
Reserves Policy
The Iruslees aim to maintsin sufficient free reserves lo cover the association's ongoing operational
commitments, including event float requirements and committed grants lo the school, in the period between
expenditure being incurred and fundraising income being re￿ived. At 31 August 2025 the association held
net assets of £30,154, comprising cash at bank of £29,174 and stock of £980. The Iruslees consider this
level to be appropriate given the nature and scale of the charity's activities and the association's forthcoming
commitments to the school.
Investment Policy
Surplus funds are held on deposit with Natwest Bank plc in an interest-bearing savings account. The
Iruslees, policy is lo seek a reasonable rate of retum on deposits whilst maintaining sufficient liquidity to meet
the sssocialion's operational needs. The trustees do not consider il appropriate to invest in higher-risk
instruments given the short-term nature of the charity's cash requirements.

I report to the trustees on my examination of the accounts of the above
charity {"the Trust") for the year ended 31108 12025.
Responsibilities and
basls of report
As the charity's trustees, you are responsible for the preparalion of the
accounts in accordance with the requirements of the Charities Act 2011
{"the Act").
I report in respect of my examination of the Trust's accounts carried out
under section 145 of the 2011 Act and in carrying out my examination, I
have followed all the applicable Directions given by the Charity Commission
under section 14515}(b) of the Act.
Independent I have completed my examination. I confirm that no material matters have
examiner's statement come to my attention in connection with the examination which gives me
cause lo believe that in, any material respect..
the accounting records were not kept in accordance with section 130
of the Charities Act., or
the accounts did not accord with the accounting records- or
the accounts did not comply with the applicable requirements
concerning the form and content of accounts set oul in the Charities
