The Trustees present their report and the unaudited financial statements of the charity for the year ended 31[st] August 2024

The financial statements comply with the Charities Act 2011, the Companies Act 2006, the Memorandum and Articles of Association, and Accounting and Reporting by Charities: Statement of Recommended Practice applicable to charities preparing their accounts in accordance with the Financial Reporting Standard applicable in the UK and Republic of Ireland (FRS 102) (effective 1 January 2019).

Structure, governance and management

The Directors

The Board of Directors, who are Trustees for the purpose of charity law, who served during the year and up to the date of this report are set out on page 2.

Governing Document

Willow Tree Steiner School Ltd is a charitable company limited by guarantee, incorporated on 28[th] September 2009 and registered as a charity on August 9[th] 2010. The company was established under a Memorandum of Association which established the objects and powers of the charitable company and is governed under its Articles of Association. The company is governed by a management Committee. The charity may by ordinary resolution appoint a person who is willing to act to be a Director; and determine the rotation in which any additional Directors are to retire. Members of the Management Committee are Directors of the company and Charity Trustees and guarantee to contribute £1 in the event of the winding up of the company.

Public benefit

The Trustees have complied with their duty under Section 17 of the Charities Act 2011 to have due regard to public benefit guidance published by the Charity Commission.

Aims and Objects of the Charity

Our charity’s purposes as set out in the objects contained in the company’s memorandum of association are “To advance the education of children by: -

1) Establishing and running a school or schools in accordance with Steiner-Waldorf educational principles in Bristol and the surrounding area by initially establishing a kindergarten;

2) To advance and promote Steiner-Waldorf education to the educational community and the wider public.

Summary of Main Activities

We had a very good year at our Fishponds kindergarten, our “Little Kindi”. We had a total of 23 children over the course of the year. In September, we had 7 children return from the previous year. We then welcomed 7 new children to the class. Then in the winter term, 6 new families and 3 more in the summer term.

Sadly our other kindergarten in St Werburgh’s closed in December 2023 due to a lack of suitable staff. Our manager, Elodie Rummage, left us due to relocation and despite advertising widely for another qualified early years lead that would also satisfy the Ofsted requirements we were unable to recruit.

Our assistant teachers Phoebe Crum, Martha and Pippa Gibbins held the group of ten children from September to December but it was not possible to continue into the new year. Most of the ten children transferred to our Fishponds kindergarten while the others transferred to other settings. Phoebe remained for some time to help us pack up most of the equipment and dispose of the rest. We are storing the equipment with a view to reopening a second kindergarten in the future. We are grateful to Phoebe, Pippa and Martha who have moved into other jobs in early years and special education.

The kindergarten manager and lead teacher in Fishponds, Lily Clark, was supported by Floredia Hrissikou, Rose Douglas, Susy Jackson, and Maria Castro Espinoza, all are devoted, experienced and wonderful practitioners who cared for and guided our children along their way.

Lead teacher report

The real settling in happens as the children begin to find their feet, learn what our routines, expectations and boundaries are and once they got to know each other. At first the new children tend to stay close to their teachers and like to be near them, then they focus on the lovely, lively and exciting other children in the group. As the year progresses and the children become more confident in themselves, then they are ready to lead their own games and play as an equal with all the other children in Kindergarten.

We began the Kindergarten year in September with a visit from Mother Earth. We all gave her our gifts of fruit, flowers and vegetables and each child received a precious bulb to plant. We then enjoyed sharing our Michaelmas and Harvest feast together. Our Chilean families joined forces and we were treated to a Chilean Independence Day Festival where we were taught about Chile and enjoyed some delicious Chilean food!

As autumn truly arrived we experienced a variety of festivals. We enjoyed celebrating Diwali in November, where we were welcomed each morning by a beautiful rangoli pattern just outside our front door, we made diva lamps and enjoyed a wonderful Indian meal and puppet show. For Martinmas, our festival of light, we made our own lanterns and took them out to share our light with the community around us. We had a special puppet show by the big trees on the green. Then we went on a magical journey past Roxy the Horse, along the allotments and through the woods singing our Lantern Songs as we walked. We gathered down in the woody dip to sing some songs and shared some tasty gingerbread together. Then we carried our lanterns back home.

In December, we celebrated the start of Advent at Big Kindergarten in St. Werburgh's by placing our lit candles in the beautiful Advent Spiral while singing together and we watched as more and more candles were lit. We were very surprised to find one of our slippers missing one morning when St. Nicholas came to visit us as he had taken and filled them with little gifts for us. Then at the end of term, we had a celebration to mark the beginning of the Christmas holidays, sharing our Nativity play, seasonal songs and some festive snacks with all the parents.

When we returned in January, we celebrated Epiphany and our thoughts were of the Three Kings. The children were busy cutting out their golden crowns and covering them with jewels. Soon after, it was Candlemas and we rolled our own candles and decorated them with coloured wax flower petals and gems. Later, on our Walk Day, we lit an earth candle to warm up the ground and wake up the flowers and plants ready for Spring time to return once again.

We had great fun celebrating Chinese New Year in February. We learned a new Dragon Song and played percussion instruments to accompany it. We made paper dragons as it was the year of the Dragon, then we enjoyed a special puppet show and ate some amazing Chinese food using chop sticks! Shortly after, we had great fun preparing for Shrove Tuesday, Pancake Day, making and tossing our pancakes and we all enjoyed the “Flippy, Floppy” pancake puppet show story and ring-time.

Then in March we made colourful, felted ball decorations for Mother’s Day. As Easter approached we were all busy making our baskets and decorating eggs. At our parents evening, we made little yellow chick egg cosies as a surprise to go in the children’s Easter baskets and parents were busy making hot cross buns. When all was ready, we went to Begbrook Green and dodged the rain for an egg hunt! We also marked the Muslim festival of Ramadan and Eid by sharing books about Islam, listening to stories and shared their tradition by eating dates which signifies the end of the fast.

On May Day, the children brought in lots of lovely wild flowers which they wove into their crowns and we danced round the May pole. Ascension was celebrated with chasing and catching lots of giant, rainbow coloured bubbles. We also had lots of fun sliding and rolling down the mud-slide hill!

Summer time came with its wonderful warmth and its long, bright and dry, sunny days. In June we celebrated Mid Summer Solstice and St. John’s festival in Oldbury Court around the fire circle. We waved our fire wands, flailing high in the air above us while we sang our summer songs and then shared a festive snack. The children played and played and fun was had by all.

We finished the year off in July with our End of Year Festival also at Oldbury Court where the children shared a little play from their ring-time and sang some songs to their parents. This was followed by our ‘Goodbye Ceremony’ to say a fond farewell to our older children who are moving on to new schools in September.

Our leaving children then walked bravely under the ‘Rose Arch’ to mark leaving kindergarten and ending their journey with us, ready to begin their new adventure in their new schools. This represents crossing a threshold and leaving the past and welcoming in the future. They received their golden bell to ring so that their new teachers could hear that they were on their way! We ended in true fashion again by sharing a festive feast together and wished everyone good-bye and good luck for the future.

Statement of policy on reserves

Willow tree keeps a “reserve” of cash (total in bank that is not currently allocated to a specific purpose. The target reserve is between 3 and 6 months. This is kept to allow for any drops in income relating to number of children dropping or any other reason. This allows us to continue paying our staff and rent while the financial challenge is being resolved. The reserve’s policy is reviewed annually by the Trustees.

Financial review

Income

Willow Tree Kindergarten gains most of its income from the government fun ended FEE grants. A significant portion is also received from parents as Fees and Voluntary contributions with a small remainder coming from General donations and fundraising.

The relative income has reduced this year compared to previous years for 2 reasons.

  1. The number of children/care hours has decreased due to the closure of our St Werburgs setting.

  2. The government funding has not increased in line with inflation.

Expenditure

Our main expenditure is on staffing costs followed by rent. Food and materials also make a significant contribution towards the charity expenditure.

Reserves

Our reserves policy is set with a target of 3-6 months worth of expenditure in unassigned cash. We finished the year below this target due to a variety of issues including staff shortages leading to the St Werbergs site closing. We have since made reductions in expenditure and done funding to account for this. We will formally review the reserves at the end of the next academic year although it is being tracked on a monthly basis.

Financial Health Of Charity

Whilst the income has significantly dropped and the reserves are currently low the trustees are optimistic about the financial health of the charity. Willow Tree carry no debt and are able to respond to the changing landscape of the Early Years Education. On the basis of the previous statements the trustees are positive that the charity is a going concern.

Financial Risks

There are a number of financial risks to the charity which the Trustees are actively managing. As we go into the new academic year we do not have a written rental agreement. This is a significant risk as our landlord can add additional terms or change the rent in an unpredictable way. The trustees will rectify this situation within the academic year.

The fee grants are not increasing in line with inflation and minimum wage is being increased faster than inflation. As this is our largest income and expenditure this is a significant risk. The trustees are looking at ways to rectify this without just adding additional parent contributions.

We have accounted for a modest amount of sick pay and cover however if a key staff member were to become sick long term and need an extended absence this would place an unmanageable burden on the charity finances. It is imperative for this reason that we rebuild the reserve.

Responsibilities of the Trustees

The charity's trustees are responsible for the preparation of the accounts in accordance with the terms of the Companies Act 2006 and the Charities Act 2011.

In particular, the Companies Act 2006 and charity law require the board of trustees to prepare financial statements for each financial year which give a true and fair view of the state of affairs of the charity as at the end of the financial year and of the surplus or deficit of the charity. In preparing those financial statements the Board is required to: -

The Trustees are also responsible for maintaining adequate accounting records which disclose with reasonable accuracy at any time the financial position of the charity and which are sufficient to show and explain the charity's transactions and enable them to ensure that the financial statements comply with the Companies Act 2006 and comply with regulations made under the Charities Act. They are also responsible for safeguarding the assets of the charity and hence taking reasonable steps for the prevention and detection of fraud and other irregularities.

The trustees are also responsible for the contents of the trustees' report, and the statutory responsibility of the Independent Examiner in relation to the trustees' report is limited to examining the report and ensuring that, on the face of the report, there are no material inconsistencies with the figures disclosed in the financial statements.

These accounts have been prepared in accordance with the provisions in Part 15 of the Companies Act 2006 applicable to companies subject to the small companies’ regime.

1 Accounting policies
