Micklands Pre-School Annual General Meeting Statement Dated 10 January 2024

(Apologies from committee members Tracey Patterson and Sheik Edoo who are unable to attend tonight).
Welcome everyone to our AGM for the financial year 1 April 2022 – 31 March 2023.
I have been the Chair of the Committee for 3 or 4 years with Graham and Nikki joining at around the same time. We came onboard at the beginning of the pandemic to steady the ship and make sure the pre-school could continue to run, overseeing the complete internal refurbishment of the pre-school building during the summer of 2020.
Our financial position remains very healthy (which Laura which explain a little later on) and our business continues to flourish due to the consistent number of children attending and of course our fantastic staff team.
We have plans to invest further in our garden with some permanent shades over the sandpit and other outdoor areas.
The day to day running of the pre-school is carried out by the staff management team of Cherry, Claire and Laura. A parent committee is simply required in order for the pre-school to exist and continue to operate. Our role is to oversee the management team and make the larger financial decisions that they pass on to us such as pay rises, substantial expenditure, long term projects etc. We also discuss matters such as lease renewal and policy reviews, and help out at pre-school events when required.
Joining the committee is not an onerous commitment at all, we aim to meet once a term. I very much welcome any parents that would like to get help to reach out to the team or me, we would love to get you involved.
’ – 2. Supervisor s Report Given by Cherry Grayston
This year has seen significant changes to our pre-school. We have embraced a new style of learning called “Planning in the Moment” which has really enhanced the children’s learning. We have changed some of our single use resources to open ended resources enabling lots of creativity and imagination. The room layout has changed, providing more space and flexibility with movement. The children’s learning is now based around their likes and interests which has shown more engagement in their play.
We are still providing continuous provision both inside and out. We have made a lovely cosy area for our book corner adding a new bookcase, fairy lights, rug and large floor cushions.
We have taken on three new members of staff, Abigail, Cheryl and Rowan all of whom I am sure will be an asset to our team.

The staff team have undertaken a vast amount of training including ‘Planning in the Moment’ training with Anna Ephgrave, attended a ‘Playful Beginnings’ conference, Physical Development, Trauma training, Intensive Interactions and Claire has obtained her Level 3 SENCO award. The majority of the team have also completed Attention Autism training. I am now completing a Covid Recovery Programme to help support our children born during the pandemic.
We have been busy developing the garden area to reflect our ethos inside. We have replaced the old train with a fantastic new low level climbing frame, added some small sheds so that the children can access the resources independently. We have added large loose parts such as ropes, crates, large bricks, tyres and other open-ended resources. Our mud kitchen is very popular. We have also replaced our old canopy with a lovely new carbon fibre and aluminium structure providing shade and shelter.
Our business is continuing to thrive with our number of children attending increasing.
– 3. Report for Financial Year 2022/2023 Prepared by Laura Burnett
This report is for the Financial Year 1 April 2022 – 31 March 2023. As is the case every year, our accounts and the Income & Expenditure Report has been independently checked and signed off our accountants, Haines & Co.
We had a combined “surplus” in our Main and Savings Accounts of £114,742.65 on 31 March 2023. Whilst this is a decrease on the previous year’s figure of £143,070.78, I need to highlight that Committee spend around £41,000 on the fantastic new outdoor all-weather canopy and other outdoor equipment. Taking this into account, the “surplus” of £114,742.65 on 31 March 2023 is a great achievement.
It is a requirement to briefly explain the Income & Expenditure Report for our Year End 31 March 2023. The balance brought forward for our Main Barclays Bank Community Account from the previous Financial Year was £52,175.37. Our Income for the period was £188,497.14 and our Expenditure was £164,755.78. This gives a Cash Book Balance in our Main Account on 31 March 2023 of £23,741.36. This agrees with the Barclays Bank Community Account Statement for this period.
Turning now to our Barclays Bank Savings Account, this had a balance of brought forward of £90,865.41. With interest earned, the balance for this account was £91,001.29 on 31 March 2023. This agrees with the Barclays Bank Savings Account Statement for this period.
We continue to keep a working amount in our current account with the rest being held in our savings account in accordance with our Reserves Policy. This is to act as a buffer against any drop in our income, to cover six months’ running costs of the pre-school and to cover any other unexpected major expenditure. The Committee also remains vigilant to the ever-increasing burden on our finances due to the large annual increases in the National Living Wage and the disproportionate and inadequate government early years funding we receive.
Our next financial year ends on 31 March 2024 and I can confirm our current financial position continues to remain healthy.

4. Election of the Committee
Those standing and duly re-elected were:

- Hannah Wetton and Graham Dibley both expressed interest in joining the committee.
Action: Laura will arrange the necessary initial paperwork and then pass on their details to Colin to invite them to attend the next committee meeting.

Action by Laura – Amazon Smile was discontinued in 2023 but we are registered with www.easyfundraising.org.uk - details will be provided in our newsletter/ by Parentmail.
- Do we have a wish list?

- As Micklands Pre-School is a charity, can we claim gift aid on the fees charged to parents?
Laura confirmed that we can only get gift aid on the £15 half termly voluntary donation and we already claim this.
