The PTA operates with the support and goodwill of the school’s Headteacher and staff. The PTA is grateful for the ongoing guidance and

## **2. Structure, Governance and Management** 

## **Governing Document** 

The PTA is a registered charity governed by its constitution, which was adopted on its registration with the Charity Commission. The 

charity exists to support the educational and social development of pupils at Brookmans Park Primary School, and to foster strong links 

between parents, teachers and the wider school community.

## **Recruitment and Appointment of Trustees** 

Trustees are elected at the Annual General Meeting (AGM) by members of the PTA. All parents, carers and staff of Brookmans Park 

Primary School are automatically members of the PTA. Officers (Chair, Treasurer and Secretary) and ordinary members of the committee are elected annually at the AGM. Vacancies may be filled by co-option by the existing committee between AGMs. 

## **Organisational Structure** 

The PTA is run by a volunteer committee comprising elected officers and ordinary members. The committee meets regularly throughout the academic year to plan and oversee fundraising activities and events. Day-to-day decisions are taken by the Chair in consultation with fellow officers, with significant decisions referred to the full committee. 

## **Risk Management** 

The trustees have assessed the major risks to which the charity is exposed. Key risks identified include: reliance on a small number of volunteers; the financial impact of a poorly attended event; and reputational risk. These risks are mitigated through careful event planning, strong community engagement, diversified income streams and maintaining a positive and transparent relationship with the school, parents and carers. 

## **3. Objectives and Activities** 

## **Charitable Objects** 

The PTA’s charitable objectives, as set out in its governing document, are to advance the education of pupils at Brookmans Park Primary School by providing and assisting in the provision of facilities for education not provided by the local education authority, and to develop effective relationships between staff, parents and others associated with the school. 

## **Public Benefit** 

The trustees confirm that they have had regard to the Charity Commission’s guidance on public benefit when planning and carrying out the charity’s activities. All funds raised are used directly for the benefit of pupils at Brookmans Park Primary School and the wider school community, including parents, carers and staff. 

## **Main Activities** 

During the reporting period, the PTA’s main activities were: 

•  Organising and running fundraising events throughout the academic year, including the annual Village Day, Halloween Disco, Quiz Night, 

Christmas activities, Laser Light Show and Wreath Making Workshop. 

•  Running ongoing income streams including the Family Lotto, pre-loved uniform shop, Little Recyclers clothing collections and the Easy Fundraising scheme. 

•  Building commercial partnerships with local businesses and organisations to generate additional income for the school. 

•  Communicating regularly with parents and carers via a new website, Instagram account and improved parent communications.

•  Volunteering at school events and supporting the school community throughout the year. 

## **4. Achievements and Performance** 

## **Overview** 

The reporting period has been one of the most successful in the PTA’s recent history. Under new leadership, the PTA was significantly 

restructured and reinvigorated, with a new brand identity, digital presence and approach to community engagement. The committee 

worked tirelessly to deliver an ambitious programme of events and activities, raising significant funds for the benefit of pupils at 

Brookmans Park Primary School. 

## **Fundraising Highlights** 

## **Brookmans Park Village Day** 

The annual Village Day is the PTA’s flagship fundraising event, bringing together the whole community for a day of family entertainment. 

In 2025, the event raised £12,085 and featured a wide range of attractions including rides, live entertainment, a food court, commercial 

and charity stalls, a bar, and a raffle and auction. Plans are in place to build on this success in 2026, including the introduction of a Village Day brochure with advertising space. 

## **Quiz Night** 

The annual Quiz Night was very well attended, raising over £2k in the 2024–24 academic year. The event was praised for its 

atmosphere and community spirit. 

## **Halloween & Summer Discos** 

The biannual Discos ran smoothly, with positive feedback from parents and children alike. 

## **Ongoing Income Streams** 

The Family Lotto continued to grow, with new sign-ups during the reporting period. Pre-loved uniform sales increased significantly, 

providing both a fundraising income and a sustainability benefit for the school community. The Easy Fundraising scheme generated 

£254 in the period. Little Recyclers clothing collections provided a regular and growing income stream. 

## **Impact of Funds Raised** 

Funds raised during the reporting period have made a direct and meaningful difference to the lives of pupils at Brookmans Park Primary 

School. Key projects funded include: 

- A complete overhaul of the school library, including restocking and refurbishment. 

- The launch and resourcing of the OPAL (Outdoor Play and Learning) scheme, improving outdoor play facilities and experiences for all 

pupils. 

- Ongoing support for school resources, equipment and enrichment activities.

## **5. Future Plans** 

The trustees look forward to building on the success of the reporting period. Key priorities and planned activities for the coming year 

include: 

- Delivering the 2026 Village Day on Saturday 20th June, with a Winnie the Pooh centenary theme, a new Village Day brochure and 

enhanced attractions. 

- Hosting a professional circus performance on the school grounds in October 2026, bringing a unique and exciting experience to the 

- whole school community. 

- Fundraising for new AV, lighting and projector equipment for the school hall, to inspire a new generation of performers and build 

- confidence in public speaking. 

- Continuing to grow the Family Lotto, pre-loved uniform shop and Easy Fundraising income streams. 

- Exploring new events and activities, including a welcome event for new parents, Christmas carols, and a colour run. 

- Continuing to build commercial partnerships and explore grant funding opportunities.

## **Independent Examination** 

As a charity with an annual income below £250,000, the PTA is not required to have its accounts audited, but is required to have them 

independently examined. This was completed by Sanjay Parmar, a chartered accountant.

Hi Claire, 

I'm happy to say I've completed an Independent Examination of the Brookmans Park PTA accounts for the year ending 31st August 2025. 

As discussed, the Trustees can request an Independent Examination of the accounts where Revenue >£25k and <£1mn. 

I've carried out the following checks, and no issues were noted: 

## **1. Bank Reconciliation Testing** 

Review of the opening and closing balances, reconciliation to Bank Statements and tying to the balance sheet. 

## **2. Income Testing** 

Review of a sample of revenue items and tying to the P&L and bank statements. 

## **3. Expenditure Testing** 

Review of a sample of expense items and tying to the P&L, bank statements and receipts. 

## **4. Accruals testing** 

Review of accrued items including prepayments, accrued income and lotto accruals. 

## **5. Analytical review and sense-check** 

Check that accounts are balanced. 

In the course of my examination, no material matters have come to my attention. 

The procedures undertaken do not constitute an audit and I do not express an audit opinion.
