Chair of Trustee’s report AGM July 2025

We’ve had another very successful and enjoyable year. We’ve said goodbye to some members but new singers have also joined – welcome!

After a very busy anniversary year last year, concerts have been closer to home this year, but remained ambitious. Thank you to everyone who contributes to making a success of our concert programme, working behind the scenes, including setting up and tidying on the concert day itself.

Survey

Kate organised a survey of members this year that has fed into some of our decision making within the committee. As always, we are keen to promote good attendance at rehearsals and concerts – in order to ensure we continue to improve musically and to make Jon’s life easier when planning rehearsals. Through the survey, people let us know that often absence is unavoidable due to family / work commitments – we do appreciate that everyone’s lives are busy, so thank you all for making every effort to attend .

In response to your request, we will try and set dates of concerts for the full year further in advance so that people have the best chance to take part. A few people also requested we maximise our singing time by ensuring a prompt start to rehearsals and keeping the tea break short – we shall make every effort to do this in the new year.

Thank you to those of you who suggested composers / pieces you’d like to perform – Jon has taken note!

Fundraising

Thank you to everyone who puts efforts into raising funds for the choir, including those who make ad hoc donations over and above subscriptions, including refreshment supplies for concerts and anonymous direct contributions towards concert costs.

Thank you to Peg who has kept us supplied with fundraising paper quizzes . In the coming year we will aim to put on another quiz night with fish & chips as a choir social and fundraiser. This was the most popular suggestion from you all in the survey, so please do support the event when it happens.

If chorus members have fundraising ideas that they would like to support please let the committee know.

Bursaries

We are conscious that some members have financial challenges, and find the costs of choir – subscriptions, music, and the residential weekend difficult to meet. We want to remain an inclusive and community based group, and do not want anyone to miss out on enjoying the chorus because of financial constraints. Please do speak to me or Hilary if we can support you in this way.

Residental weekend

Ashburnham Place for our choir Once again in January we enjoyed our time at weekend away. Thank you to Veronica who has stepped up to take over organisation of our annual weekend away and has been part of the committee this year.

Commitee

The committee usually meet once per term, sometimes with an additional meeting before an upcoming concert if required, or a quick meet around the piano on a rehearsal night. Between meetings we communicate via email and WhatsApp message, making operational decisions as required. This means that the time commitment for individuals is not too onerous.

If you are interested in joining the committee, and / or taking on an officer role, even if you haven’t put your name forward this evening, please let one of us know – you would be welcome.

– Musical Directors Report AGM July 2025

A successful year for the Chorus since our last meeting in July 2024 we have performed the following:

Bach St John Passion at Aldersbrook Christmas Concert at West Ham Fauré Requiem at West Ham Strawberries & Cream at West Ham

In October we shall have our Baroque Fireworks at Aldersbrook and our Christmas Concert at West Ham on November 29[th] .

The Chorus have worked hard to present a varied and at times challenging range of music of which all should be proud. The season was also designed to help replenish our funds and I am currently looking at our program for the next two years. Future plans include Brahms Requiem for next year's major concert and Bach's St Matthew Passion in 2027 to mark its 300th anniversary.

I thank the committee for keeping the Chorus running smoothly and our members for their high standard of musicianship.

Thanks also to Jo Cull and Sam Cross for their conducting skills and the delightful choir Nelson Primary School whose parents turned out in force to make our Christmas concert a sellout.

Attendance at rehearsals is mainly good and I hope that this continues to be the case, poor attendance leads to notes not being learned – I’ll say no more.

Plans to sell the stage are still ongoing, we just need to be patient.

After the summer break we shall tighten our rehearsal times up by endeavoring to start on time at 7.45. In known this has been a bone of contention for some but at times the need to photocopy material has caused the hold up. This is no longer the case as the copier is now totally defunct with no chance of replacement.

Also, we will try and keep the tea break to 10 minutes so that we can maximize on rehearsal time.

Notes to the Accounts

  1. Subs – During the financial year (24-25) we have had 57 subscription-paying choir members, 1 member who supports us but who does not attend choir practice. £7200 of our income derived from subscriptions. Costs include promotion, printing, scores, rent and paying for musicians and soloists for concerts. Membership subscriptions are £180 pa for waged and £75 for unwaged members. Many members pay subscriptions by standing order and most of those are in the Gift Aid scheme. All taxpayers might want to consider donating through Gift Aid , as this is a valuable source of income.

  2. Donations – were £3843 this financial year. This is especially high because of a very generous donation of £3400 from Woodgrange Baptist church. Some people donate with their subscription. Thanks to all who donate either regularly or one-off.

  3. Gift Aid – We applied for Gift Aid for the year 23/24 (£1969). Fundraising, subscriptions, and all donations are eligible for Gift Aid.

4. Use Of Rehearsal Space/rent The church irregularly charges us rent for using the premises for rehearsals and concerts. This works out at £1500 a year.

  1. Internet expenses &website costs are domain name, webspace, & accounting software.

  2. Sundries include some office supplies, camera for conductor and power cable, disposable cups.

  3. Fundraising: Xmas raffle, Peg’s quiz, Nathalie’s Ice cream event

  4. Advertising and promotion: diary entries, banners,

  5. Printing: is posters, programmes, vocal scores and tickets.

  6. Includes deposit for 2026 of £750

  7. The difference in funds from 31Mar24 to 31Mar25 is £2360 and the surplus for the year is £2105, creating a discrepancy of £255. This is accounted for by: Payments in advance for the year and the money is in the account, but the invoices were raised against the money in subsequent financial year.
