Beddington Village Hall Annual General Meeting Held Sunday 2[nd] July 2023 at 11.30 a.m. at Beddington Village Hall

Chair opened meeting by thanking those present for attending and all their hard work in clearing the car park and gardens.

1. Minutes of Annual General Meeting 10 July 2022

Minutes of meeting held 10[th] July 2022 were agreed as correct.

2. Matters Arising

The Chair reported that all internal work since last meeting has been completed.

There were no parking issues.

He then went on to thank everyone for their hard work in keeping the hall running well.

Hall booking were going well and were now back to pre-covid levels

3. Chair’s Report

Beddington Village Hall Executive Committee (the “Committee”) has continued to manage all aspects of the hall and attached cottage. This Committee meets on a quarterly basis, more frequently if necessary, to ensure that the cottage, the hall, and its grounds are properly managed and maintained. Projects completed since the last AGM are:

Maintenance of fences and trellising on the grounds generally

Maintenance of the garden

Safety inspections – following Fire Safety Inspection internal and external doors have been replaced, and other fire safety matters resolved

Sundry external and internal maintenance in both the cottage and hall

The Committee continue to manage the hall car park in order to preserve its use for hall users and selected local residents. As with previous years, this has proved to be challenging, primarily due to regular unauthorised use.

The Committee wishes to thank to the regular hall users for their support; Guides, Rainbows, Pre-school, Over 60s club, Slimming World, Church Group, Karate and Taekwondo.

Finally, the chair expresses his thanks for the continued hard work and support by all members of the Committee, all of whom serve on a voluntary basis; Gemma Townsend for her work as Treasurer and the management of hall bookings, Ros Townsend as secretary; Nick Geer as Deputy Chair and Helen Elliott of Pre-School. In addition, the work of all parties associated with the hall is recognised and appreciated.

4. Treasurers Report

The closing bank account balances as at 31[st] March 2023 are as follows:

Management Account: £ 17,793.94 Improvement (Instant Access) Account: £ 21,901.49

The year’s accounts have been submitted and approved by the auditor, please find the auditor’s report attached, together with full set of accounts.

5. Election of Auditors

The Auditor, Mr P Elliott has stated he is willing to continue.

6. Election of Officers

Secretary reported that once again no nominations had been received.

Chair said that current committee will remain in post.

Proposer: Johnny Whitehead; Seconded: Gary Welch

Chair then said he has been in post for 13 years and Secretary and Treasurer longer. He then said that both he and Nick have now moved over 50 miles away. Following his plea last year for volunteers to step forward and shadow he has decided that this will be both his and Nick’s last year. We need new officers to volunteer for next year he is proposing that the volunteers will be shadowed and supported by current incumbents. The alternative if no volunteers come forward is to make arrangements to hand the building and cottage back to the Diocese of Southwark.

He asked that in the next 3 months for volunteers to come forward and work with the Executive Committee for the remainder of the year to see what is involved prior to being

supported for the next year. The constitution states the committee should be changed every 3 years, and we have been asking for the last three years for volunteers to come forward.

Any questions? Ros said she will create job descriptions to give an idea of work required. She also mentioned that all Executive officers are Trustees. Process for those interested would be for people to contact Beddington Village Hall email address. beddingtonvillagehall@hotmail.co.uk

Ros said she appreciates general lack of volunteers across all organisations.

A question was asked if the hall is self-funding? Yes, from the rent from the cottage and hire costs.

7. Any Other Business

Any other points or questions? Tree sap has been falling on the cars making it very sticky, is there funding to get the tree cut down to the right of the gate? We will have to investigate and get a quote for the trees in the car park and also large trees in back garden.

Gary mentioned the floor being quite slippery. Yes, we were aware. We thought it might have been a bubble machine as we had checked and Karleen had not changed any of the cleaning products. Gary asked if was possible to use the gardens on hot days? Yes.

Local resident mentioned rubbish being dumped in the car park for which they had put items in their own bin. It was confirmed that Karleen ensures parties take their rubbish with them and failure to do so means with-holding of the refundable deposit. Should the rubbish be dumped after the hall was closed there is not much that can be done. But if they do notice a party dumping rubbish please email the hall. Gemma asked if there would be any benefit in us having a surveillance camera, it could also be used to manage unauthorised cars parking. Will investigate further and get a quote, it may mean we need to install Wi-Fi at the hall.

Karleen asked if groups spill coffee down the kitchen doors please could they wipe them down.

She also asked if Sliming World could you sweep up peanuts – Janet said not us.

She also asked if all groups could check and flush the toilets before they leave the hall.

8. Date of Next Meeting

The next meeting will be via Zoom at 6.00 p.m. Sunday 3[rd] December .
