## **Report of the trustees for the year ending 31 July 2021** 

The trustees of Dame Allan’s Schools Parents’ Association (DASPA) Charity present their annual report and independently examined financial statements. 

As an organisation, DASPA are approaching their centenary and are an important part of the Dame Allan’s Schools community. 

## **Our Aims** 

To advance the education of pupil’s in the schools, in particular by: 

- Developing effective relationships between staff, parents and others associated with the school 

- Engaging in activities or providing facilities or equipment which support the school and advance the education of pupils. 

DASPA’s mission statement is to ‘advance the education of pupils by developing the community of parents, pupils and staff. The goal is to engage in community activities that help provide facilities or equipment which support the school and pupils.’ 

We have pursued the means to achieve this mission with an extensive schedule of fundraising activities. The main events in our calendar are a Christmas Fair, Summer Fair, Ceilidh, Refreshments at drama, music and dance events, a lucky numbers club, monthly uniform sales, parties and film nights, selling Dame Allan’s supporter merchandise (like hats and scarves), selling calendars, willmonth, teatowels and and our big fundraising event a biannual ball. 

Some expenses are incurred in pursuing these events like costs for the ball and ceilidh, while expenditure for items like refreshments, hats and scarves, cards and calendars are also made in the pursuit of a profit for the charity. All of the activities which incur expenditure have made a profit. 

We are lucky that for some activities like the Christmas Fair, Summer Fair, Ball auction and raffle, parents and carers generously donate items that we are then able to use as fundraising opportunities. We thank all parents and carers for their support. 

We are also fortunate not just to have the support of parents and carers but also of the staff and school itself. The generous opportunity afforded by using the school’s payment system to sell tickets for events, fundraising items like christmas cards and raffle tickets has meant that the charity is able to extensively explore many possible revenue streams. 

The profits made by DASPA are available for expenditure by the schools. Departments and schools are invited to put forward a fundraising request before a DASPA meeting to the Deputy Head of Pastoral at the school or deputy head at the Junior School. If the amount is 



under £2500 it can be agreed at the meeting or if it is more than this, then it needs agreement by the majority of trustees at a separate online or IRL meeting. 

At the meeting consideration is made that requests are additional and how many students would benefit from the purchase. 

Through this system we have agreed to purchase a kiln, aprons for food tech. We have actually paid for contribution to the snug, exercise bikes, chemistry thermometers, a weather station, volley ball net, an ice cream treat at the juniors for all pupils, a contribution to the sixth form ball plus support in school projects like the fashion show and a calendar for Allanian society members, designed by students. All refreshment income is given to the music and drama departments. These items can take time from agreement for the money to be requested by the school so the following items have been paid for this year. In total £8,548 was spent on school items. 

Our future aim is to ensure that the requests are aligned with the school development plan and to develop a strategy for fundraising with the school senior management team. 

## **Overview of 2020-21** 

What a great year 2021-2 proved to be for DASPA with not only a full normal calendar but also with some additional events. Laura Percy has been a brilliant co-chair for our busy Parents Association and a massive thanks to Wanwuri Akor for being a great Secretary. It’s with sadness we say farewell to Damian Bell, who we’re sure alongside Charlotte Bell will be forever stalwarts of DASPA each giving a very generous ten years of service. We’re so pleased to be welcoming Vicky Pitt as our treasurer this year. A massive thanks to all the active members of DASPA which enable our great events to happen. The financial statements for the year show how successful the DASPA Committee has been in raising funds for the school with a contribution of £28,610. 

We have as ever introduced new endeavours like a very useful sum up machine and an amazon smile account, big thanks to our new treasurer Vicky Pitt who has introduced these initiatives. We have also had new events like our successful uniform sales, parties for year 7 and 8, as well as a sports day breakfast. 

## Ball 

2021-2 was a Ball year, the Ball was a huge success. St James’ Park proved to be an iconic venue and ticket sales approached 300! 

The ball is our main fundraising activity and is with delight that we can report a record breaking amount of over £13, 200. This was achieved through hard work by the ball committee and support from the school and its community for innovative fundraising ideas like a Diamond Raffle and multiple sponsorships. 

The Diamond Raffle, Heads and Tails game and auction all raised additional funds on the night, while the photographer, disco and casino kept everyone entertained. Massive thanks 



to the Ball Team, Anneliese Kopko, Laura Percy, Vicky Pitt, Simon Taylor, Jocelyn Tantawy, Melissa Gaglardi and Vanessa Morrell. 

## Senior Parties 

Two welcome additions to the DASPA calendar were the year 7 and year 8 parties. Both were scheduled this year to make up for the Year 6 students missing out on a year 6 party. The students really enjoyed the parties and were not only a DASPA first but a Dame Allan’s first having a mixed school (DAGS and DABS) party. It was only the completely supportive teaching and no- teaching staff that enabled these parties to happen and the committee and we’re sure students were all extremely grateful. It is therefore with gladness that we are able to report that these events are now permanent fixtures in the DASPA calendar. Many thanks to the sub committee of Vanessa Morrell, Laura Percy and Sarah Johnson in organising these events. 

## Christmas Fair 

It was hoped that holding the Christmas Fair at the juniors would allow for a more socially distanced fair, outside. That was before storm Arwen. Some volunteers couldn’t attend as they were physically housebound and others came despite having no electricity at home. Many events had been cancelled that day and our fair had a great attendance and our very own santa and choirs made the event very festive. The fair was very successful and the sixth form helpers really enhanced the event. We raised a great amount of funds and we were all so pleased that for so many reasons the event was able to go-ahead. There was a great sense of community and atmosphere at this fair. Many thanks to the Christmas Fair sub committee of Vanessa Morrell, Laura Percy and Vicky Pitt. 

## Uniform Sales 

A major new initiative was introduced this year, with regular monthly uniform sales (alongside a coffee morning) at St James and St Basil’s Church. These have proved to be a great way not only to raise funds but also make friends and support the parent community. It is with heartfelt thanks that we take this opportunity to thank Rev James McGowan and his team at ‘Js and Bs’. Thanks to, our brilliant senior uniform subcommittee (Laura Percy, Vanessa Morrell, Vicky Pitt, Bronwen Deane, Julie Brazier and Jill Davies) who enable these sales to happen, with special thanks to Bronwen who makes everyone extra welcome with her homemade cakes. 

## Refreshments 

Our refreshments at concerts and performances were reinstated this year after COVID and have proved a popular part of DASPA’s activities, this activity has raised a great amount of money for drama and music. All monies raised are given to Drama, Dance and Music funds. Thanks to Charlotte and Damian Bell for initiating this activity and thanks to Laura Percy and Vanessa Morrell who now lead these events. 

50/50 



Many thanks to Anneliese Kopko organised the 50-50 lucky numbers club, we raised a great amount of money from this. It’s been fantastic that the competition has been re-inaugurated to such great success. Raising over £1170 for school funds. 

## Family Ceilidh 

We were thrilled to be able to hold our family Ceilidh. Our own school ceilidh bands and Irish dancers entertained us to music from the British Isles. Numbers were slightly more restricted than normal to manage covid and the tickets quickly sold out. A new addition to this ceilidh were pizzas that were shared by family which we’ll be exploring in more detail at our next event. Thanks to Vanessa Morrell and Anneliese Kopko for their organisation of this important event. 

## DASPA- Allanian Calendar Competition 

DASPA supported the school by holding a calendar competition with prizes for each class, where students were invited to design a picture for a calendar. These calendars were then donated to Allanians and local care home residents. 

## Junior School 

It is with great pleasure that we can report that the junior school offered a full range of DASPA activities this year. Despite one film night being re-scheduled for covid, everything took place. This included the summer fair which had record numbers of participants (over x adults) and raised a great amount of money. A welcome addition to this fair were the lambs and chicks from Mrs Hall and the delicious middle eastern treats provided by Ali Hussein and his family.. The regular Halloween, Christmas, Easter and Year 6 Party all went extremely well, ably led by Mrs Needham and most of the children in the year attended these events and they also all now know how to play party games! The year 6 party was a brilliant event and it was wonderful to be able to finally host this event after a two year absence. 

In the accounts there has been a time lag in some of the monies shown as we are lucky to use the school’s parent pay system extensively and school systems to pay suppliers within DASPA J, however, this can take some time for final amounts to be paid to DASPA. 

We are awaiting party and film night income and income from year 6 hoodie. This will be paid and clearly shown next year and we will endeavour to show the amounts in the correct year next year. 

## Fundraising items 

The calendar, teatowel and Christmas card fundraising activities were other successful activities that helped DASPA fundraising objectives. 

DASPA supports the junior school providing prizes for the annual bauble competition and easter egg competition which also contribute to income streams with the cost of entry. 



We have also raised money through DASPA merchandise items like supporter scarves and hats. 

Will month continued to raise funds in 2021-2, raising £800 this year. Many thanks to Emma Pringle for her generous support. 

The cookalong was a fun night which raised £180. 

## Supporting the school 

Yet, we have not only supported the school in raising funds and organising events for the Dame Allan’s Schools community but we have also supported the school at open days, jump in mornings and given parent volunteers for a survey on the school’s resources. 

One area we were able to support the school was in the fashion show, be providing judges and prizes. 

The schools have also supported DASPA and particular thanks should be given to the senior management team, Lyndsey Anderson and her team, Andy Forster and his team, Rebecca Miller, Rachel Plummer and Mrs Needham. 

## Year Ahead 

We hope in the year ahead to be able to offer this extensive range of activities while planning our next ball in 2024 and we hope to be able to help fund the school in a good variety of additional and beneficial activities and projects.
