Organising a conference
During the year. the t<)ard of direclors met monthty Io CA)nsider the strategc direction ol the
organisation and make deusions on mallers arising They also eslatAished an organising

Autscape conlereftce The Organising committee was lead by an Evenl Manager wth a core team
of managers and ¢Xher volunleers.

conferences we had resorted lo had been successlvl the board decided they would like to keep an
online element running cont)Jrrenlly wlh the live evenl In line wrth Autscape's mission we

comfort ol their own homes
Venue. The tk)aid had originally secured Gig￿e$￿ICk schod for ils 2020 venue which was held
over until 2021 due to the Covid lockdown. In 2021 when we were unable lo still have a live
o￿le￿ence we had hoped Ihal Giggleswick school would slill ￿ available. Sadly, the changes
twoughl about through lod(down meant G￿gle5Wick were unable lo offer their facilities lor 2022.
This meant the board had lo find another seth.ng Having nol had a live conference lor 2 years and
having established a larger than expected contingent ol online participanls the board lelt they could
risk a larger venue°wilh people voicing (￿inionS Ihat thay were k)okn'ng lorward to coming bad( or
coming lor the first lime
The board decided Dn The Hayes conference eefflre in ANreton. Derbyshire. whictt had good
accessibility as well as a lol ol SFngle rooms and en.suites whith were incxeasingly being asked for.
It also had good links lo ral stations and airw>rts Although more expenswe than Gsggleswck the
board considered it gcth value in thal it could meei the neods ol our growth and Ihe higher
expeclalions ot participants For an en-suite room either single or shared il cost £330 per person
and we also had a limited amount of standard rooms lor £295 per person
The Hayes cmference certtre also had a variety of gC￿ communal aTeas th Ihe accommodation
being attached. There weie Klenty ol ground Iloof rooms adapted looms as well as family
rooms with a variety ol options. The conference centre wa5 also surrwnded by gardens with
sealed terrace, lakeside area an¢J it also had a bar.
This venue proved lo be well liked with the comrnun￿ areas 5walising providing plerrty of
scope lor dirferenl acb"vilies. Though a little largèr than most of our other venues tt did mean more
walking than usual lor participants lo access sorne ol the actiwties but on the whole this was not a
problem The larger grounds wilh ihe lake also Provided a relaxing place lor those that enjoyed
walking and due to excellent weather people were able lo take advaniage ol the lawns and terrace
well into the evening The Icx)d was also generally well liked and ol a high slandard wlh specjal
¢Jiels catered lof but a small PTOPOrtion ol participants would have liked more clh)ice The staff were
Fdeasant and helpful and qLbickly onharKI to sort out any prol)lems.

Transport. .The Hayes conference cenlre was only a short journey from Alfreton station bul wilh
many mwn line trains going through Derby we decided lo provide IrarEsport lo and from both
stations. Unlortunately we were unable to hire a coach company ￿nce many had stop@ tradtng
due lo Covid so we had lo resort to hiring a 17 seal mini bus arKI transporting people ourselves. We
were unable to charge lor this but many people willingly donated lo Autscape which olfsel the cost
Costs. Partiapant registratkin cos15 were arkolher key issue ￿nsidered by the direc￿. The vast
majority of the regislralii)n fees paKI by Autw particl￿nts cover the cost of hiring the
conference venue, including accommcKlation and calering Aulscape does not seek lo make money
from the annual conlerence Rather. the final lees are set by the tlirectOTS wlh the aim ol breaking
even. Nevertheless. the Board must ensure that Ihe costs ol attending Ihe ￿nference are within the
ach of potential yarticipants.
Even though ihe 2022 venue was lairty expengve the conference was good value for money as we
were able to provide en-suite rooms ané good lacilib.es li offered access lo a resbdential ￿aY
conference wlh lull board lor between £295 and £330 depending on t￿kn"ng optM)ns We also had
a bursary fund lor people on low ir￿MeS.
Following the success ol a(Jding ￿ fourth optional day in 2019 we also offered this again.lor an
additional £95 This was a ielaxab¢M day wilhoul any programme so il didn't disadvantage those
who could not afford lo slay.
For people who were only able lo attend Ihe online event we charged £10 which the board
considered to be go(* value considering rt gave them acce5S to ￿1 the rn￿n presentatsons and
online social space.
Reglstration. This time we opened registrats.on on a first C4)me Iirsl served basis as we knew we
had a big venue lo lill. Wifh covid restriclions only just being lifted we were also unsure how many
peO￿e woukl regijter The 4ntenlion was to close registration eady il necessary and I￿ld back
sorne places lor those who were not quick enough to book straight away so they were not
disadvantaged However. as Ih"e venue had a biggef capaoty than we were exclusively contracled
for and wilh many people opling to share looms we found we could keep registration open until
numbers were required by the venue 2 weeks belore Ihe event
Publicity. Autscape 2022 was put1￿1$ed in Aspeiger United magazine Isupplied at Thi charge). a
quarterly magazine written by and for people on the autism SF*clrum, in addrtK)n to being
advertisetl via the Aut5cape website and word of mouth. The level of prornolion lor Aulscape 2022
appears lo have been adequale to achieve an Increase in numbers registering lor Ihe conference.
Autscape still needs lo adopt a conservative approach planning advertlsing lo ensure resources
and polenbally.lunds are not deployed puthng demand ggniti¢antty beyond the number ol limited
places avatlable.
Merchandise and sensory equipment. This year the ljoard not purchase any new sensory
equipment but a skn￿l selection ol sensory toys and glow products alongside some soft toys were
available to purchase and we had sC￿e T-shirts. Tedd￿5 and bags with the Autscape logo on them
which were very popular.

Achievemènts and performance
The Aulscape 2022 Conlerence
In 2022. Aulscape held ils 18th anoual ￿lerer￿e on 8th-11tli August al The Haye5 Conle¥ence
Centre, Allrelon, Derbyshire. This was a live event ￿lh an on-line element ft)r wh.ch we used Zoom
with additional content on DiscNd.
This year's Iheme was 'lnlerdependence' which was a pur[￿SelY broad theme intended lo eX￿Ore
how the autistic community rely on each other, what support we doldonl need, and what we can
offw lo the autistic ￿MMunIty, and swety al large. We had presentations and workshops and
these were INe streamed where possit4e to lh8 on-line parh"cpanls
The evenl was attended by 319 partiopanls Mlh the maiority attending for the full residential event
and a small proportion just attending lor the day This included aulistiG and nonwautistic adults. their
hildren and carers. 01 these. 91 also booked for the additional day We also had a further 222 join
us for the online oyty event This is the largest number of people to have attended an ALrtscape
conference since they began in 2005 While this number altesls to the resounding success ol
Aulscape. rt is a continuing challenge to try and lind venues that meet the needs ol mobility
impaired parts"upanls and lulty accessible whilst still maintaÉning reasonable costs lor all.
Aulscape 2022 rart lor Ihree days during vthth there were VrfMk￿pS. leisure aclivilies. soual
opportunities. and the Annual General Meeting All ol these a¢tJvilies were SpeuI￿allY oriented to
the needs and preferences of aulisiic people. in line with Autscape's core miSS￿n. A fourth day was
optional lor relaxing and winding down.

Fundraising
Aulscape continued lo be part ol the Give As You Live and PayPal Giving Funé lundraisiThJ
plallorms in order to caplure a smal but ￿tentialty sleady stream ol donaliori&
Give As You LNe is a lundfaising plaltom.lor UK charilies and their supwrters. To make donatiorbs
on purchases. shoppers just need to sign up to Give As You ￿Ve. Sele￿ The Aulscape
Organisation as their favourite charity. install a Give As You Live program on their computer, start
shopping, and the money lup lo IO% ol the lolal online purchase) is donated lo Ihe charity.
PayPal Giving Fund helps peO￿e support their favourile charities online and helps charities raise
funds through PayPal, EBay and other technology platrorms
ALrtscape raised £37 50 via PayPal Giving Fund during the reporting period

Autscape has a'community. mailing list wrth moderators and this is popular swth a portion ol people
who have attended Autscape at various times to tliscuss the conference. share things of inteiest
relating lo Autism in general, and mainl&n social links as an exlension ol the networking
opportunities Ihe Autscape conterence provides. It is ￿¢0 a place where people who Cannot get lo a
conlerence can communicale olher aulistic Fewe ￿ a sale on4ine environment
Autscape also nrns variws sub wmmittee lists in order.for peorAe to become aclivety involved in
o¥ganising Ihe Conference. The most popular is the programme sub ccrnittee where proposals to
present al the nexl conference are di￿USSed.
Membership

The current membership lee is sei at £5 00 and members receive inlormats.on via our members list
and anr￿unce list Members who b(K)k a place at our annual conlerence also receive a £5 C￿1
discount on the lee.
Membership stood at 142 people as of 301h Septenknr 2022. compared to 277 people as 0130th
September 2021. This decrease 15 due to a ts.ming anomaly as wdl as a larger number ol pe￿tr
altending the online onfy evenl in 2021.

The board have continued Autscape's membership of the European Council ol Autislrc Pèople.

enabling Autscape to provide a professional online conlerence lo a large amount of people
Aulscape is represented on the board and therefore ab￿ to lake part in discussions and be
informed ol issues allecting the European community
We also collaborated with a group ol vdunteers who raised money lo prO￿￿e bursaries specrfically
lor people ol t￿lOur to atlefid Autscape The board welcomed this as an inrtiative that hèlped 14
people ol colour lo attend and we have opened a dialogue wilh people ol colour Organisat￿n$ and
Tepresefilatives so we can better meet their needs al future conlerences and encourage more
people ol ccAour lo atterKI..
Technology
We have conljnued lo develop the Autscape Web￿te and we used T￿tet Tailor lor the conference
booking system. We also ulilise(I Zoom arKI Dis(x)rd lor the conferen￿.

organising structure in that an organising committeelmanagement learn and not the board were
delegated main responsibility lor behaviour at the event Serious behaviour issues may still bè
escalated to the board especialFy those which may require some lurther action
Bursary Scheme
The board inlroduce¢J its lirst Buisary scheme low Ihe AUl￿ape 2018 conference. The aim being lo
make Autscape accessible lo peffjqe who would oiherwse not be able to affoTd lo attend.
During the previous Iwo years ol onty low fee online conference5 we (hd not awaré any bursaries.
As a result the bursary fund carried forward from the eThJ of Ihe 2021 reporting period was £2016
The bursary commiiiee considered all applicaiions and we used the whole of the fund granting
bursaries to Ihe 10 people who asked lor one with arnounts ranging between £50 and £200
Hopefully we will bie able to donate an amount ol money to a bursary fund every year frorn now on.
Summary
Having been impacled heavily by Coronaviws Iw the pTevious years we were pleased to be
able to bring back a live Confe￿nCe Whilst the charrty was able to continue to make a difference 10
the circumstances of ils benelrciariés by providing an on-line replacemenl event. il was Ihrilling and
refreshing to be able lo bring back pgople to real autists"c space where participants fell salè and
accepted whilst leaTning and exploring aspects ol their own and oltters. autssm. We were also able
lo use Ihe skills we haé a¢quir8d through only having on-line events to reach even more people by
keeping the on-line facility lor those who were not able to gel lo a live event
This has a wder benelit to sc*iely as a whole in Ihal Ihe more people we can delNer our
conference to, the better able we are lo educate people"about the challenges aulistic people face
and how they can be better supported arKI accepted irK1ividually and as an autisli¢ corNnunily.

Aulscape has continued to make sure its finanaal p[c￿edUreS are ol a h￿h standar(l and by d05e

since Covid iestiictions had only recenlly been lifted Ihere was still some trepidation around mixing
with large groups and Iherelore the oveiall attendance was too low to break even

Reserves Policy
The reserves exist so Ihat the charity is able lo continue even il Ihere is some expenditure that is
unplanned However, reserves are hamilul rf they are al￿ed lo ixjild up without limit instead ol
being spent on charitable adiwlies.
There is balance to be made between the goats ol making the charity robus1 and not holding on lo
excessive funds Autscape has a sirnple reserves policy- rt aims tor the reserves lo be between Iwo
limits. 11 the reserves fall under the lower limit. or above the highei lirTiiI. Ihe board have lo lake
aclion to increase or decrease the reseNes as appropriate.
The reserves are currently set al £5(K)O lor the lower limtt and £8000 lor the higher limit The
reserves hekl at the end ol the financi￿ period were £8,566, with Ihe SUTpfus being used towards
the venue Lleposit for Autscape 2023. demonslraling how Aulscape is planning rts activities in
advance.

Structure, governance and management
Governing document
The Autscape Organisalion (Autscapel is a company limited by guarantee and govemed by
ils Memorandum '& Artides of association dated July 2010. The Autscape Organisabon is
registered as a Charity with the Chartlies Commiss￿.
Conslitulion and recruitmenl of trustees
The directors ol the company are also charrty Iwslees for the purposes of charity law and under the
company's Articles are known as Ihe Board. Undei the requiremenls ol Ihe Memorandum and
Artides of Associat￿￿n membefs ol the Board are elected to serve lor a per￿ ol three years aft
which Ihey must be r￿lected al the nexl Annual General meeh.ng Board members are elected to
roles by the t￿ard and with Ihe eX￿pIlOn ol the Chair and vice Chair are elected annually, they

and Martijn Dekkei was elecled a5 vice-thair. Richard Chandler remained as the Treasurer and
Elaine Binhammer remained as Company secretary.
