In the period January 1[st] , 2023, to the AGM on April 20[th] , 2023, Mano Belivanis, Richard Eades, Mark Hadfield, Matt Killingley, Jamie Moore, Alan Nicholls, Peter Silley, Julian Wright and Rachel Wright, served as Trustees. At the AGM on April 20[th] , 2023, Mark Hadfield, Julian Wright and Rachel Wright stood down as Trustees. Mark Hadfield was prepared to stand for a second term as a Trustee, nominations were advertised in the annual newsletter, distributed to the whole village. Davina Ripton agreed to stand as a Trustee and as there were only two nominations elections were not necessary. Mark Hadfield and Davina Ripton were elected and have served from April 20[th] , 2023, to 31[st] December 2023. At the first Trustees meeting after the AGM, Trustees became aware that Jonathan Brook had expressed an interest in becoming a Trustee; the meeting agreed to co-opt Jonathan Brook as a Trustee and he has served from May 10th, 2023, to 31st December 2023 Additionally, after the 2023 AGM, the Trustees co-opted to the committee Penny Raybould to add expertise to the committee. The Trustees thank Penny for her input over the year. ## **Objectives and Activities** To promote for the benefit of the inhabitants of Eyam, Derbyshire and the surrounding area the provision of facilities for recreation or other leisure time occupation of individuals who have need of such facilities by reason of their youth, age, infirmity or disablement, financial hardship or social and economic circumstances or for the public at large in the interests of social welfare and with the object of improving the condition of life of the said inhabitants. In essence this is the provision and maintenance of sport and recreation facilities for Eyam village and surrounding area. The village has a cricket field, pavilion, football pitch, a children's play area, a multi-use games area and a cycling pump track. ## **Review of Achievements and Performance During the Year** - Installed the new Container for storage, with racking, mainly for carnival equipment. - Greatly improved the path from the Church to the playground. - Booking numbers for ESA facilities are increasing. - Provided a subsidy for local youth outdoor education. - Carnival and the other events, such as the Spring Fete, were a resounding success. - Enabled village Cricket to start again by arranging friendly matches throughout the cricket season. - Finished the compliance improvements required by the Charity Commission ## **Structure, Management and Recruitment of Trustees** The ESA is made up of a Board of Trustees, nominally 9 Trustees that meet monthly to manage the charity. Additional persons with required interests/skill sets can be co-opted to Trustees monthly meetings to provide management expertise to the Trustees. Recruitment of Trustees is an ongoing process through personal contact and a call for potential new Trustees through a village ESA newsletter, delivered to homes in the village, as well as a call through the ESA Facebook page. Future management will focus on setting up of appropriate sub-groups, each with at least one Trustee, reporting back to the Board of Trustees. Currently there is a sub-group responsible for organising the Eyam Village Carnival and one that has responsibility for the Pump Track. ## **Short Term Forward Plans** - Complete the Pavilion improvements. - Improve the garage storage facility. - Complete the maintenance on fences and walls that form the ESA assets. - Fit a Zipwire in the playground, dedicated to the memory of Diana Cameron. - Improve the landscaping and drainage of the pump track area. - Get a Football Team playing by the 2024/25 season. ## Longer Term Plans - Improve the MUGA lighting and controls. - Help older residents to be actively involved as much as possible (NB landscaping of pump track area to provide seating). - Sort out marketing, website and social media, integrate with the village website. A reserves policy has been set to maintain cash reserves at £15 000; it is clear from the financial assets that the ESA has sufficient funds to maintain operation at the current rate of spend, throughout 2024. The fundraising objectives of the ESA are to work towards raising sufficient funds so as to operate a balanced budget. During 2023 we continued a substantial maintenance programme whereby the pavilion has been substantially renovated, the MUGA surface has been extensively improved, paths and boundary walls are being maintained, all through Trustee and volunteer efforts.
