The Association would like to thank our service users, training groups and customers who together assist in the continuity of the Centre. The Trustees have given regard to the Charity Commission’s guidance on public benefit. ## _Activities_ The Centre is home to a well-established group of partners who use the Centre for various activities which include: zumba fitness and tone, karate, fit over 50 exercise class, elderly day centre, pre-school nursery, youth club sessions for 8 to 13 year olds, Lego club, puppy training and dog activity classes, the women’s institute, a variety of adult art and craft groups: Lady Isabella Craft, Isabella Crop Circle, Lace Making and Patchwork Quilting. Little Kickers sporting activity for toddlers, Sport England Netball and baby and toddler group. The activities of the Centre influence the lives of many, from all walks of life and age range. Many of whom have and continue to progress to further training/education or employment. The organisation is very proud of this achievement and we look forward, with optimism, to many more years of enabling local people to improve their social and economic circumstances through the provision and activities at our Centre. After a lengthy time away, due to the pandemic, Age UK elderly day centre returned starting with two days per week however due to the need of the day centre they are now back to five days per week with attendance ranging from 14 to 20 each day. The Gilbert Ward Academy was with us for five months whilst their new school was being built on Princess Louise Road. It was a very challenging time for our regular community users, staff and volunteers. There was quite a lot of damage caused by the school children. The academy has now moved in to their new school and the community centre is in the process of replacing and repairing the damages. Our kitchen is once again busy cooking daily meals for the elderly day centre and pre-school. Funding from the Asda Foundation allowed us to provide low-cost hot meals for collection. We continue to provide the Gilbert Ward Academy’s students lunch which is prepared onsite then collected and taken to the school daily. Our toddler group, run by volunteers Susan and Natasha, and our Lego club run by Sam Haley who also volunteers his time weekly. Both groups have been well attended and successful. Funding from the Lottery has enabled us to purchase additional equipment/toys for the groups. I would like to take this opportunity to thank the staff and volunteers at the centre for the hard work, loyalty and dedication they show, also the board members who make up the management committee who give their time freely to assist the centre to progress and provide as much as possible to the communities we serve. We appreciate both the general and financial assistance of all those who have found time and made the effort to become involved in their community._ BLYTH ISABELLA COMMUNITY CENTRE ANNUAL REPORT ## **Minutes of the Annual General Meeting of the Isabella Community Association held on Monday 21[st] March 2023 at 10.00am in the Isabella Community Centre.** ## _**1. Chair.**_ The Treasurer welcomed members to the meeting and gave domestic and safety advice. Copies of the Annual Report covering year period 2022 and the Annual Accounts for 2022 were distributed. Reference was made to the Chair’s written report. During last year there were no additions or resignations from the board. Staff members and volunteers were thanked for their dedication to the Centre. _**2. Present.**_ Ann Jenkinson, Lesley Jenkinson, John Potts, Alan Fryer, Pauline Hodgetts, Richard Jenkinson, Sam Haley, Stephen Perry, Diane Robson. _**3. Apologies.**_ Susan Townsend, Natasha Townsend _**4. Minutes.**_ The minutes of the AGM held on Monday 9[th] May 2022 were agreed a true record. _**5. Matters arising not on the agenda.**_ Discussed the return on Age UK as for the last two years they have said they are coming back but still no date confirmed. Hopefully in the Summer. The sensory room had some health and safety concerns which have been resolved. Discussed grants and funding, a lot of grants are quite restrictive and it is harder to obtain core funding than it is for capital funding. Staff were updating their training. PAT testing, although not law, has been carried out. The shed out back has suffered a lot of vandalism and is very old, will eventually need to be replaced with something stronger such as a steel shed. The gardens have new raised beds ready for the day centre to return and the youth club to get involved in gardening projects, could use one of the beds for an herb garden. ## _**6. Treasurer’s report.**_ The treasurer, John Potts made reference to his written report and took members through the financial report and year end account. He discussed the deferred grants which causes some difficulties on Sage as it doesn’t reflect the true account due to not showing up on the P&L reports. Discussed credit in current account and that it costs approximately £100,000 a year to run the centre. Discussed the solar panels investment which have now paid for themselves and the generated income offset some of the annual energy costs. Possibly in the future look into some other kind of investment for long term benefit. The funders were thanked for their contributions. Staff numbers were now 6 (3 core staff and 3 sessional staff). The more detailed report of income and expenditure was discussed. There were no further questions and the report was agreed. ## _**7. Nominations for the Board.**_ The constitution stated that the Board should have a minimum of three and a maximum of twelve members. John Potts, Ann Jenkinson, Richard Jenkinson, Susan Townsend, Natasha Townsend and Pauline Hodgetts were prepared to serve on the board and they were nominated. _**8. Election of Directors.**_ The six nominees – Ann Jenkinson, Richard Jenkinson, John Potts, Susan Townsend, Natasha Townsend and Pauline Hodgetts. ## _**9. Recognition of Funders, Partners and Service Users.**_ All the organisations in the report were thanked for their continued support. _**10. Appointment of Auditors.**_ It was agreed to re-appoint Northumberland Accountants as auditors. _**11. Close.**_ The annual general meeting closed 11.30am BLYTH ISABELLA COMMUNITY CENTRE ANNUAL REPORT ## **TREASURER’S REPORT** ## _**Financial Review**_ We ended the year with a small surplus of £3,093, slightly less than the previous year’s £3,632. There were no deferred payments in 2023. Our total funds brought forward were £147,703 and now stand at £150,876. We rely on donations from other organisations to balance the books but securing funding remains difficult. The property is leased from NCC at a peppercorn rent until 2028. We have no other substantial fixed asset that have not already been depreciated. ## _**Principal Funding Sources**_ We continue to be reliant on grants from various organisations, for which we are grateful, and these are recorded in the accounts. Our income from grants was £20,775 compared to £71,444 the previous year. Together with our other trading income our total income for the year was £101,372, slightly down from the previous year’s £109,902. ## _**Expenditure**_ Our employment costs were £58,088, which was slightly less than the previous year’s £59,362 due to the loss of our permanent chef. We had three core workers, a part-time worker and three youth workers, which we need to retain to provide the service we offer. All the staff are paid on an NJC salary scale, which is increased annually, and are entitled to join the pension scheme dependent on their wages. Our total expenditure for the year was £98,279, down from the previous year’s £106,270 mainly due to reducing running costs for the property. ## _**Investment Policy**_ Aside from retaining a small amount in reserves each year, most of the charity's funds are spent in the short term so there are few funds available for long-term investment although we increased our bank interest from £141 to £834. ## _**Reserves Policy**_ Our long-term aim is to build enough reserves to cover one year’s expenditure through operating surpluses. The Board is aware that funding applications are torturous and time-consuming and during this difficult financial period our excellent applications are in competition with other organisations for limited resources. ## _**Plans for the Future**_ The Board continues to monitor annual salaries to ensure that all expenditure is justified on our core staff. The services provided by the youth workers can only be funded if we can secure external resources. We endeavour to control our running costs but will be subject to inflation. There were no major works last year, but we will need to update the building this year with lots of minor works to bring the property back to a better state. Many of our facilities last year were occupied temporarily by the Gilbert Ward Academy. In previous years the clients from Age UK have not been in attendance but they are now booking rooms and meals on a regular basis. The sensory room also generate some income but does need a major overhaul. We will be reviewing our lease agreement for the land and property. BLYTH ISABELLA COMMUNITY CENTRE ANNUAL REPORT We continue to bank with Santander and there have been no issues. The online version of the Sage software package has been running successfully and use of emails cuts the postage costs. ## _**The Management Committee**_ The directors of the company are also charity trustees and are known as members of the Management Committee. Under the requirements of the Memorandum and Articles of Association the members of the Management Committee are elected to serve for a period of one year and are elected at the A.G.M. The company shall have a minimum of three and a maximum of twelve members. All members of the Board give their time voluntarily and receive no financial benefits from the charity. ## _**Director Induction and Training**_ Most Directors when they join the Board are already familiar with the services run by the charity; the staff employed; the volunteers and the layout of the building. Aspiring Directors are invited to attend meetings in an observer capacity and new Directors are welcome. ## _**Risk Management**_ Procedures are in place to ensure compliance with health and safety of staff, volunteers, clients, and visitors to the Centre. We have CCTV to monitor security of the premises and Fire inspections and drills are held regularly. Systems have been established to mitigate the risks the charity faces in cash handling. We have a cash card policy and online banking security, and payments may be made electronically. We review our policies to ensure they are up to date including data protection rules (GDPR). ## _**Organisational Structure**_ One new director joined the Board. We have re-started regular committee meetings where members oversee the strategic direction and policies of the Centre. The Centre Manager who is also the company secretary provides a monthly report to the Board. The responsibility for the day-to-day provision of services is delegated to the Centre Manager as is the responsibility for staff supervision and good working practices. The annual accounts and Directors details are updated after the AGM on the Companies House and the Charities Commission website and are available for public inspection.
