The Trustees present their annual report together with Ihe financial statements of the d)arity for the year 1
January 2022 to 31 December 2022. The Annual report serves the purpose5 of both a Trustees. report and a
directors. report under company law. The Trustee5 confirm that the Annual report and financial statements of
Ihe ehariL7bFe company comply with the euThent Slatutory requirements. the requirements of the charitable
companrfs goveming document and the provisions of the Statement of Reeommended Practice ISORPI
applicable to charities preparing their accounts in aecordance the Financial Reporting Standard applicable
in the UK and Republic of I￿land (FRS102) leffeclive 1 January 20191.
Since the charity qualifies as small under section 382 of the Companies Ac¢ 2006. the Strategic report required
of medium and large companies under the Companies Act 2￿6 (Strategic Report arKI Directors. Report)
Regulations 2013 has been omitted.
Objectives and activities
a. Policies and objectives
The Chari￿s objedive is the advancement of agriculiure and horticjjlture for Ihe public benefit.
In setting objectives and planning for actNifJ"es. the Trustees have given due considerat.on to general guidance
published by the Charity Commissbon relating to public benefit. induding the gubdance 'PLbblic benefil: running a
charity (PB2)'.
b. Aclivities undertaken lo achleve objectlves
The objectives have. once again, been achieved by holding the sociews annual show al Greal Gransden.
maintaining the tradrtional community event of prevtous years and attracting people of all ages, from all walks of
life. The communty benefits from the opportunty lo provide serwces to the show with the committee using local
trade where possible. The show indudes a variety of competitions, exhibitions. dispLgys, and trade stands, lo
involve and educate local sthools. communty groups and families.
For the local agriujltural and hOrticu￿vral community, the show is an opportunty to come together lo exchange
ideas and knowledge. make new acquaintances and renew old on&s. There is stroThJ sense of ￿Mmunity within
the show which is well regarded by rnany.
Local SCh¢￿IS are eligible to app￿ for grants to enhance the pupils. understanding of agriculture and horticulture.
Applicalions were received from iwo schools during the year. to be cnnsmlered after the year end. Previous
grants have been used lo develop gardening. fa￿nIng and outdoor actNities and to support trips for educational,
agricultural or horticultural purposes.
. Main activltles undertaken to further the ¢harity's purposes for the publlc benefft
The charity seeks to prov¢de an annual Sh￿ in the village of Great Gransden. as one of the few events of ils
still run on a regular basis in the UK.
The committee who org8nise the details of the show (which Invo￿ trustees and other individuals) geek lo
provide a range of demonstrations and activities which provmle something of interest for everyone while
maintaining an agricuttural flavour. The show day alsts prtivides an opportunity for visttors to get close to a range
of farm animals.
The chanty is dependent on income received from visitors and businesses attending the show. as well as other
sponsorship and advertising revenue. When surplus fvnds are available. the trustee$ make donations to other
charities and community groups.

In 2022, ¢knations were grven to the following charities and other organisatsons i￿luding Bedfordshire Young
Famers. The Country Trust, RABI. Cadets. Molhers Union. Ladles in Pigs, British Pig Association. Matthew
John Thomlon Higgs. Cambridgeshire Hunt. and Roundatrxwl Magazine. The donations re￿gnISe the
voluntary SUPPOrt given to the charity by these groups and. in Ihe case of Ihe dOnat￿)n tr) The Country Trust. lo
Provide £2.0￿ towards transport o)sts for disadvantaged children to be able lo visit a farm.
The Iruslees consider that the range of activities promded arKI donations made to other organisalions enable
the charity to fulfil ils requirement to operate for Ihe public benefrt, in accordance with the Charity Commission
guidance.
Achlevements and perforn)ance
. Main achievements of the charlty
The sccietys members committee aThl directors sub committee meet several times during the year to plan
Gransden and District Agricultural STh?elVs annual show.
The charivs online booking sjstem recorded 3.$98 tickets sold ￿ the day, plus around 2.500 sold in
advanc4. If memb8rs. judges aTrJ exhibitofs are also induded. it is estimated that over 7.500 people visited the
show.
The show included many of the usual competitions for sheep, cattle. poultry and horses and welcomed displays
of rare breed animals. flowers. country erafts and vintage vehideg around the showground. The show continues
lo be well publieFsed in the local community. as V￿11 as using tr£ ehantys webstte and Facebook pages.
The success of the 2022 show enabled the charty to give a total of £5.OCwJ to other organisations (2021 £2,618).
Finan¢ial revlew
a. Golng concem
The charity generated net income of £2,733 in the yEar (2021 surplus of £17,397). After making appropriale
enquiries, the Trustees have 8 reasonable expectstion that Ihe charity has adequate resources lo continue in
operational existence for the foreseeable ftrture. For this reason. they continue lo adopt the going cnncem basis
in preparing the financial ststemenls. Fur1her details regarding the adoption of the going con￿rn basis can be
found in the accounting p)liaes.
b. Reserves policy
The Iruslees are mirKlful that the costs of holding the show each year continue to rise and that a great deal of
tirne is provided free of tharge by volunteers. particulaty in the weeks leading up to the day of the show. 11 has
been the charitys policy to maintain reserves sufficient to suppjrt at least a full years expenditLtre as it would
not be unknown for the slb)w to have lo be cancelled the day before. still incurring the majority of costs but
wilhoul any income. The trustees consider Ihat the main risk faclors which may cause the show to be cancelled
are diseases and poor weather, neither ofwhtch can be controlled by the charity.

The Iruslees estimate the totsl costs lo be in the region of £110.000 per annum and seek to hold general
reseNes of al least this amount. The charitys actual level of reserves continues to be much higher than the
minimum reseryes pdicy. The tswstees have eontinued to actsvety promote the grant schemes available lo
individuals and schry)Is and have increased the donations made to other organisalions in 2022. They eonlinue
to monitor the level of accumulated reserves going forward lo ensure Ihal the ¢hariVs funds are used to further
the Charita￿e objedives.
Stiucturel governance and manag•ment
. Constitution
Gransden and District Agricultural Society is registered as a charitatle cornpany limited by guarantee and was
set up by a Memorandum of Association.
b. Methods ol appointment or electlon of Trustees
The management of the company is the responsibifity of the trusleesldirectors. The appointment of
trusteesldirectors is in accordance wth the Memorandum and Arbcles of Association. The directors may appoint
mid-lem), by resolution. a person who is Vlilling to act to be a director bul this person must then retire al the next
AGM and cannot be used lo detemiine the one third of direclors being required lo retire by rotation annually.
Election al the AGM is by members majority.
¢. Organi5ational structure and declslonrymaklng policles
The board of trusteeslcommittee meet regularly to prepare for the annual show. The company consists of a
board of directors and. in addition to this board. thefe are further committee members. The main decision
making is via the directors wrth a limiled amount of delegation to the Secretary for every day operalion in
consullatNJn wlh the Chairman. The committee members specialise in specific are8s of the sh¢)w and gwe
advice to the directors on procedural i%sues relabng to their areas.
d. Financial risk management
The Trustees have assessed the major risks to wthich the chanty is exposed, in particular those related lo the
operations and finances of the charity. and are salisfied that Systems and prwedures are in pLqce lo mitigate
exposure lo the m4or risks.

In accordance with normal commercial pracbce, the charity has purchased indemnity insurance lo prolecl the
Injsleesldireclors from daims arising againsl them bthile acting on behaw the charity. The level of tover for
directors and officers is £5.C*JO.OIXI and corwrate cover is £l.000.000.

Interest on funds held on deposit is induded when receivable and the amount can be measured
reliabty by the tharity, this is normally upon nottfication of the interest paid or payable by the
institution with whom the funds are deposited.

Trade and other debtors are recognised at the settlement amount after any trade discount offered.
Prepayrnents a￿ valued at the amount prepaid nel of any trade discounts due.
2.7 Cash al bank and in hand
Cash at bank and in hand includes cash and short-tem) highty liquid investments wth a short
maturity of three months or less from the date of acquisi1￿n or opening of Ihe deposit or similar
account.

Liabilities are recognised there is an obligation at the Balance sheet date as a result of 8 past
eveni. it is probable that a transfer of econom￿ benefit will be required in settlement. and the
amount of the settlement can be estimated reliably.
