## TRUSTEES’ REPORT 

## OBJECTIVES AND ACTIVITIES 

I write this report on behalf of the Trustees for the year 1st July 2022 to 30th June 2023. 

## Purpose, Aims, and Objectives 

Better Understanding of Dementia for Sandwell (BUDS) is established for the public benefit to provide support to persons suffering from Dementia living in area of benefit and their carers, to enable them to remain living in their own homes. Including but not limited to the following: 

1. The provision of advice and information for carers and the general public. 

2. The relevant provision of support services, advice and information for people living with dementia, their carers and families, and other agencies involved in the support of the person living with dementia. 

3. The area of benefit is the West Midlands, in particular the Borough of Sandwell. 

This review provides that the Trustees have considered how Better Understanding of Dementia for Sandwell (BUDS) purpose, aims and objectives have been met and as such review ensure that Better Understanding of Dementia for Sandwell (BUDS) achieves the purpose contained within the governing document. 

Better Understanding of Dementia for Sandwell (BUDS) is a charitable company limited by guarantee. The company was established under a Memorandum of Association and Articles of Association. In the event of the company being wound up member are required to contribute an amount of £1. 

The focus and purpose of Better Understanding of Dementia for Sandwell (BUDS) is to benefit the Persons suffering with Dementia, their families, and their carers. This has been met within this reporting year 2022-2023. 



The main areas of Better Understanding of Dementia for Sandwell (BUDS) activities are the weekly Dementia Activity Sessions, Family Support Service and Sandwell Community Dementia Support Service. 

**Dementia Activity Sessions** - We currently deliver activity sessions Monday to Friday. They offer people with dementia the opportunity to socialise, receive support, enjoy a hot meal and to take part in a variety of creative and therapeutic activities. Music, dance and gentle exercise play a large role in our sessions. The activities are tailored to meet the individuals needs and abilities following a person-centred approach. 

**Family Support Service** - Carer and family support is offered in varying formats, including one to one, peer support through carers groups and telephone support.  We give advice, guidance and information to carers and families on a range of issues including coping strategies, social care assessments and  aids and adaptations. We also offer support at end of life and coping with bereavement. 

**Sandwell Community Dementia Support Service** - We are the Oldbury Town Lead for the Sandwell Community Dementia Service, with a Community Dementia Advisor based within Buds 5 days a week. The service gives advice, ongoing support, and information to people with dementia and their carers post diagnosis. 

I report on a stable year for Better Understanding of Dementia for Sandwell (BUDS). Better Understanding of Dementia for Sandwell (BUDS) has Activity Sessions open Monday to Friday. 

Referrals to Better Understanding of Dementia for Sandwell (BUDS) are regular and with collaboration with others such as Sandwell Community Dementia Support Service persons with Dementia their families, and their carers are supported by a Dementia Navigator and a Dementia Advisor throughout their dementia journey. This has been a beneficial collaboration to clients, their families, and their carers. 

Staff are continuing to promote Better Understanding of Dementia for Sandwell (BUDS) and ensure that Better Understanding of Dementia for Sandwell (BUDS) is involved with every opportunity available in Sandwell. This has involved collaborating with other organisations and working on various other projects together. 

Better Understanding of Dementia for Sandwell (BUDS) run activity sessions for the persons with Dementia in this financial reporting period from Barlow Homes, and Queensridge Court which the group was launched 4 July 2023 in Sandwell. The activity sessions that are provided to the Persons with Dementia are well received by clients with fantastic feedback from families and carers. 

Better Understanding of Dementia for Sandwell (BUDS) has been nominated as one of the Mayor of Sandwell charity of the year from May 2023 until May 2024. The Mayor of Sandwell has entertained events to fundraise for his nominated two charities. 



## _**Events**_ 

Better Understanding of Dementia for Sandwell (BUDS) staff put together a Christmas Fayre on 3[rd] December 2022, special guest attended such as Mayor of Sandwell and Father Christmas himself. Buds raised money from stalls, homemade crafts, cakes, and drinks were served. 

Better Understanding of Dementia for Sandwell (BUDS) staff organised a Viva Las Vegas event. This included a casino, and a special appearance from a special guest. There was dancing and fun had by all Persons with dementia. 

In May 2023 Better Understanding of Dementia for Sandwell (BUDS) held a Coronation Party in celebration of the coronation of King Charles III. The Mayor of Sandwell attended, together with John Spellar MP. A fantastic tea party was held and Persons with dementia attended together with their families and carers. All staff participated and worked tirelessly to put this event together. 

A trip to Liverpool was organised on Friday 3[rd] June 2023 with Persons with Dementia attending together with some of Better Understanding of Dementia for Sandwell (BUDS) staff, families, and carers. 

On 14[th] June a group visited RAF Cosford with Persons with Dementia attending together with some of Better Understanding of Dementia for Sandwell (BUDS) staff, families, and carers. 

Better Understanding of Dementia for Sandwell (BUDS) had a few events this financial reporting period such as a Mad Hatter Tea Party/Alice in Wonderland tearoom on 22nd July 2023 which, included afternoon tea, which the current Mayor of Sandwell Bill Gavan attended.  Better Understanding of Dementia for Sandwell (BUDS) staff worked exceptionally in organising this event. Persons with Dementia that attended the event enjoyed this day, many participated in the afternoon tea with their families, carers. 

On 16[th] September 2023 a fundraising night was organised at the Robin in Smethwick, a fabulous night was organised and included Musical Bingo, Football Cards, with a DJ and Chesh’s legendary takeaway curries. 

Persons with Dementia, Better Understanding of Dementia for Sandwell (BUDS) staff, family, and carers attended a trip to Llandudno on 6[th] September 2023 and an enjoyable time was had by all.  This trip was funded by Tipton and Coseley Building Society. Thank you for this funding. 

## **THE YEAR AHEAD** 

Better Understanding of Dementia for Sandwell (BUDS) will continue to fundraise and promote its services. 



Better Understanding of Dementia for Sandwell (BUDS) will slowly continue to grow its services and groups to meet the needs of demand. 

I am positive that Better Understanding of Dementia for Sandwell (BUDS) will be recognised as a friendly worthwhile organisation. 

Better Understanding of Dementia for Sandwell (BUDS) has many events planned for the coming year. 

## **ACHIEVEMENT AND PERFORMANCE** 

Better Understanding of Dementia for Sandwell (BUDS) continues to grow at a slow steady pace. There has been a steady stream of referrals. 

It has been an impressive year for Better Understanding of Dementia for Sandwell (BUDS) and the Trustees are confident that Better Understanding of Dementia for Sandwell (BUDS) will continue to thrive. 

All staff work extremely well and are a fantastic team, each dedicated to the clients and their work with them.  Each activity session is tailored around the client’s needs. Throughout each session clients are continually encouraged to participate mentally and physically. The Trustees can rely on the staff to provide an outstanding service and they would like to thank them all for their hard work. 

Donald Payne and Claire Mahmood have worked together to achieve funding to help BUDS provide activities and events throughout this financial year and the Trustees thank them for their achievements. 

Sharon Crowley and Claire Mahmood continue to promote Better Understanding of Dementia for Sandwell (BUDS) and ensure that the service runs smoothly. The two ladies work together extremely well. The time and effort that they both provide to Better Understanding of Dementia for Sandwell (BUDS) is exemplary. Thank you for all that you do. 

Better Understanding of Dementia for Sandwell (BUDS) will collaborate with other organisations and continue to promote Dementia services throughout Sandwell. 

## **FINANCIAL REVIEW** 

Better Understanding of Dementia for Sandwell (BUDS) is committed to delivering cost effective services. Over the last financial year, we have received several donations from companies and charitable Trusts. 



By adopting a strategic approach to financial management, we are systematically trying to drive down costs, whilst growing income, to sustain our services. This is challenging given the current financial climate which is ongoing. This has provided Better Understanding of Dementia for Sandwell (BUDS) with an opportunity to review how the charity operates and streamline some of our services. 

Better Understanding of Dementia for Sandwell (BUDS) actively seeking ways to reduce outgoings and increase income, so that it can build up a small surplus for reserve. Trustees have also examined the running costs of our Activity Sessions and have managed to make substantial cost reductions in room hire and the costs of meals and refreshments. Better Understanding of Dementia for Sandwell (BUDS) are actively and will continue to assess the cost of all our activities including our overheads to keep costs to the minimum. 

## **RESERVES POLICY** 

Better Understanding of Dementia for Sandwell (BUDS) has no guaranteed source of long-term income and aims to maintain reserves at the level required to fund six months’ operations without additional charitable income. 

The merit of this policy has been seen in the past and we are attempting to rebuild our reserves to the desired level over the next three years. The balance held in unrestricted funds at 30[th] .June 2022 was £157,314 representing 60%.

## INDEPENDENT EXAMINERS REPORT TO THE TRUSTEES OF BETTER UNDERSTANDING OF DEMENTIA FOR SANDWELL (BUDS) 

I report on the accounts for the year ended 30 June 2023 set out on pages seven to twelve. 

## **Respective responsibilities of trustees and examiner** 

The charity's trustees (who are the directors for the purposes of company law) are responsible for the preparation of the accounts. The charity's trustees consider that an audit is not required for this year (under section 144(2) of the Charities Act 2011 (the 2011 Act)) but that an independent examination is required. The charity's gross income exceeded £250,000 but I am qualified to undertake the examination by being a qualified member of CIMA. 

Having satisfied myself that the charity is not subject to audit under company law and is eligible for independent examination, it is my responsibility to: 

- examine the accounts under section 145 of the 2011 Act. 

- to follow the procedures laid down in the General Directions given by the Charity Commission (under Section 145(5)(b) of the 2011 Act), and 

- to state whether particular matters have come to my attention. 

## **Basis of independent examiner's report** 

My examination was carried out in accordance with the general directions given by the Charity Commission. An examination includes a review of the accounting records kept by the charity and a comparison of the accounts presented with those records. It also includes consideration of any unusual items or disclosures in the accounts and seeking explanations from you as trustees concerning any such matters. The procedures undertaken do not provide all the evidence that would be required in an audit, and consequently no opinion is given as to whether the accounts present a 'true and fair view' and the report is limited to those matters set out in the statements below.

The charitable company is entitled to exemption from audit under section 477 of the Companies Act 2006 for the year ended 30th.June 2023. 

The members have not required the charitable company to obtain an audit of its financial statements for the year ended 30th.June 2023 in accordance with section 476 of the Companies Act 2006. 



The trustees acknowledge their responsibilities for: 

- (a) ensuring that the charitable company keeps accounting records that comply with Sections 386 and 387 of the Companies Act 2006 and 

- (b) preparing financial statements which give a true and fair view of the state of affairs of the charitable company as at the end of each financial year and of its surplus or deficit for each financial year in accordance with the requirements of Sections 394 and 395 and which otherwise comply with the requirements of the Companies Act 2006 relating to financial statements, so far as applicable to the charitable company.

## 1.   ACCOUNTING POLICIES 

Accounting Convention 

The financial Statements have been prepared under the historical cost convention, and in accordance with the Financial Reporting Standard for Smaller Entities (effective April 2008), the Companies Act 2006 and the requirements of the Statement of Recommended Practice, Accounting and Reporting by Charities. 

## Incoming resources 

All incoming resources are included on the statement of Financial Activities when the charity is legally entitled to the income and the amount can be quantified with reasonable accuracy. 

## Resources Expended 

Expenditure is accounted for on an accruals basis and has been classified under headings that aggregate all costs related to that category. Where costs cannot be directly attributed to particular headings, they have been allocated to activities on a basis consistent with the use of resources. 

## Tangible Fixed Assets 

Depreciation is provided at the following annual rate in order to write off each asset over its estimated useful life. 

25% Reducing Balance 

## Taxation 

The charity is exempt from corporation tax on its charitable activities. 

## Fund Accounting 

Unrestricted funds can be used in accordance with the charitable objectives at the discretion of the trustees.

There were no trustees' remuneration or other benefits for the year ended 30th.June 2023 nor for the year ended 30th.June 2022. 

## Trustees' expenses 

For the year ended 30th.June 2022 expenses of £625 were re-imbursed to Victor Silvester. There were no expenses re-imbursed for year-end 30[th] .June 2023

Transport costs appear to be high because of the depreciation charge of £9,272 in 2022 and £6,954 in 2023 on the two minibuses.
