## Structure, governance and management

Rainbow Preschool is a registered charity (number 1133135), which has adopted the Pre-school Learning Alliance Model Pre-school Constitution (2011) within which it operates (adopted at EGM 8 March 2016). The preschool is an association consisting of Family members (parents or guardians of the children attending the preschool) and Affiliate members (individuals interested in supporting the aims of the preschool). Trustees (Officers and Committee members) are elected for one year at the Annual General Meeting held in June. Retiring Officers and Committee members are eligible for re-election unless they have already served on the Committee in any capacity for ten consecutive years. The preschool is a registered member of the Pre-school Learning Alliance and also with Ofsted.

## Objectives and activities

The aims of the preschool are to enhance the development and education of children, primarily under statutory school age, by encouraging parents to understand and provide for the needs of their children through community groups. The preschool offers a safe, happy and stimulating environment, where children learn through play in a wide range of activities whilst fulfilling the requirements of the Early Years Foundation Stage curriculum. We acknowledge the right of parents to take responsibility for and to become involved in the activities of our group and we offer opportunities for all children, whatever their race, culture, religion, means or ability. We encourage the study of the needs of all children and their families and promote public interest in and recognition of such needs in our local area.

The preschool services the village of Colden Common, together with the local rural area in an effort to ensure that the public all have access and can benefit from the service provided within the preschool learning environment. The Trustees have considered the Charity Commission guidance on public benefit and by opening their doors to all local communities, feel they fulfil their requirements to demonstrate the services provided are for the benefit of the public.

## Achievements and performance

There were 45 children on role by the summer term and of these, 38 were in receipt of early years funding.

We had 8 members of staff working at Rainbows during this period. All staff members hold appropriate early years qualifications. Our Manager and Deputy Manager are qualified to Foundation Degree.

## Yearly Overview

Both the Chair and the Manager presented their yearly reports for 2021-2022 at the AGM. These reports are included below.

Due to the Financial year finishing in September, the accounts for 2021-2022 have not yet been audited. The Treasurer’s report for 2020-2021 was presented at the AGM. The Treasurer’s report for 2021-2022 will be presented at next years AGM.

## Chair’s Annual Report 2021-2022

It has been a pleasure to be a part of the rainbows committee again this year, working alongside the ever-committed rainbows staff.

Yet again, rainbows preschool has had a successful year and I know all the children and parents are grateful to the staff for this. Once again, Rainbows has attracted high numbers of children, keeping staff busy from day 1; demonstrating the strong reputation Rainbows Pre-school still has in our community.

I have been incredibly lucky to be surrounded by a hard-working, kind and fun committee this year, with the guidance of Tracy at hand. Our treasurer, Ben, has worked incredibly hard this year, working alongside Rachael to ensure pay was always delivered on time. He has also created a very well-deserved pay rise in addition to the covid and end of year bonuses for the staff. We are all grateful to the many hours he has put into calculations, formula’s and spreadsheets, to ensure that the staff got the acknowledgement we all knew they deserved for their hard work and commitment.

Kate, as health and safety officer, alongside Charlotte, has worked hard to create, and then recreate covid policies, keeping the staff and parents up to date with the ever-changing government guidance as well as ensuring staff members were treated fairly and kept as safe as possible.

Emma has been fantastic at providing accurate and easy to read minutes - ensuring we were able to remember what to do in time for the next committee meetings – and holding us accountable when we haven’t!

I would also like to thank the committee supporters this year, who supported fundraising events, as well as contributing with ideas at each committee m eeting. Kat’s IT skills have been appreciated in ensuring the new job descriptions were up to the Rainbows standard of presentation.

Tracy, as always has done an incredible job as manager, well supported by Charlotte. Supporting children, their families, staff and committee alike and putting in countless hours to ensure we have all known we are well supported. She has made the job as Chair a relatively easy one, always by our side to advise and guide us. I am aware of the many extra meetings she has attended with us this year, always readily and happy to support. I have no doubt that this dedication will be forever appreciated by staff, committees, rainbows children and their families. Despite the many hours she puts in; she has always had the time to ensur e every single child and family is heard and their needs understood and supported.

It has been lovely to experience rainbows being able to restart fundraising projects again this year, with the added benefit of giving the chance to interact with potential new rainbows families – it is clear to see that Tracy has not lost her touch at enticing new families to chat about and explore rainbows as a setting for their children (even when it was already full to capacity!). The winter fayre was a success with a popular tombola; our annual Jumble Sale was also well received. Ian did a great job leading the NERF gun alley in the common-have-a-go. In addition, I loved seeing rainbows able to open it's doors again to parents and families to celebrate the success of the children. It was a shame the Harvest, Christmas and Easter celebrations were unable to take place due to covid, but this was made up by the absolutely fantastic jubilee themed sports days which children and families really enjoyed.

I have been touched by the team spirit of rainbows this year. With the staff supporting each other through the uncertainties of covid, illnesses and bereavement. This strong team and family spirit, no doubt contributes to the

success of rainbows preschool with parents feeling confident that their children are a part of a supportive and loving environment.

On a personal note, I could not have asked for a better environment for my daughter to start her career in education. Coming to Rainbows from a life previously lived in lockdown was a daunting thought for her and for me as her mum. However, the staff showed incredible support and understanding, allowing her, and me to feel safe and supported. This allowed her to thrive and leave Rainbows feeling confident and happy; I could not have asked for more.

I have full confidence the next year will again be a successful one for rainbows. With the dedication of such a wonderful workforce and the support of a hard - working committee I have full confidence that there is no other option available! Victoria Hammond

Manager’s Annual Report 2021-2022

We returned to Rainbows in September with the pandemic still ongoing but not at the levels of the previous year. We still had some restrictions in place but the children didn’t seem to notice. We would like to thank the committee for all their support this year. It was very reassuring for the staff team to know that provisions were put in place to ensure they were financially covered should we have a covid incident or if they needed to isolate. I would also like to personally thank the staff team for their commitment to Rainbows throughout this time once again. The staff were also delighted to finally have a rubbish collection from Rainbows rather than having to take it home each day.

During the Autumn term we acknowledged the significance of Remembrance Day, supported Children in Need and joined in with Nursery Rhyme week. The Methodist Church gifted each child with a lovely Christmas poem book. We also created a ‘Village Life at Christmas’ contribution for Holy Trinity Church Festival. Thanks to the staff and children for producing such a wonderful creation to display.

This year again we performed our traditional Nativity without an audience as due to the circumstances at the time we felt safer not inviting the parents in to watch. However, parents did not miss out on seeing their children take part as we shared a recording of it with them.

We also had an in-house Christmas party with entertainment from the staff team and a surprise visit from our very own Father Christmas.

During the Spring term we led the children through an exciting Chinese New Year Celebration, we supported World Book Day, enjoyed celebrating Red Nose Day, planted a flower for Mother’s day, as well as making pancakes for Shrove Tuesday. We also gave some of the children a lovely Book start pack around World Book Day. We also had a visit from Julie, Hampshire Healthy Hero’s workshop, talking about oral care. The children really enjoyed her visit especially cleaning the giant teeth.

We had to close for a day due to Storm Eunice, made a change from having a snow day!

We were very fortunate to be able to watch tadpoles changing into frogs again. We also welcomed two little ducklings to Rainbows. This was a lovely experience for the children and one that has now become an annual event. Thank you so much to Helen for looking after the tadpoles and ducklings so well outside of Rainbow opening hours, they were in good hands.

During the summer term we looked after ten very hungry caterpillars and watched them transform into butterflies before releasing them up at the allotment. The children really enjoyed Anna from ZooLab coming into visit us with a variety of different creatures twice this year, which was a real treat.

Our fundraising this year included a jumble sale, a tombola at the winter fayre and a Nerf gun alley at the Common have a go event. The children each created a handprint which was then transformed by All My Own Work into wonderful keepsakes and Christmas gifts for their families. We also held a Bags2School collection post jumble sale. We arranged a Family Photo session that proved very popular again in September, with a percentage going to preschool as well as the photos being a lovely gift for you. We have also had another couple of visits from a photographer throughout the year.

Thanks to the fundraising we have purchased some great new equipment this year as well as receiving some lovely donations.

Page 7

Majority of staff have completed some essential courses including a face to face level 3 Safeguarding and First Aid. They have also completed a variety of other online courses including Food Hygiene. These courses have given the staff an opportunity to gain knowledge and expertise enabling us to help and support the children in our care. We also welcomed Summer Chan for her Work Experience.

The children once again really enjoyed our allotment venture this year. We are always modifying our allotment to provide the best learning opportunities for our children. The allotment is proving a wonderful learning and play area for the children, and they really enjoy visiting it regularly.

Following last year’s success, we decided to have a Leavers Farewell once again this year. We repeated entertainment from Big Cat Jungle Party and a visit from Marucci’s ice cream van as it worked so well last year. We welcomed the parents to a short leaver’s presentation where the children received either a book bag or PE bag. This is also a very emotional time but we know that the children are prepared and ready for their next step, school.

Lots of our usual activities and events didn’t happen once again this year including the Harvest service and Easter service. However, we did manage to take part in Tennis Tots and welcome Boogie Mites and Mini Professors into Rainbows. We also held a Jubilee Party (including sports) which the children, and families really enjoyed. It was lovely finally to be able to have an event as a Rainbow family.

Unfortunately, we have had limited opportunities to attend Colden Common Primary school this year to use the hall for a weekly PE session due to the school commitments and then Covid 19. However, it was lovely that we were invited in during the summer term for transition visits as the children really benefited from these.

It was lovely to get our committee meetings back face to face at Rainbows after a while via Zoom. We have had a very active committee this year who have tacked a lot of ongoing admin and are continuing to finish off what has been started which is really appreciated.

This September we have enjoyed welcoming a lot of new families to Rainbows and hopefully some of the parents are on here tonight, to hear all about what we have been up to and possibly join our committee!!

...... and finally, I would like to say an especially big thank you this year to our staff, committee and admin as without their support and commitment we wouldn’t have the fantastic Outstanding preschool we can offer today.

## Treasurer’s Annual Report – Sept 2020 - Aug 2021

This year the preschool made a healthy Profit £8489.97 again this year, considering the committee made refurbishments to the cupboards and other expenses, other implications this year was the introduction of a staffing pay policy to enable us to continue to provide care for the children while also supporting the members of staff during covid restrictions. The preschool has also benefitted this year by having a large number of children by the end of the year.

We had outstanding fees £770 of which £755 were carried forward for payment 2021-22. £15 was written off.

This year fundraising was limited due to restrictions, but we did manage to raise £684.17. Which has allowed the preschool to purchase new toys and equipment, and also the entertainment for the Christmas party.

During the year we were able to renew a number of policies including how cash is handled, limits for payments and an expenses policy. These policies should help to provide a greater stability to the preschool for the coming years.
