## **Objectives, Activities, Achievements & Performance**

Summary of the  To manage the Old School Hall for the benefit of the<br>purposes of the  community of Llandyssil. To facilitate the renovation and<br>charity as set out  improvement of the Hall better to meet the needs of current<br>in its governing  users by improving the facilities, to provide sustainability and<br>document to attract new users and greater community involvement.<br>To encourage and provide access for all in the community to<br>engage in stimulating creative, social, leisure, educational and<br>health-promoting activities and support mental and physical<br>well-being.<br>To develop and encourage the sharing and development of<br>talents, to learn new skills, which could include sharing the<br>skills of members of the local community or by inviting<br>creative people into the community. To ensure that the<br>Constitution, Health and Safety, Environmental, and<br>Safeguarding Policies including Equal Opportunities are<br>supported both in principle and in action.<br>Expenses Policy:  The Trustees have during ‘Lockdown’<br>approved and introduced an Expenses Policy.<br>Meetings:  The Trustees have met regularly and safely during<br>the period of Lockdown .   However, it was not possible to hold<br>an AGM or to meet with the wider community via the internet,<br>Zoom etc., as many residents do not have access to the<br>internet.<br>Summary of the  The Charity provides a place where the community can<br>main activities in  socialise, learn and stay both mentally and physically well.  We<br>relation to those  organise a wide range of social activities e.g. coffee morning,<br>purposes for the  quizzes, talks, Film and Race nights etc.  In addition the Hall<br>public benefit, in  is hired at a very rate economic to groups such as Line<br>particular, the  Dancers, Yoga, Pilates, Craft, Women’s and Gardening Groups<br>activities, projects  etc.  The Hall is used by the Statutory Sector for meetings,<br>or services  community consultation and for National & Local elections.  In<br>identified in the  addition we organise the annual Dragonfest in September, a<br>accounts. day of entertainment for everyone, which is our biggest<br>fundraiser.  We also manage and run a Llandysill Website and<br>produce a quarterly newsletter which is delivered to every<br>home.<br>Village Survey:  The Trustees distributed  a Village Survey<br>asking all residents what they wanted to ‘happen’ in the<br>Village Hall.  We were disappointed with the response but did<br>receive some suggestions which we are in the process of<br>introducing.<br>During Lockdown:  The Trustees erected an additional notice<br>board to inform the community of the help available to them in<br>terms of shopping, deliveries of food and prescriptions.  We<br>also contacted local businesses asking them to deliver<br>essential items to the Village.  Information was published on<br>our Website and in the Newsletter.  In addition, we have set up<br>an email contact list to let people know what was happening.<br>We hope to extend this list in the coming year.<br>The Old School Hall Renovation:<br>During Lockdown The Trustees took the opportunity to<br>**----- End of picture text -----**<br>

renovate the Old School Hall, this included:<br>Internal and External Painting.<br>Purchase of additional  cleaning equipment, hoover, floor<br>scrubber, waste bins, etc.<br>Removal of unwanted items.<br>Deep cleaning the Hall.<br>Carrying out a Covid Risk Assessment and purchasing items<br>that would protect the public.<br>New internal and external Notice Boards.<br>Caretaking and Cleaning:<br>The Trustees had a contract with the Caretaker who works on<br>a self employed basis.  It was agreed that we change this job<br>description to that of taking bookings, opening & closing the<br>Hall, removal of rubbish and maintaining the outside areas,<br>grass cutting etc.  When we reopened it was agreed to allocate<br>the internal cleaning of the Hall to another contractor, who<br>would ensure that the Hall be sanitised after each booking.<br>This arrangement has worked well but adds to our costs<br>considerably.<br>Old School Hall Picture Gallery:<br>It was agreed that Lockdown provided the ideal opportunity to<br>decorate the walls of the Hall with pictures and photos<br>depicting the rich history of our community.<br>Statement  The Trustees are aware of their responsibilities in regard to<br>confirming  the Charity Commission.<br>whether the  Trustees Information Pack:  We produced an Information<br>trustees have had  Pack for both new and prospective Trustees in February 2021.<br>regard to the<br>guidance issued<br>by the Charity<br>Commission on<br>public benefit<br>**----- End of picture text -----**<br>

Policy on social  This issue has been discussed many times at meetings,<br>investment including  however, it has been decided not to pursue this any<br>program related  further, especially as our reserves are diminishing due to<br>investment Lockdown.<br>Contribution made by  The huge contribution made by our many volunteers<br>volunteers cannot be over estimated.  Llandyssil is an isolated area<br>with no bus service, no village shop, no village pub  and<br>above the national average of older people.  In fact, we<br>depend entirely on our volunteers  to run many activities.<br>Other The decision to close the Hall due to the Coronavirus<br>Pandemic was made by the Trustees at the end of March<br>2020.  The Trustees then appealed for additional<br>volunteers to help provide direct services to the<br>Community. ## **Additional information** 

## **Coronavirus** 

The Pandemic has meant that we have been unable to open from March 2020.  The Hall is relatively small and 



cannot be used safely.  This has meant that we lost all rental income and have been unable to carry out any fundraising activities.

## **Responsibilities and Basis of the Report** 

As the charity trustees you are responsible for the preparation of the accounts in accordance with the requirements of the Charities Act 2011 (‘the Act’). 

I report in respect of my examination of the Charity’s accounts carried out under section 145 of the 2011 Act and in carrying out my examination I have followed all the applicable Directions given by the Charity Commission under section 145(5)(b) of the Act.

I have completed my examination. 

I confirm that no material matters have come to my attention in connection with the examination giving me cause to believe that in any material respect: 

1. accounting records were not kept in respect of the Trust as required by section 130 of the Act; _or_ 

2. the accounts do not accord with those records.
