## **Trustees' Report Arty Party Limited on the Accounts for the Year Ended 31 March 2023** 

The trustees present their annual report and financial statements of the charity for the year ended 31 March 2023. The financial statements have been prepared in accordance with section 396 of the Companies Act 2006 and with the methods and principles of the Charities Act 2011 and the Charities SORP (FRS 102) together with Update Bulletin 1. 

## **Structure, Governance and Management** 

The organisation is a charitable company limited by guarantee, incorporated on 18 February 2010 and registered as a charity on 21 June 2011. The company was established under a Memorandum of Association which establishes the objects and powers of the charitable company and is governed under its Articles of Association 

The Trustees when complete consist of at least three and not more than 15 individuals, all of whom must be authorised representatives of organisations in full membership, and must be elected through an open and transparent process, as shall be from time to time approved by the trustees. 

## **Objectives and Activities** 

The objectives of the charity are to improve the quality of life of people with disabilities within Shropshire and its surrounding areas, by promoting education and the arts, and through this improving individual health, social wellbeing and economic stability. Also to promote social integration and community cohesion, building trust, confidence and communication between people with disabilities and the wider community through the medium of the arts. 

We believe that by providing regular opportunities for people to meet and engage in positive, creative activity, we contribute to the social wellbeing of our members, families and carers involved in support, and the wider public. 

We run a variety of creative sessions for adults with learning disabilities, increasing the number of sessions, and expanding the time allotted, as well as adding to our repertoire. The sessions ran weekly, during term times. Sessions included Visual Art, Poetry and Story, Dance & Drama, Physical Theatre, Carnival Skills, Clay & Sculpture, and Music. We also held a cabaret night, open to the public, at which our members shared their work with the community. We used (safe) community venues for regular sessions, and encouraged the public to witness work and communicate with our members, building trust and confidence.

Arty Party delivered 324 creative sessions during this period, with around 55 participants, many of whom attended more than one session per week. Arty Party continued to work with local freelance artists and creative support, to ensure the quality of our offer. We contracted a publicity & marketing lead to support our social media presence, and the role of arts activity coordinator continued to be a valuable asset to the organisation. Our Bright Creative Futures project, supported by funding from Arts Council England, concluded during this period. Arty Party’s Board of Trustees met regularly during the year. 



## Some of our achievements month by month 

## **Apr-22** 

**Boundless** . April 5th marked the final day of the term before Boundless had a break for the Easter Holidays. Over the last few weeks the group explored a variety of themes including Street Dance, Friendship, Formations and above all team work. April 26th saw the Boundless gang back together after a two week break for the Easter holidays. They were pleased to be back doing what they do best, creating, dancing and having a blast. 

**Art Room Ketley** On April 4th we took inspiration from Picasso and learnt about cubism. We looked at line, proportions, side and front views, crossing these as Picasso did, cutting up facial shapes and features and placing them at different points. A gorgeous Easter card was made too. 

**Art Room Shrewsbury** . On April 4th the day’s session brief was inspired by suggestions from the group. The art group created half and full faced self portraits in the style of a  poster from the musical Hairspray. April 25th. Inspired by a participant’s art workshop theme of  ‘Community’, we created our own perfect mini paper communities, using drawing and folding techniques. 

**Clay Room.** April 1st. We created Picasso style portraits, to be developed into reliefs. April 5th. Wild flowers were pressed into clay and set onto slate. April 9th. We designed our favourite meals, then made them as a relief piece. April 25th. Great to see everyone. Some cool Picasso face inspired reliefs in their first phases of creation. 

## **May-22** 

**Art Room Shrewsbury.** May 9th. In honour of the Star Wars films ‘May the 4th be with you’ day, a theme suggested by a participant, we designed robot style self portraits. May 23th. The theme was another group idea - Flower Power! Forever flowers, made using paper and card, and attached to a sheet of paper/card to create a relief design. 

**Arty Party Films.** We were excited to be sharing The Secret Life of Tom Lightfoot at The Skiptown Playhouse in East Hollywood, Los Angeles as part of the Believe Psychology Film Festival. The Secret Life of Tom Lightfoot is also to be screened in the House of Commons, amongst other award winning films from The Ealing Film Festival. 

**Art Room Ketley.** We began our dioramas, following a request to repeat them after our first go in lockdown over Zoom. 

**StoryMakers** . May 25th. Arty Party Storymakers worked with visiting artists from Complicité Theatre company, the first day of workshops and devising towards our 'Moving Pictures' performance. **Carnival Crew.** May 25th. Busy making crowns to mark the Jubilee. Lots of fun was had. **Clay Room.** May 1st. The group turned their Picasso style drawings into clay reliefs, learning the technique of scoring and slipping pieces. May 27th. A great imaginative and intuitive day. Magical monsters and fascinating beasts were made. Connecting with the medium. Great fun. 

**Boundless.** May 10th. A fantastic session during which participants explored, created and moved with particular emphasis on working with chairs. 

**Music Room.** May 9th.Arty Party Music Room goes from strength to strength! May16th .We were privileged to have performances by the Arty Party Shrewsbury Monday afternoon music group at the Art Room Shrewsbury art exhibition private view. 

**Crafty Crafters.** May 5th - 24th.The Crafty Crafters worked hard on a group project - a mosaic to go on the wall of In Good Hands. The theme was summer and nature. May 24th. The Summer Time mosaic was complete and looked fantastic! An amazing group project. Displayed on the wall at In Good Hands. 

**Tall Tale Tellers.** May 14th. The Tall Tale Tellers were in action, performing a piece they wrote themselves. The group picks a theme, talks about what it means, what it looks like, how it feels, then creates a story and characters and brings them to life. 

**Art Room Shrewsbury.** May 13th. The group got ready for the opening of their exhibition and private view on Monday 16th May from 12.30pm. May 16th till 19th June - Shrewsbury Monday Art Group, Art exhibition. 



## **Jun-22** 

**Arty Party Films.** 26th June. We announced The Secret Life of Jim Henry would be screened in Niteroi, Rio, Brazil, between July 4th and 6th as part as FIFH festival. On 30th June there was a screening of The Secret Life of Astrid North, at the Other Film Festival in Freemantle, Western Australia. 

**Art Room Ketley.** 20th June. Dioramas coming along nicely. 27th June. Optical art was very tricky! **Art Room Shrewsbury.** 6th June. Summer themed, still life, 4 different drawing styles. 13th June. Created paper concertinas to make sculptures, then photographed them, playing with shadows and angles. 20th June. The group developed fingerprint paintings into wildlife and abstract pattern themes, using a variety of other art materials. 27th June, worked on life drawing with members and the facilitator as models. 

**Night Out.** 17th June. We held the first Blue Cat Cabaret at the Buttermarket, Shrewsbury. There were performances by Storymakers, Tall Tale Tellers, Nathan Campbell, Boundless and the Arty Party Band. **StoryMakers.** June 6th. Arty Party Storymakers were hard at work creating a new theatre piece in collaboration with Theatre Complicite, learning new skills and new ways of creating theatre. **Carnival Crew.** On June 23rd the group made crowns, flags, and bright, colourful fish. **Boundless.** June 21st. The group continued to explore and move with props. They focused on newspapers and how they could create their own dramatic headlines, generate duets as they danced and find ways to work together, and share what they made. 

**Clay & Sculpture Room** June 10th. Clay Room renamed themselves Clay & Sculpture Room, which enabled the group to expand the materials and the techniques to create even more variety of creative work. We started our new work by looking at the artwork of Giacometti. We used tinfoil and newspaper to create our own people looking at human form and human poses. 

## **Jul-22** 

It was Arty Party‘s intention to take part in the Commonwealth Games opening at the quarry in Shrewsbury in partnership with Shropshire festivals. Sadly, due to unusually high temperatures on the day of the opening ceremony, we made the decision that it would be unwise for us to take part. **Arty Party Films.** The secret life of Tom Lightfoot is being screened at the Abbott Kinney, Fantastic Film Festival. The festival took place on the 14th of August. On July 17th Arty Party were excited to announce that The Secret life of Astrid North had been selected for the Wild Indie Sci-fi and Fantasy Festival in Greenwich, London. 

**Art Room Shrewsbury** created folded cityscapes and twisted and moulded tree sculptures, using brown paper and cardboard. 

**Boundless** continued to explore all the fun and drama that the joy of newspapers brings. There was some great imaginative work from our fabulous talented participants. **Clay & Sculpture Room** continued to create figurative sculptures. **Crafty Crafters** experimented with making paper flowers. 

## **Aug-22** 

Our newsletter went out and we announced that The Secret Life of Astrid North would be screened at the Radiance Film Festival in Lagos, Africa, between 21st - 27th of August. On the 23rd of August there was an announcement from Box, a media arts festival, that they would be screening The Secret Life of Astrid North. 



## **Sep-22** 

## **Music Room** became known as **Arty Party’s Blue Cat Band Practice** 

**Movie Music & Movement** we launched a new group run by local musician Gemima Gallier. By the end of September the group had grown well and were having fun singing well known songs chosen by the group. This meant our Mondays at In Good Hands in Shrewsbury became a day of professionally led music sessions. 

**Boundless** the group moved to the Park Lane Centre from Leegomery Community Centre. We were awarded £6000 from Energize, which enabled us to move the group to a larger venue, to create new marketing material and to increase the size of the group to ensure sustainability. Boundless started the term using hula hoops and scarves with the theme being Commonwealth Games. 

**Art Room Ketley** made owls from paper plates, experimented with autumnal, leaf printing, using safe print, mono printing, and creating a large freeze. 

**Carnival Crew** constructed paper, crowns and lanterns in the new space at Park Lane. They continued the month, creating butterfly pictures and hand mobiles. 

**Sculpture & Clay Room** made pots, impressions and rape wax moulds later in the month. They used the thumb pot technique to create acorn and pumpkin leaded pots. 

**Arty Party Films** continued their success with the trailer being released for The Secret Life of Astrid North on the 25th of September. It was also announced that the Secret Life of Tom Lightfoot would be screened at the Odeon cinema in Leicester Square on the 16th of October. 

## **Oct-22** 

**Boundless** continued to meet at Park Lane and gel as a group. 

**Art Room Ketley** designed and decorated Mexican inspired day of the dead masks. They created Christmas card designs and used oil, pastel and paints to depict firework scenes. They also created paper lanterns in preparation for a hair raising Halloween boogie on the 14th of October at Ketley Community Centre. 

**Crafty Crafters** decorated plyboard hearts using wooden craft, letters and paints, working on ‘less is more’. The following week they made a firework display collage using construction paper, felt pipe cleaners, and glitter, and exploring colour and textures to create lively explosions from the paper. **Arty Party Films.** On the 26th of October a selection of Arty Party and disability themed short films were shared by Working Together Ludlow at the Ludlow assembly rooms. A small group of participants travelled to the venue to take part in a question and answer session. The secret life of Tom Lightfoot was nominated at the Secondi Film Festival in Spain. 

**Sculpture & Clay Room** created coiled gunks. We also made gunks using various other techniques such as pinch pot and slab rolling. 

## **Nov-22** 

Our newsletter went out to all members. 

Funding from Energize supported the purchase of a giant parachute, rainmakers and drums. **Story Makers** on the 7th of November we announced that A Safe Place to Rest would be screened as part of the Brighton Screen Dance Festival. A trophy arrived from Italy, from Secindi Film Festival, to honour The Secret Life of Tom Lightfoot winning first prize. 

**Boundless,** on 9th of November, looked at friendship, creativity, teamwork, imagination, fun, and being who you want to be. We purchased the parachute for the group on the 29th of November where they also built shelters, danced with scarves and prepared for hibernation. 

**Art Room Ketley** made Christmas dioramas. 

**Carnival Crew** worked on Rosso inspired underwater collage on the 9th of November. They made Christmas decorations and shining stars in the clay and sculpture room.  Crafty Crafters made beds for their mobile phones, from painted wooden crates with textile editions. They created Christmas cards, wooden Christmas trees, paper angels, Christmas decorations and star garlands. **Tall Tale Tellers** held a session on the topic of being kind, and created a poster. 



## **Dec-22** 

**Arty Party Films** . The Secret Life of Tom Lightfoot was awarded a Golden Elephant by Short Break Films, in Romania, for the best mental health film. The film was also shown at the Oscar Bright film festival at the National Glass Centre with Sunderland short film festival. 

**Crafty Crafters** created glittery unicorn decorations for the tree. **Clay & Sculpture Room** produced angels and gunks. 

**Night Out.** On the 13th of December, we had our Christmas Night Out at the Belmont Hall. We chose to use Eventbrite to ticket for this occasion. 

We held our annual AGM on the 8th of December. 

## **Jan-23** 

In January 2023, Arty Party advertised our creative sessions in the Shropshire Council community directory. 

**Art Room Ketley** created pointillism trees, and marble hearts for the bunting for our Valentine’s Night Out bunting. 

**Carnival Crew** created a Valentine’s selfie frame for our Valentine’s Night Out. **Clay & Sculpture Room** made clay tortoises. 

**Crafty Crafters** made paper, flowers, wreaths and table decorations for Valentine’s Night Out. 

## **Feb-23** 

**Art Room Ketley** created portraits of each other. 

**Arty Party Films.** Oscar Bright film festival’s ‘Oscar Bright in a Box’, screened The Secret Life of Jim Henry and The Secret Life of Tom Lightfoot. 

**Arty Party’s Blue Cat Band Practice** continued to write their own songs and learn to perform them. More band members began to play instruments. 

**Crafty Crafters** created fairy doors and gardens. 

**Night Out.** On the 14th of February, we held our ‘Hearty Party’ Valentines themed night. We posted a volunteer callout which was very well received and brought in a lot of support for the evening. 

## **Mar-23** 

**Crafty Crafters** created a Skyline of Shrewsbury wall hanging on the 13th of March. **Magic Kev performed for Arty Party’s Blue Cat Band.** 

**Carnival Crew** created a flower power selfie frame, ready for our next Night Out. 

**Art Room Ketley** created hanging flower and springtime items for room decor. We created Van Gogh style works, and in the clay and sculpture room we carried on building on our pinch pot technique. **Arty Party Films.** The Secret Life of Tom Lightfoot was screened by Borderlines film festival. **Arty Party’s Secret Lives** films have now shown at 68 international festivals, with a total of 120 screenings, to live audiences of 5000, and online audiences of 7000. The series has won 10 international awards. 

We launched our new website at **arty-party.org** , designed by Silver Marbles. 

The Arty Party year ended with news of a successful funding bid to Arts Council England for our Alive and Kicking programme, which will see our creative groups collaborate on three live Blue Cat Cabaret evenings. 

## **Reserves Policy** 

Arty Party applies for funding from various sources, depending on the type of funding required to meet 

the charity’s objectives at any given time. 

In order to be sustainable, we also charge a reasonable hourly rate for participants attending our creative sessions, covering venue hire, facilitation and support, insurance etc. 

The restricted funds are made up of grants and are spent according to the grant requirements which assist the Charity in meeting its objectives. Any money left over at the year end is kept in reserves to be spent in the following year.

## **Basis of independent examiner’s report** 

**-** We report on the accounts of Arty Party Limited for the year ended 31 March 2023 which are set out on pages 2 17. 

The trustee's (who are also the  directors of the company for the purpose of company law) are responsible for the preparation of the accounts. The trustee's consider that an audit is not required for this year under section 144(2) of the Charities Act 2011 and that an independent examination is needed. It is our responsibility to: 

- examine the accounts under section 145 of the 2011 Act; 

- to follow the procedures laid down in the General Directions given by the Charity Commission under section 145 (5)(b) of the 2011 Act; and 

- to state whether particular matters have come to our attention. 

## **Basis of independent examiner’s statement** 

Our examination was carried out in accordance with general directions for an independent examination.  An examination includes a review of the accounting records kept by the charity and a comparison of the accounts presented with those records.  It also includes consideration of any unusual items or disclosures in the accounts, and seeking explanations from you as trustees concerning any such matters.  The procedures undertaken do not provide all the evidence that would be required in an audit, and consequently no opinion is given as to whether the accounts present a 'true and fair view' and the report is limited to those matters set out in the statements below. 

## **Independent examiner's statement** 

In connection with our examination, no matter has come to our attention: 

1. which gives us reasonable cause to believe that in, any material respect, the requirements

to keep accounting records in accordance with section 386 of the Companies Act 2006; and

For the year ended 31 March 2023 the company was entitled to exemption from audit under section 477 of the Companies Act 2006 relating to small companies. 

Directors responsibilities: 

- 1) The members have not required the company to obtain an audit of its accounts for the year in question in accordance with section 476, 

- 2) The directors acknowledge their responsibilities for complying with the requirements of the Act with respect to accounting records and the preparation of the accounts.

## **Arty Party Limited Notes to the Financial Statements for the Year Ended 31 March 2023** 

## **1. Accounting Policies** 

The principal accounting policies are summarised below. The accounting policies have been applied consistently throughout the year and in the preceding year. 

## **(a) Basis of accounting** 

The financial statements have been prepared under the historical cost convention and in accordance with the Companies Act 2006 and the Charities SORP (FRS 102) together with update Bulletin 1. 

## **(b) Fund accounting** 

Unrestricted funds are available for use at the discretion of the trustees in furtherance of the general objectives of the charity. 

Restricted funds are those donated for use in a particular area or for specific purpose, the use of which is restricted to that area or purpose. 

## **(c) Incoming resources** 

All incoming resources are included in the statement of financial activities when the charity is entitled to, and certain to receive, the income and the amount can be quantified with reasonable accuracy. The following policies are applied to particular categories of income: 

Voluntary income is received by way of grants, donations and gifts and is included in full in the Statement of Financial Activities when receivable. Grants, where entitlement is not conditional on the delivery of a specific performance by the charity, are recognised when the charity becomes unconditionally entitled to the grant. 

Items donated for resale through the charity’s market stall are included as incoming resources within activities for generating funds when they are sold. 

Incoming resources from charitable trading activity are accounted for when earned. 

## **(d) Resources Expended** 

Liabilities are recognised as soon as there is a legal or constructive obligation committing the charity to the expenditure. Expenditure is recognised on an accrual basis and is reported as part of the expenditure to which it relates: 

Costs of generating funds comprise the costs associated with attracting voluntary income and the costs of trading for fundraising purposes including the charity's market stall. 

Charitable expenditure comprises those costs incurred by the charity in the delivery of its activities and services for its beneficiaries. It includes both costs that can be allocated directly to such activities and those costs of an indirect nature necessary to support them. 

Governance costs include those costs associated with meeting the constitutional and statutory requirements of the charity and include the Independent Examiner's fee. 

All costs are allocated between the expenditure categories of the SOFA on a basis designed to reflect the use of the resource. Costs relating to a particular activity are allocated directly, others are apportioned on an appropriate basis e.g. Floor areas, per capita or estimated usage. 

## **(e) Fixed Assets** 

Fixed assets are stated at cost less accumulated depreciation. Depreciation is provided on tangible fixed assets so as to write off the cost or valuation, less any estimated residual value, over their expected useful economic life as follows:

Impairment reviews are carried out as and when evidence comes to light that the recoverable amount of a functional fixed asset is below its net book value due to damage, obsolescence or other relevant factors.

## **2 Voluntary Income**

## **7 Trustees Remuneration & Related Party Transactions** 

No members of the management committee received any remuneration during the year. No Costs were reimbursed to any members of the management committee throughout the year. 

No trustee or other person related to the charity had any personal interest in any contract or transaction entered into by the charity during the year. 

## **8 Taxation** 

As a charity, Arty Party Limited is exempt from tax on income and gains falling within section 505 of the Taxes Act 1988 or s256 of the Taxation of Chargeable Gains Act 1992 to the extent that these are applied to its charitable objects. No tax charges have arisen in the Charity.
