Trustees Annual Report 2023 - 2024 

1. Management Committee Chair : Shareena Hill Treasurer : Fraser Burchill Secretary : Deborah Jess Kermode Trustee : Sarah Pietsch. 

Project Manager/ Charlotte Bill paid on a freelance basis per project. 

## 2. Review of Aims 

Clapham Film Unit aims to train and equip local people to tell our own stories on film. We make documentaries and provide filmmaking advice to the community. We provide a network for filmmakers. 

## 3. Recent Activities 

We supported Essex Craft Society completing their Heritage Lottery project. (HLF) 

We finalised Right to Roam project with additional copies of the booklet, screenings and broadcasts. 

We screened the film ‘Where are the Women' and ran workshops at Clapham Deep Shelter 

We made a film, ‘Ways of Knowing’, in collaboration with a group of International feminist academics researching women revolutionaries. Funded by AHRC taking place at at Leeds University. 

Clips from ‘Life of the Bicycle’ were utilised again by Glasgow Film Festival. 

We ran a series of workshops at Clapham Deep Shelter ‘Under London’ funded by the National Grid Community fund through local giving 

## 4. Grants Received : 

Brixton Bid for screenings at Festival of Architecture Glasgow film festival Where are the Women GLA Under London workshops payment via Local Giving HLF Essex Craft Society payment 3 AHRC grant via Leeds University HLF Right to Roam payment 3 

Total income = £62066 Total expenses £65053 All the projects were delivered on time and on budget. 



## 5. Review of procedures. 

We reviewed our policies and procedures, including equal opportunities, safeguarding children and vulnerable adults, health and safety, risk assessment, financial controls, and GDPR responsibilities. 

We reviewed the constitution. 

Digital Banking is working, our account remains with NatWest. Budgets and reports were prepared by Charlotte Bill, accounts by David Smith & Co.

## **1 Accounting policies** 

## **1.1 Accounting convention** 

These accounts have been prepared in accordance with FRS 102 “The Financial Reporting Standard applicable in the UK and Republic of Ireland” (“FRS 102”), “Accounting and Reporting by Charities” the Statement of Recommended Practice for charities applying FRS 102, the Charities Act 2011 and UK Generally Accepted Accounting Practice as it applies from 1 January 2015. The Charity is a Public Benefit Entity as defined by FRS 102. 

The charity has taken advantage of the provisions in the SORP for charities applying FRS 102 Update Bulletin 1 not to prepare a Statement of Cash Flows. 

The accounts have been prepared on the historical cost convention. The principal accounting policies adopted are set out below. 

## **1.2 Going concern** 

The accounts have been drawn up on a going concern basis. 

At the time of approving the accounts, the Trustees have a reasonable expectation that the charity has adequate resources to continue in operational existence for the foreseeable future. Thus they continue to adopt the going concern basis of accounting in preparing the accounts. 

## **1.3 Charitable funds** 

Unrestricted funds are available for use at the discretion of the trustees in furtherance of their charitable objectives unless the funds have been designated for other purposes. 

## **1.4 Incoming resources and expenditure** 

Donations are recognized on receipt. 

## **1.5 Cash and cash equivalents** 

Cash and cash equivalents include deposits held at call with banks. 

The estimates and underlying assumptions are reviewed on an ongoing basis. Revisions to accounting estimates are recognised in the period in which the estimate is revised where the revision affects only that period, or in the period of the revision and future periods where the revision affects both current and future periods.

## **FOR THE YEAR ENDED 5 APRIL 2024** 

I report on the accounts of the Charity for the year ended 5h April 2024, which are set out on pages 1 to 4. 

## **Respective responsibilities of trustees and examiner** 

The charity’s trustees are responsible for the preparation of the accounts. The charity’s trustees consider that an audit is not required for this year under section 144(2) of the Charities Act 2011 (the 2011 Act) and that an independent examination is needed.  . 

It is my responsibility to: 

- examine the accounts under section 145 of the 2011 Act; 

- follow the procedures laid down in the general Directions given by the Charity Commission under section 145(5)(b) of the 2011 Act; and 

- state whether particular matters have come to my attention. 

## **Basis of independent examiner's report** 

My examination was carried out in accordance with the general Directions given by the Charity Commission.  An examination includes a review of the accounting records kept by the charity and a comparison of the accounts presented with those records.  It also includes consideration of any unusual items or disclosures in the accounts, and seeking explanations from you as trustees concerning any such matters.  The procedures undertaken do not provide all the evidence that would be required in an audit and consequently no opinion is given as to whether the accounts present a “true and fair view” and the report is limited to those matters set out in the statement below. 

## **Independent examiner's statement** 

In connection with my examination, no matter has come to my attention: 

- 1) which gives me reasonable cause to believe that, in any material respect, the requirements: 

   - to keep accounting records in accordance with section 130 of the 2011 Act; and 

   - to prepare accounts which accord with the accounting records and comply with the accounting requirements of the 2011 Act 

have not been met; or 

- 2) to which, in my opinion, attention should be drawn in order to enable a proper understanding of the accounts to be reached.
