Ros opened the meeting by thanking those for attending and reading out list of apologies. 

## **1.0 MINUTES OF LAST ANNUAL GENERAL MEETING HELD ON SUNDAY, 27[th] JULY 2024** 

Ros asked if everyone had read the minutes of the meeting held on 27[th] July and if they agreed they were correct. Minutes were accepted as an accurate record of the meeting

## **3.0 CHAIRPERSON’S REPORT**

The hall has had another successful year, although sadly, we did lose the karate club after 30 years.  We were fortunate that we were able to offer the Friday evening spot to the Guides and welcome Hazel Peach of Beddington Guides to the management committee. 



Over the last year, the Executive Committee has overseen the following works at the hall. 

During August 2024, the lower ceiling above the table and chair storage cupboard was replaced, the hall was repainted, and the boiler was replaced. 

The raised flower bed was replaced, and an area behind the fence between the sheds was cleared to provide additional storage for the preschool garden toys. 

Our application for a Tesco Community Grant was successful, and we took delivery of a new wooden playhouse and mud kitchen. 

We repaired the hinges on the kitchen fire door. We have also carried out further work on the trees next to the cottage and 7A Beddington Lane. 

We have identified that the chairs are not strong enough for all the members of the Slimming World group and are looking for suitable replacements. 

It is with regret that we have to inform you that we have had to refer ourselves to the Charities Commission following a data breach when we inadvertently sent a corrupted document containing a previous user’s personal details.   We also contacted the ICC, but from the self-referral, there was no further action to be taken.  However, the person it happened to has raised a report with the ICC. 

We have now made changes to the booking process so this cannot happen again, and we are currently awaiting notification of any further actions required. 

Report on the Cottage - We continue our biannual inspections of the cottage, and this year we fitted an extractor fan in the bathroom and repaired the broken window handle in one of the bedrooms.

## **5.0 ELECTION OF OFFICERS** 

Our constitution requires the annual review of officer elections. The Executive Committee consists of the following roles, plus one additional non-officer member. There were no new nominations, and the current roles stand. 



- Chair - Ros Townsend – continuation of role and leader of Brownies 

- Vice Chair - Nick Geer – continuation of role 

- Secretary – Tina Lyons – continuation of role and representative for babyballet 

-  Treasurer – Gemma Townsend – continuation of role 

Historically, committee members stood for five years only. Daphne Gvozdenovic saved the hall for the residents of Beddington. 

Ros will stand as chair for 5 years; one year has passed. Brownie may close when Ros retires. Ros has emailed the Diocese of Southwark. Please see the response below. Ros’ husband has had surgery on his hand, and is 76 years old, so he can no longer carry out minor repairs in the hall. Gemma also has a new job as she was made redundant and now works in London.  This may make her role as treasurer more challenging due to time constraints. 

In the future, groups will only be allowed to hire the hall on one night, as members are needed to be part of the executive committee, and also to take part in meetings and the work party morning. 

Peter Chinque volunteered to become part of the executive committee and will start shadowing to learn more about the roles. 

Discussion on some aspects of the roles. 

- The Chair and Vice Chair have a discussion when there is an issue with the hall. For more complex issues, an online meeting is arranged. 

- The treasurer is in charge of all bookings, takes payments and ensures the accounts are up to date. 

- The secretary sends meeting invites and writes the minutes of each meeting.

_“I’ve been forwarded your email query regarding support for volunteers for the executive roles responsible for day-to-day running of Beddington Village Hall, and I’m writing to confirm that the Diocese of Southwark does not provide support for this.”_ 

We are still awaiting a response from the St Mary's Administrator. 

## **6.0 ANY OTHER BUSINESS** 

## **Resident parking:** 

Ros is happy for residents to use the car park in the evening. However, when the church group are using the hall, they cross over with Carshalton Ceilidhs, making the car park very busy. The car park can also be busy when the hall is hired for parties. Irresponsible parking makes it difficult for regular hall users to unload their equipment. 

The criteria for parking permits are that local residents must have small children or an illness which may limit mobility. However, small children grow, potentially changing a resident’s eligibility for a permit. All permit holders are asked to attend 



meetings and take part in the annual work morning. Four permits have been issued. Permits may be revoked if those holding them do not attend the meetings or the work party. 

When selling your house, please let potential buyers know that permits have to be applied for. Buyers are welcome to contact the executive committee for a parking permit, but permits are not guaranteed. 

Flash park has signs in the car park. A photo must be taken of cars that are illegally parked. The photo must be date and time-stamped, and the Flash Parking sign must be visible in the background. Once Flash Park receives a photo, they will issue a ticket. 

The Social Club need to give a list of the registrations so that they are not fined. Social club members have been given green parking permits. 

## **Banner** 

There are plans to replace the banner outside the hall to advertise all regular hall users. 

## **Open Days** 

Peter- previously, a joint ad was placed to advertise regular hall user groups. 

Judith- is keen to take part in group advertising. The Slimming World numbers are low. 

Hazel Peach- There is a big catchment area in Beddington, so we need to advertise an open day to attract attention. 

Peter- can we tap into Beddington Park and use that to advertise? 

Ros- Previously did a drop in Beddington Park, but only got two new guides and no volunteers. 

Gemma- it is hard to get volunteers 

Ros- Girlguiding requires all volunteers to have a DBS and to attend safeguarding training. 

Hazel- The hall is too detached from the park, and on the wrong side. 

Gemma- can we advertise at Asda? 

Hazel-  are you planning to boost the numbers for the existing group numbers? 

Ros- Yes, existing group members’ support. 

Gemma- Do we need a printed display inside the hall advertising all groups that use the hall? 

- Please, can regular hall users come back with ideas to advertise groups, potentially a spring event? 



All attendees of the meeting were then asked if they had any issues/comments. 

1. Udhava – The church use the hall mainly at night, and has equipment in the shed. The light outside is not working. 

2. Judith – Additional storage, a code for the cupboard, and the stability of the chairs (All chairs were checked post-meeting). 

3. Kirsten – A harder-bristle mat to support wheelchair access to the building. 

4. Helen Brock – Some small tables, please 

5. Karleen – parties, can they arrive on time? Gemma – We can ask parties to arrive 15 minutes early to go through terms and conditions. Karleen – When they arrive late, they are rushing and do not listen to the handover. The printed instruction sheet has been misplaced.

## **Lavender Pre-School** 

June 2025. 

Lavender pre-school has 6 staff who work on site each day, 1 bank staff, and 1 support staff. 

We have 24 children on role. 5 of our children are on the special educational needs & disabilities register. 2 children are entitled to the early years pupil premium. 

We welcome visits from prospective families seeking a preschool. Additionally, we host work experience students from local secondary schools and receive visits from primary schools, speech and language therapists, portage workers, and other professionals who provide support and advice on our setting and the needs of SEN children. 

Each year, we hold a Christmas show to which family members are invited to come and watch. We arrange termly coffee mornings for current families to come and have a progress meeting with the staff. 

We have celebrated some festivals that reflect both our small pre-school community and the wider community in our environment. 

## **Babyballet®** 



Babyballet® uses the hall on Saturday mornings from 8:30 am to 12:00 pm. We currently run four classes, allowing time before and after for setup and takedown. This year, we proudly launched our very first SEND (Special Educational Needs and Disabilities) babyballet class. It has been a huge success, providing a supportive and inclusive space where children with additional needs can express themselves freely and without judgment. 

Our mainstream ballet classes cater to children aged 18 months to 6 years, while our SEND classes are open to children up to Key Stage 2. We use a variety of engaging props in all our classes to help bring the joy of dance to life. 

Our franchise has been running for just over four years, and we are thrilled with the growth we've seen—both in terms of business development and, most importantly, the progress and confidence of our young dancers. 

Classes will continue every Saturday until July 19th, with a special summer session on August 3rd. We’ll then take a break for the summer and resume classes in September. 

## **Carshalton Village Ceilidhs 27th June 2025** 

Carshalton Village Ceilidhs is a community organisation that runs ceilidh dances available to the general public. We have our own band and hire different callers to guide the dancers. 

We started hiring Beddington Village Hall in November 2022 and have run mostly monthly dances since then. We alternate monthly between Saturday evenings and Sunday afternoons to appeal to different audiences. The Sunday afternoon dances are for everyone but aimed at families in particular. There has been generally good attendance at all of the dances, including families with children. 

The hall suits our ceilidhs very well, and both the band and the dancers enjoy its welcoming ambience and excellent wooden dance floor. Helen Brock & Gay McDonagh

## **3rd Beddington Brownie Report for 2025** 

Our unit numbers remain stable at 15, and we are delighted to still have one of the oldest Girlguiding volunteers in Wallington helping at the unit.   We have enrolled 6 girls this year, with two moving up to Guides. 

We have worked on our Feel Good and Know Myself Awards this year, with girls earning their Bronze and Silver awards. 

We have also worked on a Bee Challenge and the girls have made mini planters from baked bean tins, honey biscuits and honey milkshakes. 



In December, we took the girls to a special Girlguiding showing of Moana 2, which meant an early start for the girls.  We have also worked on our local history interest badge, which involved a trip to Honeywood Museum, walking back through The Grove and Beddington Park with the girls getting an ice cream as a reward for their long walk. 

## **Slimming World Annual Report** 

It's been a very eventful year with lots of new members joining the group in January, following their New Year’s resolutions. Inevitably, a lot of these new members dropped off by the end of February, but the group is still seeing new members joining each week, albeit very slowly! 

## **Croydon Durga Mandir Church 24/07/2025** 

Croydon Durga Mandir is a voluntary  religious organisation with particular objective to promote Hinduism among the community in and around our midst and we have been operating since 2013 

Currently we are based at Beddington Village Hall and has been there since 2015. 

This past year has been quite a change for our organisation, in particular for our executive team. We have had a major restructure due to some members stepping down from their roles. We have a new chairman instead of a president and other executive members have been appointed on key roles. 

The executive team continue to support other members of Croydon Durga Mandir in maintaining our philosophy, cultural beliefs and to move forward with creative ideas to support the community we serve. To accomplish this we needed new methods of reorganising ourselves. Over the course of this last year we built a team that was able both identify any weakness and increase our strength as a religious organisation that would serve the community with their spiritual needs. 

Over the past year we are extremely grateful to all our invited devotees and we have seen an increase in attendance. 

Looking to the future, we will make every effort to strength our organisation as we are in the process of drafting a constitution in view of registration Croydon Dharma Mandir as a charity. 

We are extremely grateful for the management of Beddington Village Hall to allow us to use the hall over the past few years. We hope we will be able to continue using this premises to promote our values and encourage our youngsters to participate in our monthly sessions in view of expanding their knowledge in Hinduism. 



## **Taekwondo- Peter Chinque** 

Classes have remained steady throughout the year in terms of student attendance and participation. While retention is consistent, there has been no notable increase in new student enrolment during this period. 

The equipment cupboard is currently full to capacity, containing a wide range of gear accumulated over time. In light of this, I intend to carry out a full audit of the equipment to assess the current inventory. This will help determine what can be retained, repaired, donated, or responsibly disposed of, and will inform any future purchasing decisions. 

The goal moving forward is to streamline resources and create more space, ensuring equipment is well-maintained and accessible for all class needs. 

Goals for 2026 to attract and retain new students. 

**Beddington Guides -** Guide leaders- Hazel, Pat & Ros 

Fridays 7.30 – 9.30 pm 

Girls aged 10 – 14 

We currently have 13 girls (vacancies for more) 

2 girls have been awarded a Jack Petchey award. The award comes with a financial reward that must be spent on the unit. The award winners got to choose how the money was spent. 

1 guide chose to take the unit ice skating at Hampton Court and bowling, the other guide chose to take the unit to Chessington World of Adventure. 

During the unit meetings on a Friday evening, the guides work on badges, crafts and games. 

The crafts have included sweet making with a presentation box, Christmas decorations from salt dough, edible pictures (Made from sweets), a bee hotel, cross stitch coaster and grow your own herbs, being just a few examples. 

Games included balloon hockey, chopstick relay, etc 

Badges included, bee challenge, skills builders, which is a guiding term to cover things such as First Aid, Safety and Leadership skills, etc. 

These are just a very small example of what we provide for the girls. 

We aim to provide a variety of activities that enhance life skills, team building and extracurricular learning.
