Annual Report 2020 In preparation for the Annual Meeting 23[rd] May 2021

Dear Members of St. James,

Thank you for all your support over the last year. Although it is only seven months since our last APCM, that looked at the events from 2019. We started 2020 with no real idea where the year would take us, but from 16[th] March things changed drastically. The contents of this report are therefore a lot less than would normally be the case, we had three months of normal church events and then for the last nine months things were restricted.

I hope you enjoy reading the contents of this years’ report. There is much here to be encouraged by. Please feel free to ask questions on any aspects of the report or the church’s life. Please note that only those on the electoral roll are able to vote for members of the Church Council and Deanery Synod.

One of the hardest things about writing the reports is “have I missed anyone?” I am sure that we do, so if you are reading this report and feel you should have got a mention this bit is for you!!

Maybe you’re the support for a partner or parent who has to go to another church meeting and you’re left to clear away the dinner pots or put the children to bed? Maybe you washed up after an event or put the tables and chairs away, organised an event or rota? God’s work comes in all shapes and sizes; maybe you have prayed for the people that seem to be too busy at St James? Maybe you do a job that no one else thinks about? I wonder who puts the church bin out every other week and brings it back in?

Overview of 2020

As you read this annual report you will be able to recognise the dedication of all those involved with St James in all aspects of its ministry. We are still in interregnum and have been since August 2017 and a lot of people have stepped up to maintain our ministry throughout this vacancy.

The various segment leaders led a variety of initiatives that are reflected in the reports. Thanks go to them, to all the volunteers who help them and to our paid staff – Claire Chambers (Church Administration), Nikki Woolley (Children, Youth and Families Worker), Paul Chapman (Church Centre Cleaner) and Chris Childs who is paid on a casual basis as verger. Thanks also to our readers Danielle and Chris and retired clergy Dorothy Chapman, and John Henson for all they have done over the last 12 months, especially for all the extra service and festivals they have covered for us during the vacancy. I would also like to thank visiting clergy (Wendy Murphy, Philip Thomas, Richard Shaw, Ant Dixon and Jack Bull) for covering some of our services. We have maintained our contact with Churches Together for Mapperley (CTM).

A big thank you to our Area Dean for all their help and support over the past year.

As the year is reviewed, we must not forget those who contributed in different ways to the life of St James and are no longer with us. Over the last 12 months we sadly said farewell to – Rita Alvey, Barbara Walthall, Elsie Saxton, John Williams, Jean Taylor, Audrey Mary Le Couteur, Keith Pearce and Andrew Palmer.

Kevin Parr is Treasurer and part of the Finance Team but not a member of the PCC.

The PCC have met 4 times during the year ( once in person and three times via Zoom) and the Standing Committee meets 2 weeks prior to each PCC Meeting. At the Standing Committee meetings, we take a look at the last PCC Minutes to ensure that all items have been dealt with. Discussions are held as to what the content of the forthcoming PCC Meeting should be.

Once again as you can see, we started off having another busy year as ever despite still being in vacancy and the programme of activities were curtailed due to the Covid-19 pandemic.

We all look forward to a better year ahead.

Gedling Deanery Synod 2020

Our first Synod meeting of 2020 was held just as we were becoming aware of the coming pandemic and included learning sign language (BSL) for sharing the peace- little did we know how few opportunities we’d have to use it! We were encouraged to raise the profile money of the Malawi link the Deanery supports via a small fundraising event, rather than a direct contribution from the PCC accounts. The aim was for each parish to contribute £30 by July.

Our first Virtual meeting via Zoom was held in November 2020, chaired by Revd. John Allister, our new Area Dean. It was the first meeting of the new triennium, so we welcomed new members, elected a Standing Committee, and discussed the role of members. Synod decided to reconsider the system by which parish share is paid, in readiness for 2022.

Our most recent meeting focussed on mission, the impact of virtual meetings, and what we have learned that will inform our mission as lockdown is eased.

Our churches in vacancy have continued their commitment to church life, with support from retired clergy and hardworking lay teams.

At each meeting, news from around the Deanery and from Diocesan Synod is shared and we pray for each other.

Safeguarding

At the last APCM, Francesca Parr stepped down from both the PCC and her Safeguarding role, Muriel Weisz has kindly stepped in temporarily to cover our Safeguarding responsibilities.

Muriel and Catherine have been making sure that all training for volunteers is up to date and refreshed as required.

Children and Family Annual Report

At the end of July our Children and Family worker Nikki Woolley left the post to take up the challenge of child minding. We wish her well in her new venture.

Holiday Club

This year the Holiday Club was held virtually, and a lot of work was put in to producing a well-resourced event, unfortunately it is hard to discern how many people viewed the event as people could access at other times than when it was premiered.

Schools

This year all school activities were curtailed due to the pandemic.

Sunday school

Due to lower number of children and volunteers in attendance on a Sunday morning we have only been having one Sunday school group.

Grapevine

Grapevine is a craft group that is held on a Monday evening in the church hall. This year the number of children that attend this group has stayed constant, but again it was only possible to hold the meetings for the first 3 months.

Toast, Tea and Tots/ Tiddly Tots

Toast, Tea and Tots continued to be a huge success on a Wednesday morning, with an average of 30 children plus their carers in attendance each week. This again was stopped in March due to Covid-19 restrictions.

We have also carried on with Tiddly Tots, the monthly Saturday morning toddler group. This group has been a really great opportunity to make connections with mums and dads that work fulltime.

Messy Church

Over the last 12 months, we will have only been able to hold one Messy Church event at church but held several virtually resourced events looking at a variety of themes such as Easter, Christmas.

Café Church

This year we were only able to hold two of café style services on a Sunday morning as part of our 10am service pattern. The services took place on the 2[nd] of every other month, alternating with the Family and Parade service.

The format of the service is designed to be more relaxed than the Family and Parade services with tea, coffee and a continental breakfast served at the beginning, followed by quizzes, discussions and an informal prayer activity.

1[st] Porchester Guides

The pandemic reduced the face to face activities to the first three months of the year with other meetings held on line via zoom whenever possible.

Communication and Core Support Report 2020

Church Office

Our Church Administrator Claire has been with us since June 2017. She has worked on her own with the help of the Churchwardens since there has been no Incumbent to work with. Claire’s working days are usually Tuesdays and Thursdays. She is still a great help to Patrick, Steve and myself with the running of St James at a difficult time. Claire continues to work on the smooth running of the office and finances by paying bills, reconciling bank accounts and handling financial data working closely with the Finance Team and ASH Accounts. Since March 2020 Claire’s Dining Room has become the Church Office where her computer etc was moved in with everything else that goes with it. She has maintained everything at home that she would do in the office plus extra. We are so very grateful to Claire for her efficiency and dedication in supporting the work at St James.

Notice Sheet (Pew Sheet)

Since Lockdown began Claire has produced a bi-weekly Pew Sheet which is either sent out on e-mail or posted out if that is not available.

Notice Boards ( at the back of church)

The notice boards at the back of church were stripped of all content as soon as lockdown started in March. These will be set up as soon as they can be.

Christmas Promotion

We continued using the NG3 and NG4 Magazines for our Christmas Wishes to the parish.

Website

When a new Vicar arrives, we hope that this will start to develop more. We created a Remote Church page to concentrate all resources for worshipping remotely.

Magazine

Patrick Wallis continued with the magazine until March when this again was stopped.

The Congregational Contact Booklet

This will be sorted and updated once everything else has settled down, and become more stable and people have time to work on it.

I would like to just thank all those of you who have helped in any way with the running of my segment during this last Church year.

Fellowship Segment Annual Report

Mothers’ Union

The Covid-19 pandemic has hit all church activities and Mothers’ Union meetings are no exception. We managed to have three of our monthly meeting as well as the highlight of holding our Annual Ladies Breakfast in the Church Centre at the beginning of March.

We continued to support our church and its activities, helping at Messy Church; Toast Tea and Tots; Sunday School; and Drop in for Coffee, as well as various rotas for Sunday worship.

As part of our commitment to daily prayer and branch prayer partners we took part in our Count your Blessings Lent discipline, Lent Reflections with Corporate Communion and Our Annual Worldwide Wave of Prayer.

As well as these activities we share in Fellowship and fun by having a Soup lunch prior to meetings. Our meetings continue to be a joyful afternoon of laughter, prayer and commitment to continue our work for God’s Kingdom, our Church and families worldwide

Girls Night Out

Girls Night Out only happened once this year, the theme being Light Night.

As always Girls Night Out is all about teamwork. Thank you to everyone who has helped on the team over the past year.

Report from Drop in for Coffee (DIFC)

DIFC continued to serve coffee, tea and cake to an average of 45 – 50 people each week, until it was forced to stop due to the pandemic restrictions.

Men’s Breakfast

We continued to meet on the 2[nd] Saturday of every month for the first three months of the year. We have continued to meet at Woodthorpe Top at 8.158.30am, Andrew Palmer was the organiser of this event.

Monday Art and Craft Group

The group again was restricted to meeting for only the first three months of the year but this is a happy band of knitters, crafters and artists not to forgetting about the chatterers.

The aim of the group is to share the gifts God has given us by creating for ourselves and for the benefit of others in an atmosphere of fellowship and friendship. Judging by the laughter and increasing membership we seem to be succeeding. Everyone is welcome. Come along 1.30 Monday afternoons in the Church Centre. We don't charge but welcome a voluntary 50p contribution towards refreshments. All profits made go back to church.

Christmas Fair December 2020

No Christmas fair was held this year.

Finance Segment Report 2020

I recently took over as treasurer and can repeat the theme of the past few years that currently our finances remain good largely due to some past legacies however as reported in previous years this money is not being replenished through church income especially during the last year. There has been little or no income from the hall and other activities that would normally boost our finances. We are largely using the legacy money invested in the CCLA investment account to pay our Parish share which currently is £90,000 per year. This is reduced to £85,803 due to a small reduction of £1,027.00 for paying our Parish Share on time and a further reduction of £3,225.00 Parish support for all Parishes to make up some of the lost income as result of Pandemic. However, this only reduced our bill by a few thousand pounds, this is not sustainable. As a result, we will have to plan another giving campaign in the autumn as well as opening up the church and church hall again for local groups to use – ideas for other income generation are welcome. It must be pointed out that giving is not just in monetary form but in service to the church – volunteers are just supportive running/initiating church groups or gardening /maintenance and being on PCC all are just as valuable and will be very welcome.

We have still managed to donate to the seven charities we support on a yearly basis they include the food bank, Scout and Guides, Five talents, Embrace the Middle East, The Ark, We R Here and Juno (Wais) these regular donations are usually based on income from giving to the church we have managed to support these at our usual level. Also we have supported homeless charities such as Framework with donations from plate collections on specific dates.

I would like to thank, Catherine, Claire, Patrick and Mary who over the years have worked to support running of the church finances. In particular thank Kevin Parr who stepped down as treasurer this year after 10 years but has offered to remain as advisory role for this next year.

Fabric Segment Report

This report is about the maintenance and care of the buildings.

General maintenance has been carried out but none of the major work has been done yet. We have had clarification from Southwell about which items will need a full faculty and which will need a letter of authority from the Archdeacon. The services of the architect were used to advance the major work which needs to be done on the rain ware and roofs of the Church and associated buildings. Two quotes were received at the beginning of the year and the start of the work has been delayed due to back logs created by the Covid-19 pandemic.

I would like to thank all the people who gave their time to care for the church and grounds this last year. These go to Andy Bell, John Henson, Andy Smith, Sally Smith, Clive Powell, Paul Chapman for the regular gardening and up keep of the grounds, there are lots more who come along when there is a day of action, there is always room for more helpers, see Andy Bell if you are interested. There was another gardening day when a good group of volunteers came together to do as much clearance as possible. To Pat Taylor and Barbara Skinner who clean the church each week and Pat Ward who polishes the brasses; to Gillian Kieme for keeping the cloths in order for the Lord’s Table and making sure the bread and wine is ready for communion, also for taking the hall bookings; to Val Fawley who opens and closes the hall; to Paul Chapman for testing the fire alarm systems regularly. It is a loyal team of people who keep the church, the church centre and the grounds in full working order. So, a huge THANK YOU to all who have helped this last year.

Learning and Service Opportunities

Framework Report

We continued to support Framework with the produce from the Harvest service and the money taken in the collection plate from one of the Christmas services donated as well.

Foodbanks.

We’ve continued to support the food banks during the lockdowns and members of the congregation taking in donations when the church has been closed.

Home Groups

Home group meeting were suspended during the pandemic, although when possible some groups were talking over the phone and others had had walks when allowed.

Kerry Severn has stepped down from supporting the home group leaders and he and Iris have gone back to their previous Methodist Church which has been reformed. Thanks go to Kerry and Iris for all the hard work and ministry they have provided.

Pastoral Care

The main focus has been on keeping the church family in touch with each other and providing resource material for individual prayer and worship whilst the church was either closed or restricted in numbers that could attend.

Worship Segment Report

During 2020 the pattern of services we offered during the year was very changeable as we navigated through the period of the pandemic. We held our normal 8am and 10am services with an evening service every two weeks during the first three months. The church was then closed for public worship from the 15[th] March until the 5[th] July when the 10am service was started up again with numbers restricted to a maximum of 36 people. This pattern of service remained in place until the 24[th] December Midnight Holy Communion when the church again was closed for public worship.

During the time that the church building was closed Nikki Woolley (with help from others) made sure that we had some recorded services/reflections for special Sundays premiered on Facebook, so we had pieces for Holy Week, Easter Sunday, VE Day, Pentecost and Fathers’ Day. We had a pre-recorded Nine Lessons and Carols leading up to Christmas and for Christmas Day Lucy Drury, Jayne Drury and Michael Cooke produced a Christmas Day Service on Facebook celebrating our community.

The majority of the services have been covered by St James ministry team with the rest being covered by visiting clergy, the majority of whom are also retired. We are extremely thankful for the commitment of our worship team without whom we would not have been able to function at this level. We also give thanks for the visiting clergy for their assistance.

We also need to register our thanks to all of the other volunteers who help us to run our services. There are the ones who are visible during the services, sound and AV, the intercessors, those who volunteer to read, the sides people and welcomers and the prayer ministry team. There are many others that are not visible working for the services on a Sunday, but they are just as important, the cleaners, flower arrangers, those in charge of the banners, those who polish the brasses, those who arrange the rotas for all aspects of services, and arrange the altar and the elements for communion.

Worship Group Report

The plan of Steve Saxton taking over the leadership of the worship group did not come to fruition, but we thank him for covering the first few months of the year.

Annual Vestry Meeting

(Part 1)

Rev’d John Allister, Area Dean for Gedling and Vicar from St Jude’s welcomed everyone to the meeting in church and those who were joining by zoom. He gave thanks to Patrick Wallis and to Steve Harrison for all what they had been for St James throughout the COVID 19 pandemic, keeping every informed throughout. We are now three and half years down the line of being in interregnum.

Before the election of wardens could take place, a vote was taken on the suspension Rule 3 to allow Patrick Wallis to stand for a 7[th] year as warden. All agreed in favour.

Election of Church Wardens

Two applications have been received for the position of Church Wardens Patrick Wallis proposed by John Oliver and seconded by Jill Davison Steve Harrison proposed by Sally Smith and seconded by Jill Davison John thanked them both.

Due to the current situation the usual visitations are unable to take place, so the Bishop has given permission for John Allister to admit them at the end of the APCM.

Vision for St James 2019-2026

As suggested by Anthony Giles at last year’s APCM an Away Day was arranged for the 9[th] November at Woodborough Church. The PCC took on the decision to work on the Younger and Deeper part of the Vision until the new

incumbent is in place. As a result of the ONElife weekend on September 2019, the Start Course commenced and we had started to get more people attending Home Groups.


Annual Parochial Church Meeting – only those on the electoral roll can vote, though others can be in attendance.

There were 27 people present at this meeting and 7 joined by zoom.

  6. Sally Smith and Mary Lucas have come to the end of their 3 years term of office and were thanked for their contribution to the PCC. Both were reelected to stand again for PCC from 2020 – 2023.

The following people were nominated to stand for 2020 - 2023 Sally Smith - nominated by Steve Harrison and seconded Patrick Wallis Mary Lucas - nominated by Patrick Wallis and seconded by Catherine Wallis

With no other nominations coming forward, there was no need for a vote and the above were duly appointed.

Andrew Palmer had stepped down after one year and Stephanie Kiernan had stepped down after 2 years. Clive Powell, Denise Mear and Robert Robert Oliver had all completed their 3 years. This left us 4 short on PCC and 2 being for Deanery Synod.

  2. Election of Sidespeople and Welcomers There was no one to elect as sides people or welcomers this time.

Kevin Parr will be standing down as Treasurer at the end of the year so a new one will need to be found so that he can hand over.

We are also permitted to replace Nikki Woolley as Children and Family Worker but this will be done once a new vicar is appointed.

Structure, governance and management

The Parochial Church Council (PCC) is a corporate body established by the Church of England. The PCC operates under the Parochial Church Council (Powers) measure 1956. The PCC is exempted by order from registering with the Charities Commission. The appointment of PCC members is governed by and set out in the Church Representation Rules. The PCC is served by eight segment teams – children & youth work, communication & core support, fabric, fellowship, finance, learning & service, pastoral care and worship. Each of the leaders of the eight segment teams is on the standing committee (along with clergy). The standing committee oversees the work of the PCC.

Objectives and activities

The primary objective of the PCC is the promotion of the Gospel of our Lord Jesus Christ according to the doctrines and practices of the Church of England. The PCC (Powers) Measure 1956 states the PCC “is to co-operate with the minister in promoting in the parish the whole mission of the Church, pastoral, evangelistic, social and ecumenical”. In addition St James Porchester PCC has its own vision statement which is “Growing God’s faithful people, celebrating God’s generous harvest and sharing God’s sacrificial love”.

The activities are set out in the Church’s Annual Report which is available from the church. One activity that is undertaken each and every year is to select local, national and international charities to donate up to 5% of the previous year’s income per annum.

Achievements and performance

The theme verse of 2020 was taken from Colossians Chapter 3 verse 15.

The PCC has been pursuing the vision that was set out in 2017 for the next 5-7 years. This has been a difficult period whilst the Church continues to have no vicar in place and furthermore made difficult over the last year due to Covid restrictions and lockdown. We have tried not to stand still but not pursue any long-term projects until a new incumbent is appointed. St James with the help of the retired clergy in the parish and others who have helped greatly have managed to maintain the service pattern. Although during the first lockdown (March to July) we relied upon a few Facebook posts (of video recorded services for the special Sunday) and website resources. We eventually opened up for public worship between July and December and held one service each Sunday with restricted numbers (36) in church.

During 2020 Rob Oliver continued his Readership course with his continued placement being with Anthony Giles at Woodborough and he became a licenced Lay Reader in October 2020.

The Children and Family Leader (Nikki Woolley) left at the end of August and during the first lockdown supported the remote worship via Facebook and YouTube.

We have been in interregnum now for 41 months and have been unsuccessful in appointing any one during any of the advertising campaigns.

Further details of the achievements in 2020 are contained in the annual report.

Financial review

In 2019, we adopted an investment policy and invested a sum of money with CCLA Investment Management with the help of the Diocese, this money is currently being called down to pay for our Parish Share.

The planned programme of work on the fabric of the Church Building (including the Den and the Vestry) has been delayed due to Covid and will be started again over the next year.

We are aware that the deficit caused by the short fall between income and expenditure is using up some of our legacy money and investigations are still being pursued on what actions can be taken to overcome this.

Plans for future periods

Our priorities over the coming year are, in relation to the Diocesan “Growing Disciples, Wider, Younger, Deeper”, to concentrate on getting the right new incumbent (wider), to continue with our seven-year vision for children and families and pursue the Café Style services (younger) and grow the number of home groups and/or participants to help deepen our congregation discipleship (deeper). In addition we aim to use other versions of remote access to church such as zoom and recorded services as we enter another period of lockdown.

The PCC will pursue the implementation of 5-7-year vision as far as practical whilst in vacancy and with the unknown situation of the Covid lockdown.

In 2021, the scheme of work for the church buildings developed last year (and delayed due to Covid) will be finished.

I report to the trustees on my examination of the financial statements of St James Church, Porchester (‘the charity’) for the year ended 31 December 2020.

Responsibilities and basis of report

As the trustees of the charity you are responsible for the preparation of the financial statements in accordance with the requirements of the Charities Act 2011 (‘the Act’).

I report in respect of my examination of the charity’s financial statements carried out under section 145 of the 2011 Act and in carrying out my examination I have followed all the applicable Directions given by the Charities Commission under section 145(5)(b) of the Act.

Independent examiners statement

I have completed my examination. I confirm that no material matters have come to my attention in connection with the examination giving me cause to believe that in any material respect:

  1. Accounting records were not kept in respect of the charity as required by section 130 of the Act, or

  2. The financial statements do not accord with those records; or

  3. The financial statements do not comply with the applicable requirements concerning the form and content of accounts set out in the Charities (Accounts and Reports) Regulations 2008 other than any requirement that the accounts give a ‘true and fair’ view which is not a matter considered as part of an independent examination.

I have no concerns and have come across no other matters in connection with the examination to which attention should be drawn in this report in order to enable a proper understanding of the accounts to be reached.
