## Reference and Administratve Details 

Smitham School Association (PTA) is a registered charity established to advance the education of pupils at Smitham Primary School and Nursery by fostering effective relationships between parents, carers, staff and the wider community and by raising funds to enhance pupils' educational experiences. 

## Trustees 

During the reporting period the Association was managed by elected committee members acting as charity trustees in accordance with the constitution. Changes to the committee were approved at the Annual General Meeting held on 26 September 2025. 

## Structure, Governance and Management 

The Association is governed by its constitution. Trustees are elected by members at the AGM and meet regularly throughout the year to oversee governance, finance, fundraising, risk and expenditure. Significant funding requests are considered alongside the school's priorities to ensure charitable funds are used solely to further the Association's charitable objectives. 

## Objectves and Public Beneft 

The charity exists to advance the education of pupils by developing effective partnerships between parents, staff and the school, engaging the wider community and providing facilities and resources beyond those normally available from statutory funding. The trustees have had due regard to the Charity Commission's guidance on public benefit when planning activities and making funding decisions. 

## Actvites and Achievements 

- Christmas Fair, Christmas Shopping, Christmas Cards and Gifts, Class Raffles and Rotary Christmas Collection. 

- Summer Fair, school discos, Kidspace events, Wonder Bars, doughnut sales, book sales and pre-loved uniform sales. 

- Community initiatives including Grounds Day, new parent welcome gifts and the Pay It Forward scheme to help families access events. 

Funds raised enabled the PTA to provide a class trip and activity fund, books and an outdoor book swap cupboard, litter-picking equipment, Christmas trees and decorations, bird boxes and other agreed projects. The trustees also prioritised accessible events by 



keeping entry prices low, offering donation-based uniform and book sales and maintaining the Pay It Forward initiative. 

## Financial Review 

The Association generated gross income of £27,168 during the financial year. Following expenditure on fundraising activities, charitable grants and operational costs, the charity reported a net surplus of approximately £17,270. Year-end funds totalled £30,092. The accounts were independently examined and no material issues were identified.

## Reserves Policy 

The trustees aim to maintain sufficient unrestricted reserves to meet ongoing commitments, provide working capital for future events and ensure the Association can respond promptly to agreed funding requests without placing planned activities at risk. 

## Future Plans 

At the 2025 AGM the trustees identified several strategic priorities including improving IT provision through additional Chromebooks, supporting outdoor learning and school facilities, exploring improvements to the astro pitch, reviewing cooking equipment and continuing to deliver inclusive fundraising and community events. The trustees also intend to broaden volunteer participation and strengthen engagement with parents. 

## Risk Management 

Trustees review financial controls, event risk assessments, insurance, safeguarding arrangements and volunteer procedures for major events. Independent examination of the accounts provides additional assurance over financial management. 

## Statement of Trustees' Responsibilites 

The trustees are responsible for preparing the Trustees' Annual Report and the financial statements in accordance with applicable law and Charity Commission guidance, ensuring proper accounting records are maintained and charitable assets are safeguarded.

During the year the PTA organised a varied programme of fundraising and community events. These included the Christmas Fair, Summer Fair, school discos, Christmas Shopping, class raffles, Christmas cards and gifts, Kidspace events, uniform sales, book sales, doughnut sales, Wonder Bars, Gift for a Special Person and Pay It Forward initiatives. The Association also supported community activities including Grounds Day, welcome events for new families and pre-loved uniform sales to ensure affordable access for all families. 

Funds raised enabled the PTA to support the school through contributions towards class trips and activities, books and the outdoor book swap cupboard, litter-picking equipment, Christmas trees and decorations, bird boxes and other agreed projects. The trustees also continued initiatives that promoted inclusion by keeping event costs affordable and using the Pay It Forward scheme where appropriate.

Priorities include improvements to IT resources, outdoor facilities and other projects agreed with the school leadership. The trustees also aim to increase volunteer involvement and strengthen engagement with the wider school community.
