Objectives and activities of the charity

Concerts in the West's objectives, as set out in its governing document, are to educate the public in the art of music in all its aspects through the presentation of professional public concerts, talks, workshops and masterclasses.

The trustees have had regard to the Charity Commission's guidance on public benefit in managing the activities of the charity.

Achievements and performance

Started in Ilminster and Lyme Regis in 2006, Concerts in the West has now blossomed into a series of nine or ten concert tours each year by outstanding young musicians. They perform in Dorset and Somerset over a period of between two and three days. They are all trained to post-graduate level and plan to make classical performance their career. The tours give them the opportunities to perform for small audiences in intimate venues and to work on the same repertoire several times in a short period of time. They find it rewarding, challenging and productive. The audiences are privileged to hear such fine playing outside of London venues.

The 19th Season took place during the period 16 February to 16 November 2024 with the following performances.

Structure, governance and management

The trustees contribute to the day-to-day running of the charity as there are no paid staff currently. The roles undertaken are:

One third of the trustees is required to retire at the Annual General Meeting each year, although those trustees may offer themselves for reappointment. The board of trustees is keen to appoint new members and intends to concentrate on this in the future.

The charity's bankers are NatWest plc, 26/27 Fore Street, Taunton, Somerset TA1 1JQ.

The financial position of the charity at 31 December 2024 and comparatives for the prior period, as more fully detailed in the accounts, can be summarised as follows:

Ticket sales, along with associated income and venue expenses, remained broadly consistent with 2023 levels. However, donation income showed a notable increase compared to the previous year, due in part to the receipt of a particularly generous grant in 2024. Expenditure saw a rise primarily in two areas: fees paid to musicians and the fee paid regarding the preparation of the programme notes. Thanks to prudent financial management in prior years, the charity has been able to draw on its reserves to maintain progress toward its objectives throughout 2024. The trustees continue to explore opportunities to raise the charity’s profile and broaden its reach, ensuring long-term sustainability and engagement with a wider audience.

The trustees have considered whether it is appropriate for these accounts to be prepared on a going concern basis. Having reviewed the charity's activities since the year-end and its anticipated future operations, the trustees are satisfied that the going concern basis is appropriate.

It is the company's policy to try to maintain a sufficient reserve of unrestricted liquid funds to smooth out fluctuations in cash flow and deal with unexpected costs.

The policy states the company should have 3 months of overhead costs. The funds in our current account are adequate to cover this.

Statement of directors' and trustees' responsibilities

The charity's trustees (who are also directors for the purposes of company law) are responsible for the preparation of the financial statements in accordance with the terms of the Companies Act 2006, the Charities Act 2011 and Accounting and Reporting by Charities: Statement of Recommended Practice applicable to charities preparing their accounts in accordance with the Financial Reporting Standard applicable in the UK and Republic of Ireland (FRS102) (SORP FRS102).

Company law requires the charity trustees to prepare financial statements for each year which give a true and fair view of the state of affairs of the charitable company and of the incoming resources and application of resources for that period. In preparing the financial statements, the trustees are required to:

The trustees are responsible for keeping proper accounting records that disclose with reasonable accuracy at any time the financial position of the charity and to enable them to ensure that the financial statements comply with the Companies Act 2006. They are also responsible for safeguarding the assets of the charity and hence taking reasonable steps for the prevention and detection of fraud and other irregularities.

The trustees are satisfied that the charity is entitled to exemption from the requirement to obtain an audit under section 477 of the Companies Act 2006. The trustees also consider that the audit requirement of Section 144(1) of the Charities Act 2011 does not apply to the charity.

The trustees are also responsible for the contents of the trustees' report, and the statutory responsibility of the independent examiner in relation to the trustees' report is limited to examining the report and ensuring that, on the face of the report, there are no material inconsistencies with the figures disclosed in the financial statements.

This report has been prepared in accordance with the provisions in Part 15 of the Companies Act 2006 applicable to companies subject to the small companies regime.

Report of the independent examiner to the trustees of the charitable company on the accounts for the year ended 31 December 2024

I report on the financial statements of Concerts in the West on pages 6 to 12 for the year ended 31 December 2024.

Respective responsibilities of trustees and examiner

As described on page 4 the charitable company's trustees, who are also the directors of the company for the purposes of company law, are responsible for the preparation of the financial statements.

The trustees consider that the audit requirement of Section 144(1) of the Charities Act 2011 does not apply, and that there is no requirement in the memorandum and articles of the charity for the conducting of an audit, and that the accounts do not require an audit in accordance with Part 16 of the Companies Act 2006 and that no member or members have requested an audit pursuant to section 476 of the Companies Act 2006. As a consequence, the trustees have elected that the financial statements be subject to independent examination.

Basis of independent examiner's statement

My examination was carried out in accordance with general Directions given by the Charity Commission. An examination includes a review of the accounting records kept by the charity and a comparison of the accounts presented with those records. It also includes consideration of any unusual items or disclosures in the accounts, and seeking explanations from the trustees concerning any such matters. The procedures undertaken do not provide all the evidence that would be required in an audit, and consequently no opinion is given as to whether the accounts present a ‘true and fair’ view and the report is limited to those matters set out in the statement below.

In connection with my examination, no material matter has come to my attention which gives me cause to believe that, in any material respect:

1 Basis of accounting

The accounts have been prepared under the historical cost convention and in accordance with the Statement of Recommended Practice: Accounting and Reporting by Charities preparing their accounts in accordance with the Financial Reporting Standard applicable in the UK and Republic of Ireland (FRS 102) updated in October 2019 and with the Charities Act 2022.

2 Accounting policies

Income

Income is included in the Statement of Financial Activities (SoFA) when:

There has been no offsetting of assets and liabilities, or income and expenses, unless required or permitted by the FRS 102 SORP or FRS 102.

Grants and donations are only included in the SoFA when the general income recognition criteria are met (5.10 to 5.12 FRS102 SORP).

Gift Aid receivable is included in income when there is a valid declaration from the donor and a claim has been submitted to HMRC by the charity. Any Gift Aid amount recovered on a donation is considered to be part of that gift and is treated as an addition to the same fund as the initial donation unless the donor or the terms of the appeal have specified otherwise.

The value of any voluntary help received is not included in the accounts but is described in the trustees’ annual report.

Membership subscriptions received in the nature of a gift are recognised in Donations and Legacies.

Funds

Unrestricted funds are donations and other incoming resources receivable or generated for the objects of the charity without further specific purpose, and which the charity may use for its purpose at its discretion. Concerts in the West holds only unrestricted funds.

Expenditure and liabilities

Liabilities are recognised where it is more likely than not that there is a legal or constructive obligation committing the charity to pay out resources and the amount of the obligation can be measured with reasonable certainty.

Support costs have been allocated between governance costs and other support. Governance costs comprise all costs involving public accountability of the charity and its compliance with regulation and good practice. Support costs include central functions and have been allocated to activity cost categories on a basis consistent with the use of resources.

Tangible fixed assets

Tangible fixed assets are measured at cost less accumulative depreciation and any accumulative impairment losses. Depreciation is provided on all tangible fixed assets, other than freehold land, at rates calculated to write off the cost, less estimated residual value, of each asset evenly over its expected useful life, as follows:

Debtors

Debtors (including trade debtors and loans receivable) are measured on initial recognition at settlement amount after any trade discounts or amount advanced by the charity. Subsequently, they are measured at the cash or other consideration expected to be received.

Creditors

Short term creditors are measured at transaction price (which is usually the invoice price). Loans and other financial liabilities are initially recognised at transaction price net of any transaction costs and subsequently measured at amortised cost determined using the effective interest method.

The website was upgraded in 2021 to include a payment facility. The costs of doing so are being written off in equal annual instalments over the estimated economic life of 5 years. Further upgrade work was carried out during the year but this has been included in website costs.
