| Subject: Re: CYFC - AGM |
Looking forward to seeing as many of you as possible later this evening for the club AGM.
One of the items on the agenda is the signing off of last year's minutes, so I have copied these below, if one or two of you could just refresh your memories and take a quick look -
AGM Minutes - July 2020
Attendees
Jake, Rich, Paul B, Katie, Steve, Lisa, Al C, James K, Matt, Nick P, Simon P, Luc, Paul S, Doug, Rich T, Dave, James, Jon, James, Dan M, Tom, Simon S, Al Gregory, Ron, Fish, Chris A, Tommy, Jake, Pip Haylett, James M
Welcome and opening remarks
Welcome to CYFC’s first ever virtual AGM!
Thanks for taking time out to attend tonight and also a big thanks for all you do for the club, we wouldn’t have a club if it wasn’t for you all giving up your time. A special thanks to all the new coaches and assistant coaches too, I know how daunting it is at the beginning and it’s a brave thing to step forward and take on the running of a team, but its much appreciated. I hope to put some better structure into supporting new coaches going forwards, which we will pick up in the new season.
As well as the standard AGM stuff tonight, want to talk about a return to training/matches, more to follow..
Clubs Aims (Steve mentioned last year) –
-
create a safe, fun and enjoyable environment in which footballers of all abilities can thrive and develop their skills; make new friends and learn how to win and lose.
-
provide opportunities for players to learn and develop through participation in training, matches, Futsal and tournaments.
-
encourage creativity (don’t tell them off for mistakes, or trying new skills)
-
develop a lifelong love of the game in our footballers.
1
- create footballers who respect all participants in the game including team-mates, opponents, coaches and match officials
Apologies for Absence
Sharon, Paul Baroni, Louise Haylett
Minutes of last AGM
Approved – Ron Seconded – Paul B
Chair’s Report
Traditionally talk about the success of the club, both on and off the pitch, the tournament, the awards day, but obviously this season has been unlike no other with our big events been cancelled and the seasons ending early due to the COVID-19 pandemic.
However still plenty of good work going on at the club and I just wanted to highlight a few -
-
James U14 girls in County Cup Final, due to be played this September
-
Peter Shilton Night, almost single handedly organized by Jake, huge success and a large sum of money raised for the club
-
GK Coaching sessions started, very well attended
-
Girls football continuing to flourish – a new team for next season, plus Wildcats
-
Received funding via grants (thanks Steve) – notable sum to spend at Paddocks, others helped buy goals at Bullcroft, even COVID funding, PPE equipment
Enjoyed my first twelve months in the role, its gone crazy quickly and it feels like most of what I wanted to do, I haven’t yet managed to, but hopefully with things returning to relevant normality later in the year we can get back on track. Apologies to all those that have emailed/called me and I have taken a while to get back to you, this will improve! Big thanks to Steve, for always being there if I have a question on anything and also to Jake for being a great number 2 and being a lot more organized than I am, he will make a great chairperson in the near future I am sure.
A big thanks again to all those that have come forward to help our various sub committees, including welfare and discipline, registration, facilities, events, those helping to organize fixtures but also a couple of special mentions, Paul Bennett for helping with all things CYFC, whether its cooking, tidying, DJing and of course coaching and finally Al Gregory, who despite not having a child within the club anymore helps Bryan with the website, sort registrations and is also our league representativ

Return to training & matches
Risk assessment has been completed, looking to return on Aug 3[rd] . Trial training sessions this week, (Al and Matt’s teams). Need assistance with the state of the Paddocks, need someone to clean them, training won’t be able to start otherwise. Return of training depends on it. Empty bins, cleaned toilets, floors mopped. Toilet rolls, bins emptied, wipe down touch points. Equipment being kept at venues. Hand sanisters on order, placed on table used at start of training, matches. Kitchens are not to be used, no tuck shops. Toilets available, posters in place, no changing rooms. Cleaning of equipment, not permitted to touch football or equipment. Wipe and clean equipment. Cannot swap bibs. Goals, etc wiped before and after, parents can help. Track & Trace paperwork, must be completed, kept for 21 days. Managers won’t be able to train unless they do the registers. First Aid, check that checklist is all good, ask parents. Develops symptoms during training/match must be removed, isolated, left with parent (if there). Collect PPE from Paul B, single use. Injured players dealt with by parents, coach needs to wear mask/gloves. Able to use you own equipment, but only if you run out of disposable masks. Remind parents to bring own water bottle and sanister labelled. Consent must be completed before start of training. Spectators, no limit. But FA asked groups of 6, socially distancing. Home and Away spectating. Walk or cycle to matches, not to travel in vehicle with others outside of bubble/household. Whatsapp group to be set up. Staggering kick off times, particularly at Paddocks. Socially distancing during breaks. Risk assessments in bags. Training times being staggered. Handshaking not to take place with coaches, or any other physical greetings. Matt – First Aiders. Ron – Idiots, what happens? Nothing in place by FA. Dan – Kick off times? Can ask hockey club. Masks – with you at all times, put on if you need to get within 2 minutes. Lisa – Other clubs, our rules. If other clubs, want to not adhere to this, that’s up to them. Simon P – other teams rules, FA says we should ALL have registers. THANKS to Jake. Al G – Consent, managers take responsibility. James K – Link on email, google forms. James M – Number of players limited to 30, is that just for training. David – Throw ins. Players only.
3
Rich – Anything on breaks in matches. No.
Bullcroft Development
Working committee looking at redevelopment of Bullcroft. Replacement of pavilion, gathering requirements, including CYFC. Looking to replace with multi-purpose facility. Looking at funds, we will possibly be making large contribution. Things are moving forwards.

Subject: Re: CYFC - AGM
Evening All,
Just a reminder that it's the CYFC AGM on Monday evening, 8pm start, meeting link below.
4
I wanted to let everyone know in advance that I intend on standing down as chairman of the club. I have thoroughly enjoyed my two years in the role, albeit a slightly stop/start covid affected time “in the chair”, but I want to focus on coaching my two sides and with my boys moving up to Wallingford, I intend on helping with their committee (as well as remaining on the Crowmarsh committee).
If you would like to stand as chairperson, can you let me know in advance of Monday please.
Ron intends on carrying on as Treasurer, but there is a vacancy for both the Secretary and Welfare lead, again do let me know ahead of the AGM if you would like to stand for either of these two roles.
Enjoy the rest of the sunny weekend and see you Monday.
Adam.
