TRUSTEES ANNUAL REPORT

Structure of Trust

The Constitution for the Unincorporated Association of Charitable Purpose, known as The Butterfly Garden was adopted on 14 April 2009.

The Butterfly Garden is managed and administered by a committee of officers and members which is collectively know as "the Trustees". Trustees retire with effect from the conclusion of the 4th annual general meeting after his or her appointment but shall be eligible for re-election at that annual general meeting.

All trustees give their time voluntarily and receive no remuneration or benefits.

CHAIRMAN'S REPORT

This year will be our seventeenth in business and how far we have come in that time? Across the last year we have recevied endorsement from so many established bodies with the care sector. We have continued to maintain our ethos, extending our hands in many directions, to encourage community to work together. We have shared our resources with other organisations, hosting barbecues and events on their behalf. Our provision has been visited by senior representatives of the care services, including most recently the chair of the Quality Care Commission, leaders from County Education and the department of Work and Pensions who are all keen to help deliver new services, complementary to those currently offered. The site has also received attention from television companies.

As in previous years, we have attracted interest and support from many new fund raisers and some serious fund-raising has taken place on our behalf. Whilst not wishing to single out individuals, our grateful thanks must be extended to The Charles Irving Charitable Trust who generously funded our new kitchen. This provision (mentioned as an idea last year) is fully functional and is in use every day. Our own site fund raising has continued to grow, with the café and charity shop, helping to float our daily budget.

This year our key focus has been on safeguarding the future of our project and we have recruited and employed two members of staff to assist in the management of the site. Danny Carroll and Susie Findlater have only been in post for a short time, but are already making a big impact.

We have continued to offer a very diverse range of activities, enhancing what was previously on offer with music and movement, yoga, mindfulness, graphics and more. The year has been scattered with parties, trips and site entertainments and the calendar ahead teases of new adventures.

The commitment of students, volunteers, family, friends and community is and has been quite extraordinary. I thank all of you for your trust and belief in our work.

Financial Review

As at 31 December 2019 the Charity held funds of £65,761 (2018: £62,880).

Funds raised during the year from donations, fund raising activities and gift aid tax were £85,806 (2018: £68,970).

There were no grants received in the year (2018: nil).

During the year, building work on the new kitchen 'Dorothy's' and expenditure up to 31 December 2019 amounted to £33,481.

A total of £2,425 (2018: £3,216) was spent on other facilities.

A total of £9,865 (2018: £12,592) was spent on training and learning.

The charity's trustees consider that an audit is not required for this year (under Part 8 and sections 145 and 152 of the Charities Act 2011 (the Act) and that an independent examination is needed.)

It is our responsibility to:

Our examination was carried out in accordance with the General Directions given by the Charities Commission. An examination includes a review of the accounting records kept by the charity and a comparison of the accounts presented with those records. It also includes consideration of any unusual items or disclosures in the accounts, and seeking explanations from you as trustees concerning such matters. The procedures undertaken do not provide all the evidence that would be required in an audit, and consequently no opinion is given as to whether the accounts present a true and fair view and the report is limited to those set out in the statement below.

In the course of our examination, no matter has come to our attention:

  1. which gives us reasonable cause to believe that in, any material respect, the requirements:

  2. to keep accounting records in accordance with section 130 of the Act; and

  3. to prepare accounts which accord with the accounting records and comply with the accounting requirements of the 1993 and 2011 Acts; have not been met; or

  4. to which, in our opinion, attention should be drawn in order to enable a proper understanding of the accounts to be reached.
