Minthinhampton School PTA Roport of the trustees Forthe year ended 31 August Z025 The trustees present their report and the unaudlted financial Statements (prepared on the receipts and payments basis) for the perlod ended 31 August 2025. Structure, Manaiement, and Governance Mlnchinhampton School PTA is a charitable trust established under a constit¥Jtion dated 27 June 2006 (amended on 12 February 20151 and registered with the Charlty Commission on 9 March 2007. The charity 15 governed by a board of tru5tee5, as listed on page l. The trustees delegate the day-today operation of the charity to a team of volunteers primarily con515ting of parentslcarers of children who attend the school, and school staff. PTA committee meeting5 are generally held every half term, or as required. All parents/carers of children attending the school are invited to attend committee meetings, along with staff representatives from the school. Sub-¢ommittees are set up a5 requlred to (Trordinate the vaTIOU5 fundraising events throughout the year. The trustees review the rlsks facingthe charity on an ongoing basls and have put In place systems to manage and mitigate such risk5. Activhles and objertNes The charity's objects are to ralse funds in the local community and. where possible, further afield, entlrely to be expended for the benefit of the pupils at Mlnchinhampton School through the subsidy of educational tfiP5. the purchase of "capital" items for use in school, whethèr sportin& artistic, cultural. or speclflcalty educational and generally to help further the sthool's goal5. In setting their objectives and plannin8 the charity's activities, the trustees have 8Sven careful consideration to the Charity Commission's general guidance on public benefit. summary The income for 2024-25 was £28.699 in comparison to £44648 in 2023-24. Expenditure for 2024-25 wa5 £40487 In comparlson to £38728 in 2023-24. The bank balance5 on 31a August 2025 were £3215 in the Treasurers Current account and £8475 in the Dep051t account. There is also a cash float of £100 Isee Note I after the Balance sheet) outstanding as It was retained in case Ice Cream Fridays were going to be run in September 2025. The trustees declded to keep the level of reserves to £5500 for the year 2024-25 and to malntsin the trip subsidy at £IOlhead. As usual thls wlll be reviewed In the new financial year. The Quiz Nlght was run in early October with the food theme being a barbeque. The social event making a profit of £565 in comparison to £724 in the previous year. The 2024 fireworks event was as popular as ever brlnging people from the whole communlty together and resulted in raisin8 a profit of £6534 despite a large increase in the cost of insurance1£14061. As a couple of items needed to be paid for in advance of the 2025 fireworks in this financial year, the profit and loss account shows a different amount. The items were a deposit to Secure the toilet hire1£901 and the PA system and Laser Show1£12301. A member of the school community ran a Christmas Wreath workshop donating £54 to the PTA.
Mlnchlnhampton School PTA Report of the trustees For the year ended 31 August 2025 It was declded that the Christmas events would be much more low-key affairs this year due to the lack of recruitment of lead volunteer5 for the annual Christmas Fair. These consisted of usual raffle at the beginning of December1£13861, a Film Night1£3661 and Festive Friday$1£10181 which included the ever- popular Secret Present Room. Christmas Trees contribution was £330 in comparison to £386. This income is down to the generosity of the Robb'5 who donate a percentage of the tskings from the Min¢hinhampton school parents, sales. The disco was popular a5 ever amongst the school children as a social event and profits were slightly up on the year before at £514. Once again, the Easter Egg Hunt was kept as small event immediately after school on a Friday rather than a larger event on a weekend afternoon. This made £636 in comparison to £321 the year before. The ever-popular Ice Cream Friday returned in the summer term bringing in £399 profit. This does include the takings of £106 from the13st day of the Summer Term of 2024 which did not get banked until september 2024. This is in comparison to the rÈcorded profits of £465 from the previous year. This is to be expected as there were only three Ice Cream Fridays rather than six In the summer of 2024. As the PTA Is now Gift Aid registered a claim wa5 Put in durin8 April 2025 for the eligible cash donations ralsed as part of the fundraiser where school children ran 1000 laps in the previou5 year. The Gift Aid claim amounted to £283 which wa5 added to the restricted fund for the SEN part of the outdoor space which Is still to be constructed. A5 no monie5 from the SEN restrirted fund have been Spent the total for thls fund currently stands at £790. Thi5 also Includes a Gift Aid payment of just over £7 from online sponsorship which was paid in September 2024. DonatSons to the school £27189 is a large increase from the previous year which were £21186,. thSs was partly due to the balance on the playground Phase 2 not being paid until September 2024 and payment for Phase 3. The PTA honoured the usual annual comrnitments of Scrapstore subscription. trips subsidy, and Year 6 leavers gifts. School curriculum resources for Early years equipment were also funded. The school's maln focu5 this academic year after completlon of Phase 3 of the OLrtdoor space was developin8 a vegetable Barden. A 8roup of parents from the school community worked alongside Nicola Wood who spear-headed this project. The PTA ¢ontributed grant writing expertise and raised funds to enable this to EO ahead. In the financial year 2024-25 monies raised through grants and PTA fundraising amounted to £4143. Other grants were paid straight to the school. Long term this project Is aiming to be self-sufficient therefore not requiring further PTA funds to maintaln it. The SEN and vegetable garden fund5 are now kept in the deposit account so they can be tracked in finance reportln8 to the PTA. See Note 2 after the balance sheet. Committee overhead5 were once again down on the previous year at £673 in comparison to £926. The majority of thls is the monthly 5ub5cription to Xero an accounting package which 15 linked to the PTA bank feed and makes the reconciliation of monie5 far less onerous on the treasurer. A5 Xero has evolved over the last couple of years the packages they offer wlll need to be reviewed to decide which one is the most cost effective one for PTA requirements. The remalnin8 overheads were the annual subscrlptions for Localgivin& Parentkind and the small lottery license. Regarding expense5 there were just the AGM e¥pen5es1£221.
Minchifihampton School PTA Report of the trurtees For the year ended 31 August 2025 There are a variety of other revenue and donation stream5 that add to the PTA'S annual income these include uniform sales, Your School Lottery, easyfundraising, Localgivin& and Bristol Textiles. Thi5 year Localgiving was used as a platform for online sponsorship. Even Ihough it provided a $1mple way for u5 to collect money there was a percentage fee taken and a 20p chargeltransaction in additron to the annual subscription. It was decided to cancel the Localgiving subscription in lune 2025 and when relevant different way of managing online donations will be investigated. Report to the trustees Charity Name Minchinhampton School PTA On accounts for the year 31 August 2025 Charity no 1118308 ended (if any) Set out on pages 1-4 (remember to include the page numbers of additional sheets) I report to the trustees on my examination of the accounts of the above charity (“the Trust”) for the year ended 31 / 08 / 2025 . Responsibilities and As the charity's trustees, you are responsible for the preparation of the basis of report accounts in accordance with the requirements of the Charities Act 2011 (“the Act”).
I report in respect of my examination of the Trust’s accounts carried out under section 145 of the 2011 Act and in carrying out my examination, I have followed all the applicable Directions given by the Charity Commission under section 145(5)(b) of the Act.
Independent I have completed my examination. I confirm that no material matters have examiner's statement come to my attention in connection with the examination (other than that disclosed below *) which gives me cause to believe that in, any material respect:

the accounting records were not kept in accordance with section 130 of the Charities Act; or

the accounts did not accord with the accounting records; or
-
the accounts did not comply with the applicable requirements concerning the form and content of accounts set out in the Charities (Accounts and Reports) Regulations 2008 other than any requirement that the accounts give a ‘true and fair’ view which is not a matter considered as part of an independent examination.
