The Trustees present their Annual Report together with the Financial Statements of Medway and Maidstone Athletic Club for the year ended 31 December 2021.
## **Objectives and activities**
## **Policies and objectives**
The principal objects of the charity are to promote any charitable object or purpose for the benefit of the community, primarily but not exclusively, within the Medway and Maidstone area and in particular, but not exclusively, the following:
1. The advancement of the amateur sport of athletics
2. The promotion of community participation in healthy recreation for the benefit of the inhabitants by the provision of facilities for athletics
We provide athletics to the community through our membership scheme. membership of our club is open all sections of the community regardless of race, ethnic origin, nationality, age, disability, gender, occupation, sexual orientation, religion, political or other beliefs.
## **Activities for achieving objectives**
## _Training_
Members of the club you are welcome to join one of the organised coaching groups. These cover road running and cross country, track (both sprints and middle distance), field events and multi-events. Some groups are established for specific events and age groups, but there is a suitable group for everyone. For those who train on their own, there is always the opportunity to link up informally with other members to benefit from training with somebody.
## _Competing_
Whilst training brings many benefits for athletes, the main reason to train is to prepare for competition and this is a key focus of why the club exists. We expect those who train to want to compete and this is reflected in the way we structure our membership fees – with competing membership cheaper than non-competing. Whilst the idea of competing may seem daunting for some, it is important to remember that there are different levels of competition, so everyone can compete at their level. However, athletics is one of the most inclusive sports around and the very best athletes can in the same events as those new to the sport. The club hosts a number of open meetings throughout the year which are open to people of any ability or background to participate. These also include “Run, Jump, Throw” sessions, which are for younger athletes to get their first taste of athletics.
## _Celebrating success_
It is vital that, as a club, we celebrate the success of every athlete that competes. Of course, medals, trophies titles and races are won throughout the year, but twice a year we stop to reward those within the club that have excelled. We do this at the end of the summer season with a presentation evening and again at the end of the winter season with the presentation evening and AGM.

## _Wellbeing_
The club want to provide a safe and secure environment for their members, since we acknowledge how important it is to clubs that they provide a safe and secure environment for everyone involved in the sport. We aim to achieve this by providing appropriate training and support, especially for the volunteers involved in the club.
The club also has a Code of Conduct which applies to all athletes, coaches, officials, volunteers, parents and carers.
## **Main activities undertaken to further the Charity’s purposes for the public benefit**
In shaping our objectives for the year and planning our activities, the trustees have considered the Charity Commission’s guidance on public benefit, including the guidance ‘public benefit: running a charity (PB2)’.

## **Review of activities**
The club continued to have success throughout the year in track and field, road races and cross country. The following were notable successes during the year:
- Dylan Purton – Bronze medal – South of England Championships – 200m
- Franklin Shepherd – Gold medal – South of England Championships – 800m
- Hayden Gear – Bronze medal – South of England Championships – 1500m
- Katie Stringer – Bronze medal – South of England Championships – 3000mW
- • Beatrice Fury – Bronze medal – South of England Championships – 5000mW
- • Eight athletes representing Kent at the English Schools Track and Field Championships
- Lewis Mackey – Kent Young Official of the Year
- Nia Thomas – Kent Young Volunteer of the Year
- Sian Thomas – Awarded Level 4 Field Official Qualification
## **Volunteers**
The club relies entirely on volunteers, since there are no paid staff, no paid managers. Without the time given by coaches, managers, officials and committee members, the club would cease to exist very quickly. Therefore we are incredibly grateful for all our volunteers hard work and support.
## **Principal funding**
The principal funding of the charity is derived from annual membership fees paid by the club members.
## **Going Concern**
After making appropriate enquiries, the Trustees have a reasonable expectation that the charity has adequate resources to continue its operational existence for the foreseeable future. For this reason, they continue to adopt the going concern basis in preparing the financial statements.

## **Structure, governance and management**
## **Constitution**
Medway and Maidstone Athletic Club is governed by its Constitution dated 24 October 2008 and is a registered charity number 1127057.
## **Method of appointment of Trustees**
The Chairperson, Treasurer, Secretary and a minimum of 6 others shall be the Trustees of the Club on election or appointment for the duration of their term in office and will be required to agree to this in writing
Members of the Management Committee and Trustees of the Club shall:
- be elected at the Annual General Meeting,
- and retire annually and be eligible for re-election.
## **Policies adopted for the induction and training of Trustees**
New trustees are provided with an induction pack and all trustees are encouraged to attend appropriate training courses.
## **Organisation structure and decision making**
The role of the board of trustees is to set the charity’s strategic direction, monitor the delivery of its objectives, uphold its values and governance and make decisions that leads the the charity towards achieving its vision and purpose.
## **Related party relationships**
None of our trustees receive remuneration or other benefit from their work with the charity. Any connection between a trustee of the charity with any business or activities of the charity must be disclosed to the full board of trustees in the same way as any other contractual relationship with a related party. In the current year, no such related party transactions were reported.
## **Risk management**
The trustees have assessed the major risks to which the company is exposed, in particular those related to the operations and finances of the company, and are satisfied that systems and procedures are in place to mitigate our exposure to the major risks

- Continue to invest in infrastructure and equipment to provide athletes with top class facilities
- Increase the number of members within the club
- Retain Division 1 status in the Southern Athletics League
- Continue to increase and improve our coaching provision at all levels

## **Trustees' responsibilities statement**
The Trustees are responsible for preparing the Trustees' report and the financial statements in accordance with applicable law and United Kingdom Accounting Standards (United Kingdom Generally Accepted Accounting Practice).
The law applicable to charities in England and Wales requires the Trustees to prepare financial statements for each financial year which give a true and fair view of the state of affairs of the charity and of the incoming resources and application of resources of the charity for that period. In preparing these financial statements, the Trustees are required to:
- select suitable accounting policies and then apply them consistently;
- observe the methods and principles in the Charities SORP;
- make judgments and accounting estimates that are reasonable and prudent;
- • prepare the financial statements on the going concern basis unless it is inappropriate to presume that the charity will continue in operation.
The Trustees are responsible for keeping adequate accounting records that are sufficient to show and explain the charity’s transactions and disclose with reasonable accuracy at any time the financial position of the charity and enable them to ensure that the financial statements comply with the Charities Act 2011, the Charity (Accounts and Reports) Regulations 2008 and the provisions of the constitution. They are also responsible for safeguarding the assets of the charity and hence for taking reasonable steps for the prevention and detection of fraud and other irregularities.

## **Independent examiner’s report**
I report to the charity Trustees on my examination of the accounts of the charity for the year ended 31 December 2021.
This report is made solely to the charity's Trustees, as a body, in accordance with Part 4 of the Charities (Accounts and Reports) Regulations 2008. My work has been undertaken so that I might state to the charity's Trustees those matters I am required to state to them in an Independent examiner's report and for no other purpose. To the fullest extent permitted by law, I do not accept or assume responsibility to anyone other than the charity and the charity's Trustees as a body, for my work or for this report.
## **Responsibilities and basis of report**
As the Trustees of the charity you are responsible for the preparation of the accounts in accordance with the requirements of the Charities Act 2011 ('the 2011 Act').
I report in respect of my examination of the charity's accounts carried out under section 145 of the 2011 Act and in carrying out my examination I have followed all the applicable Directions given by the Charity Commission under section 145(5)(b) of the 2011 Act.
## **Independent examiner's statement**
Your attention is drawn to the fact that the charity has prepared the accounts in accordance with Accounting and Reporting by Charities: Statement of Recommended Practice applicable to charities preparing their accounts accordance with the Financial Reporting Standard applicable in the UK and Republic of Ireland (FRS 102) in preference to the Accounting and Reporting by Charities: Statement of Recommended Practice issued on 1 April 2005 which is referred to in the extant regulations but has been withdrawn.
I understand that this has been done in order for the accounts to provide a true and fair view in accordance with the Generally Accepted Accounting Practice effective for reporting periods beginning on or after 1 January 2015.
I have completed my examination. I can confirm that no matters have come to my attention in connection with the examination giving me cause to believe that in any material respect:
1. accounting records were not kept in respect of the charity as required by section 130 of the 2011 Act; or
2. the accounts do not accord with those records; or
3. the accounts do not comply with the applicable requirements concerning the form and content of accounts set out in the Charities (Accounts and Reports) Regulations 2008 other than any requirement that the accounts give a 'true and fair' view which is not a matter considered as part of an independent examination.
