3. Chairman’s report
CAT was unable to attend meeting today but PP stood in as chair for the meeting and read out Chairman’s report provided by CAT.
Good afternoon, Sorry I cannot be with you today as unfortunately I am at work. The 2022 AGM as come round quick and it’s time to make the changes that will make to club bigger and better, first of all I would like to thank everyone who has been involved with the day to day running our club, this is not an easy task but year after year we excel, a special thank you to Martin for all the work you do for the club, Jimmy for keeping an account of our

incomings and outgoings, Paul for keeping the ground in excellent condition which has been more of a challenge due to the summer we experienced, Vicky for keeping the bar stocked up, Caroline for giving up her evening to serve and to anyone else I may have missed. 2022 finally saw us in the South Yorkshire league and congratulations to the 2nd team who won division 8 by winning 16 of their 20 games, finished on 196 points (8 points ahead of the second-place team Houghton Main). The 1st team started their season in division 2, before a ball was bowled, we know this would be a tough division to be in but we managed to score enough points to see us finish the season in 9th place, 22 points above the drop zone which is a fantastic achievement so well done to both teams. Moving on to the ladies and again very positive, finishing 3rd in the league just behind the winners Tickhill and second place Sheffield Colligate and if I remember correctly on a sunny day at Carr Side Lane the winners of the Hardball cup, well done. As a club every season we take a step forward, we improved the till system on the bar to help keep a more accurate account, new bar pumps (still no cider on tap), we now live stream our home games for everyone to see, plans are still being drawn up to update the tired pavilion so we are moving in the right direction but one downside that needs to be addressed going forward is our behaviours towards other teams and supporters, we now live in a world where cameras are everywhere and any reports of us mis-behaving could damage our reputation. We have around 5 months before the start of the next season, so a lot of preparation is required. I would also like to welcome Michelle to the committee who will be taking on the task of club secretary. This leads me on to my position within the club and after a lot of contemplating I have decided to give the up my role as club Chairman, this was not an easy decision to make but with the club moving forward we would benefit for a Chairman who can be more involved with the day to day running and unfortunately this is not something I can do, at the start of every season I tell myself to be more involved but due to my own personal reasons this has not worked out so whoever is successful I wish them well, I have been with the club many years and if possible I would like to stay on the committee. 4. Secretary’s report.
RP stated that he had been unable to compile much of a report for this season as has been unable to spare the time to fulfil my role this year.
RP thanked Martin has he carried out the work of 2 (at least) and has kept everything moving forwards once again to the best of his ability.

has achieved. We’ve obtained and retained the clubmark accreditation, finally managed to move leagues (which 95% of club members voted for us to do so) set up the junior section that has now evolved to become self-sufficient, likewise with the ladies teams, secured thousands of pounds worth of funding all whilst our teams improved on the field year after year.
RP voiced his disappointment that despite securing the backing of Sport England from our many funding pitches and lots of lots of meetings with various people largely due to Covid we were unable to deliver a new pavilion which we all longed for. However, the refurbishment works carried out by your committee this year and with more to come over the next few years we may actually end up with a much more manageable facility which will suit us better so please all get behind them and assist where you can.
With sadness, for now at least RP announced that he will officially stand down from role as secretary. He believes that despite the huge steps we have made over recent years we are now in a position where if we are not careful we could go backwards fast so we need a fresh imputes of motivated people to carry on moving us forwards.

Summary of Income

Grants obtained £11.6k, this includes the £1.7k from Vulcan.

Indoor nets made a loss this season, insurance paid out for damage to nets

Match day income difficult to balance due to some payments going via bar.

During COVID the club struggled to obtain sponsorship and we missed out on player sponsorship (only 3 came forwards).

Subscriptions increased from last year and All stars and summer school contributed to this income.

Fundraising was a new income for this year and was successful.
Summary of Expenditure
- Invested in Kitchen and bar this year with table and chairs, new pumps and kitchen equipment.

Bar made overall profit of £8k. This year we have introduced payment for bar staff.

During this season investment has been made in building/maintenace with new fence, flooring and essential upkeep.

Electric has increased and expect a big increase going forwards.

Fines experienced due to Sunday League and inability to field a team.

Misc expenditure includes £6k complete coaching (part of grant payment.

• Other investment made this year has included new mower, end of year maintenance of the square, Banners, PA system and new windows and doors.

Expecting to see an increase in beer costs next year. Heineken already announced increases in costs.
6. Agenda items –
Constitution Rule Change
MW proposed constitution rule changes which were discussed, and details are below.
Paragraph 1 to read: ‘The objects of the club are the promotion of community participation in healthy recreation for the benefit of the inhabitants of Hatfield and the surrounding area by the provision of facilities for playing cricket. The club shall adopt and ensure compliance with ECB Club Safe, safeguarding and anti-discrimination policies, with all activities undertaken in accordance with such and any subsequent updated policies. ‘
Vote Result: Proposed MW, Seconded RP and all in favour of change.
Paragraph 3(d) to read: d) The committee shall meet bi-monthly for general business with dates set by the club secretary following the AGM. No resolution of the committee shall be rescinded unless notice to rescind has been given at the previous meeting of the committee. The club secretary may call an additional meeting of the committee at the request of any committee if deemed appropriate.
Vote Result: Proposed MW, Seconded RP and all in favour of change.
Propose that 1[st] Committee meeting for 2023 session takes place on Thursday 1[st] December, 7:30pm at Ingram Arms. Future meetings for 2023 will be agreed on 1[st] December. MY to issue agenda to new committee.
Paragraph 12 (e) to read: e) Dependent upon their role within the club prospective members may be vetted by the committee in accordance with ECB safeguarding procedures and can be granted or refused membership of the club. New members will be supplied with a copy of club rules and made aware of ECB Safeguarding and Anti-discriminatory policies.

Subscription for 2023/24 season
MY prepared a proposal to amend subscriptions for 2023/24 season. Seconded by Martin Winstanley:
Details of the revised subscriptions were socialised with members and parents via social media pages and what’s ground.
Support was received to progress with this proposal by various groups.
During the meeting it was suggested that a DD option could be offered to members to spread the cost of membership out.
Any member struggling should approach a committee member for support as aim of the club is to offer Cricket to the community and money for membership must not be a barrier.
Full details of the proposals are shown below.
Social Membership Current situation The current social membership is £10 a season. It is not universally applied, not well publicised and the benefits of undertaking this membership are not clear.
Proposal Increase annual adult membership to £20 Increase OAP annual membership to £10 Advertise the membership on posters at the club ensuring it is noted condition of licence means anyone buying alcohol must be a member. Ensure all parents are aware of the social membership.
Vote result: Proposed MY, seconded MW all in favour
Annual Membership for men and women’s teams to increase to £50 – Andy Thorpe Proposes £50 okay for men’s senior subs. The ladies summer season is shorter with fewer games so he would suggest £35 for subs
MY noted that the proposal made by AT had been taken to the womens team but they rejected the proposal. Although it was noted the womens season is shorter it is the same length as Juniors and women still have all the same access to facilities as the men.

Match fees for men and women’s teams – retain current rates.
AE and GF stated that some leagues have announced potential changes to fees. Evening league have already announced a proposed increase and women’s league have been discussing potential to introduce umpires and match fees for women’s game. Agreed that any fees for entering the league would result in an increase in match fees to cover costs. These discussions will move to committee meetings.
Junior Membership
Current situation
Junior players representing the club at U9, U11, U13 and U15 pay annual membership of £10 and pay £2 a week. (Based on a 10game season this means each child pays £30)
Proposal
U9 increase to £20. This is the feeder team and generally has a large number of players and not all get game time. Retain the £2 per game fee which is only paid by the players picked for that match. Over a season if a child plays all 10 games then their annual cost would increase by £10. Based on the 2022 squad numbers of 23 this would increase club funds by £230.
U11, U13 and U15 increase to £40. These are much smaller squads than the U9s and generally all players play all matches. Remove the £2 per game fee. Over a season if a child plays all 10 games then their annual cost would increase by £10. Based on the combined 2022 squad numbers of 35 (estimated) this would increase club funds by £350
Each child would only pay once regardless of whether they represent the club at different age groups. (except for adult games)
The club would offer a sibling discount of £10 for those siblings in U11, U13 and U15s and a £5 discount for those siblings in U9s.
Rationale
Cricket season runs approx. 20-25 weeks April – September.

Cover match fees for U11s, U13s and U15s
The membership would be less than £2 per week for all this. Actual membership would only increase by £10 but would include advance payment of match subs.
Any indoor cricket is outside of the above proposal and payment would continue for this separately.

Subscription proposal was accepted but some further options around payment, guest book, publicity of social membership and ensuring club is not at a loss on match days will move to committee meetings.
Gift Aid Update
Following the successful fund raising over the summer MY proposed to the committee that the club was registered for gift aid and member Jonathan Young prepared a proposal.
MY proposed this to the sub-committee and the proposal to proceed was seconded by MW.
Application for gift aid was submitted and confirmation of acceptance was received beginning of November.
There are options to backdate claims for gift aid so MY will work with JS and MW to submit claims.
Toilet/Changing Room Block Update
MW informed the AGM that the Crowdfunder, Council and Fabworx raised £11k over the summer that will be ringfenced for development of toilet / changing room block.
A small sub-committee has been formed and minutes shared to progress options for building work.
MW requested that AGM agree that the sub-committee continues with this work to progress development of the building.

Building plan has been shared. Gaz Stent is supporting the sub-group with planning proposal and is currently working to confirm club boundary.

Sub-committee are seeking AGM approval to submit plans once this has been confirmed.
Vote Result: Proposed by MW, seconded NP, all in favour
MW stated that £55k had been allocated to building works (as agreed in 20/21).
MW proposed that these monies, along with funding raised above are ringfenced, providing a total build budget of £65k.
Building work is planned over 3 phases.
Phase 1 – undertake building works as shown in proposed plans Phase 2 – Open pavilion into one large room. Phase 3 – Build home and away changing room
AGM agreed that the decision around the money should be considered by committee following full review of funding proposal.
It was noted that Phase 1 would take place over the summer season and quote would be required for services toilets during this period.
It was noted that along with this funding the club needs to continue fundraising and needs to find new ways to bring money into the club to continue improving facilities.
MY has proposed that the Committee look to appoint fundraising officer responsible to committee to continue with fundraising activities.
We have a company in Doncaster, "Flying Futures", who provide bid writing services to help with fund raising for charities. MY proposed that this company are invited to speak to the committee around what support they can offer our club.
AGM agreed these were sensible suggestions and agree that the committee are to take forward funding decision

9. AOB
Discussion was held around the need to publicise the club and sponors more in the coming season. Agreed that the committee will review the use of social media and will appoint a social media officer. AE agreed to undertake the role of updating pages following matches.
AGM also asked the committee to investigate furhter the potential of implementing player subscription which will cover match fees.
Andy Cutts took over chair of meeting following vote and declared meeting closed at 15:15pm
