Trustees Annual Report for the Period 1st July 2024 to 30th June 2025
Overview
This Trustees Annual Report has been produced as required by The Charities Commission's
requirements where in the year ending 30th June 2025. the Trust's income exC￿ded the
£10,000 reporting threshold.
On 1st July 2023. The Rotary Club of Long Eaton Dawnbreakers welcomed members of the
fonner Ilkeston Rotary Club ( closed 30th June 2023). vllth the expanded membership and
wider geographical area the club now served. it was approved by the members to change
the narne to The Rotary Club of Erewash and this also applied to the charity trust fund. On
27th September 2023, the charrty trust fund name was formalty changed.
As reported in last year's Annual Trustees Report. The Rotary Club of Erewash, alongside 3
other charities, received a substantial bequest from the widow of a former member of The
Rotary Club of Ilkeston . The initial payment from the bequest was for £220,000. A further
final tranche of the bequest totalling £15.619 was re￿iVed in the financial year ending 30th
June 2025.
For the first time the Trust will be submitting a tax retum as requested by HMRC due to the
level of income reported in last year's annual submission io The Charities Commission.

Activities and Objectives
The Rotary Club of Erewash is part of the worldwide Rotary Movement providing fellowship
and goodwill amongst the local comrnunty and raising funds to support good causes locally.
nationally and internats'onally.
The objectives as ￿ated in the Trust Deed are to ensure the relief of the poor and needy or
such other charitable purposes as the club shall in duly constituted meetings from time to
time so direct.
Structure
The Rotary Club of Erewash Charity Trust Fund is an unincorporated association providing
governance and fiduciary management on behalt of the members of The Rotary Club of
Erewash.
There are 5 trustees who are appointed I re-appointed annually at the Club's EGM.
The governing document is a trust deed dated 3rd July 2007 and amended 27th September
2023 to reflect the name change. The underlying deed is a standard template deed
approved by Rotary Intemational and The Charities Commission for England & Wales.
Governance - General
The trustees meet quarterly and all meetings are duly minuted and reported to the
membership of The Rotary Club of Erewash. If an eX￿ptIOnal matter arises OLtside of the
agreed meeting schedule, additional meetings can be convened as required subject to all
tTUStees being available.
The Trustees, objectives are to approve requests for charrtable donations proposed by the
club and l or fund raising events in tfrE charty's name. The reqUe￿S received can be for
specific projects or individual donations re￿iVed from the public or proposed by individual
members.
The trustees look to ensure:

The bona fides of all proposed recipients and that the purpose is in line wrth the
general objectives set out within the trust deed
The sums proposed are reasonable and proportionate
Ensure evidence received of the funds being used in line with the original proposal
Ensure that any fund raising event in the name of the charity does not risk damaging
the club I charity trust's reputation and that a full Health & Safety Risk Assessment
has been undertaken to protect both the public and members.
All requests before the trustees have to be passed by a simple maj'ority vote.
On 29th August 2024, the Trust was approved for Gift Aid status by HMRC.
Governance -Financial
The trustees have a duty to ensure that all funds held by the Trust at any time are receiving
the best possible return and with particular regard to the risk to the funds held.
The trust held 3 accounts with the Natwest Bank as of 30th June 2025:
Current Account - instant access cheque account where minimum funds are generally held
to allow for urgent donations and expenditure. This account attracts no interest. At the 30th
June 2025, the balance on this account stood at £82,204.27. The surn is subsLantially higher
than is usually held but this was to allow the transter of fvnds into a new bank account
outside of Natwest ( see below)
Business Reserve - instant access account paying interest. Holds funds which will be
required in the short term but not imrnediaiely. The balance as ai 30th June 2025 stood at
£20,000.
95 Day Notice Account- pays interest at a higher rate but subject to 95 days notice on all
wilhdTawals. At 30th June 2025, the balance *ood at £88,842.92.
In the year to 30th June 2025, the total Intere￿ earned across all accounts was £5,614. All
interest is received gross.
The only assets managed by the trustees are cash held on bank accounts as detailed.
The members of The Rotary Club of Erewash have previousty agreed a 5 year strategy to
maximise the benefit of the funds received via the bequest. Alongside funds raised via
general activities, there is an aspiration to make donations totalling a minimum of £40.000 in
the 5 years from 1st July 2024 and to ensure the widest possible number of causes benefit.
In the year 1st July 2024 to 30th June 2025, charrtable donations totalling £49.253 were
made.
The trustees are aware that there is a potentid risk with all funds being held with a single
financial institution and where the charity is only afforded protection of a M￿lmuM of
£85,000 under the Financial Services Compensation Scheme ( FSCS). Accordingly, post

year end a sum of £85.000 has been transferred to a one year fixed deposrt wilh The
Charities Bank which affords the full £85.000 protection under FSCS.
The trust prepares full accounts ( on a simplified cash accounting basis) and which are
independently examined by a suitably qualifi'ed, external party with no affi'liation to the Rotary
Club of Erewash or any of its members.
The accounts to 30th June 2025 were prepared by Paul Burrows who is the Trust Treasurer
with over 20 years experience as a Treasurer within Rotary and 42 years experience as a
Commercial Banking Manager before retiring in 2025.
The accounts have been independently e￿￿mined by Miss Joy Thurman who has 40 years
experience as an accounts manager at a local accountancy fim).
The club and charity trust fund benefit from a blanket insurance policy provided io all Rotary
Clubs by Bartlett & Company Chartered Insurance Brokers and underwritten by Aviva
Insurance PLC and Chubb European Group Limited. The policy affords the following cover::

Events and Disbursements
Alongside donations from events held by 3rd parties. the club organised the following events
in the name of the Charity Trust Fund:
A series of summer bart)eque focKI sales at local car rallies and a charity horse ride
A charity quiz
Management of charity stalls at the Long Eaton Christmas Lights Switch-on
In the year to 30th June 2025, the Charity Trust Fund approved donations totalling £49,253
which are fully detailed within the accounts presented alongside this report.
In the year to 30th June 2025 the club and charty trust fund supported and promoted two
events taken on by individual members to raise funds for 3rd paty charities. These events
were not events run by the charity trust and no funds passed through the accounts of the
charity trust but ￿e detailed here for full disclosure.
l) Ryehillbury- a free to enter music event where attendees were invited to make
non-obligatory cash donations. Cash donations totalled £525 and were passed by the
organising member directty to the charty: Derby & Sandiacre Canal Trust (
Registered Charity No. 1042227)
2) A curry night held at a restaurant in Ilkeston and where the profits of £550 were paid
directty to the beneficiary charity Hope Community Village in India ( Registered
Charity no. 1041185).
