Friends of Powell’s School AGM Report 2023-2024

To run events, we rely on the support of the school community. Without this we cannot put on the variety of calendar events some of which have been fixtures for many years. However, we’re always keen to add new ideas and find alternative ways to raise money for the school where possible.

As a committee, we see the role of FoP’s as more than simply raising money, we also believe our role is to support the school community, enhance the children’s experiences and work with the school to help where we can.

The funds we have raised over the years have supported various projects such as - refurbishing the school pond, the pond refurbishment being one of FoPs biggest. This single fundraising event has allowed the children to learn about the wildlife in their natural habitat, take part in science experiments and activity visits. Through all the hard work fundraising, we’ve contributed £5,000 towards this project. There’s been some key fundraising events over 2023 including - key stage 1 playground, new books, accelerated reader/maths app, parent communications tools, the eco pods, outdoor classroom and maintaining/improving the playgrounds.

Our next big fundraising project is the key stage 2 playground. Using funds from 2023-2024 FoPs will be able to support the school with £10,000.

We’d like to give a ‘BIG thank you’ to everyone that has helped and supported our events and activities during 2023 and 2024.

Gifford’s Circus

We start the school year with this is amazing tradition, which started at the school several years ago. The ability to help fund all the children to walk down and attend Gifford’s Circus. This is a huge highlight to the start of the children’s year. The efforts of the school and Giffords to ensure the school children still attended the show was outstanding. As a PTA we fund this event to make it an affordable event for families to attend. In return, we ask for a donation of £5 per child and volunteer. Awaiting amount - estimated at £700.

Wreath Workshop

The wreath making workshop was sadly missed in 2023. This was due to the cost of living. We felt as a committee the costs to run this event were too high and in bad taste with the ongoing cost living crisis/economic climate. With the help from host and professional florist Holly Moon we are hoping to re-run this event in 2024.

Christmas Fayre

This event creates magical memories for the children with fun stalls including festive cups, toys, books, tombola, and ‘have a go’ games. The children had a great time. The event made over £1,500.

Father Christmas Visit

Each year group visits Father Christmas, who hands out a gift donated by FoPs to every child. The budget is £1 per child. Each child received a note pad, pencil and make-your-own bauble. Listening to the parent/children and teachers feedback for 2024 will see each child receive a sweet shop gift voucher. This will help cover all ages, from early years to year 6 and will support a Cirencester sweet shop.

Christmas Tree Disposal

The Christmas tree disposal event 2024 worked well. Thanks to our committee members and wonderful tree chopping volunteers. Donations for trees were set at £5 and the chippings were used within the school grounds. We are hoping to run this again in 2025.

Spring Term 2024

School Disco

It was great to see so many children enjoying the event which includes a professional DJ, tuck shop and disco glow stalls. Thank you to our disco organisers Beth Gilbertson, Kym Rutt, Paul Mills and Linzi Gregory for another amazing event. We also would like to thank the teaching team who give up their Friday evening and without their support the discos would not be able to continue along with the huge number of parent volunteers. The school disco is a great experience for all the children. In addition to the disco Ruth Savage and Victoria Jarvis setup a new cashless disco bar held at school in the music and drama hall. For everyone to enjoy a drink and social whilst waiting at for the child/children to finish at the disco. This was a great addition and super successful. The bar will continue at all future discos. Both discos and bars make well over £2000 per year in 2024.

Parent Quiz

Thank you to Lisa Garrett & Carol Tylor for organising the very popular parent quiz. Again, thank you to the volunteers who also helped to make this a fun filled evening along with our regular quiz master and Elvis impersonator Ian Street. Ticket sales, auction and the bar made over £2000.

Summer Term 2024

Fete

The planning of the fete begins in February/March, and we thank all those people who helped during the run up, on the day and those who coordinated a stalls. We were fortunate enough to have an amazing weather again. This is our biggest event of the year which involves many volunteers including teachers and caretaking staff.

This is our biggest fundraising event of the year. Giving FoPs a big profit of over £12,000. This huge amount is a testament to the massive effort from everyone involved. We thank you all with a special thank you to all the sponsors, performers & suppliers.

Sports Day Refreshments

During sports day, committee members provided a refreshments stall during the event. Thank you all of those who donated on the day. Bringing in a grand total of £250.

School Disco

Thank you again to our disco organisers/volunteers for another fantastic disco. Thanks again to the teaching and caretaking teams for supporting this event - without you we could not run this out of hours event. Also, the parent bar was much busy and more popular in this summer month.

Year 6 Leavers

This year we welcomed the opportunity to support serval activities for the year 6’s such as leaver’s bibles, drinks reception following the leavers service, and end of year party. Special thank you to the year 6 teaching team and out of hours volunteers.

EYS Welcome

It was great to be part of the Schools Early Years welcome meeting. This is our opportunity to talk about FoPs with the new parents, explain how FoPs supports the school and sell preloved school uniform. Ruth and the team spoke brilliantly about FoPs and encouraged the new parents to join the volunteering crew.

Ongoing & New Events

Preloved Uniform Sales

Preloved uniform sales reduce waste and supports families. In 2023 we raised a total of £100. We could do a lot better and will be asking for more volunteers for futures sales. In 2024 we would like to introduce more sales, which run alongside the cake bakes, parent’s evenings and possibly a termly Saturday sale. We hope to make over £700 by running the preloved uniform sales alongside the cake bakes.

Cake Bakes

These were a great success last year, with all the money raised going towards the class activities, such as the beach day and Egyptian day. With nearly each year group rising over £150 per cake bake. Great effort from all the parents, helpers and children.

Tuck Shop

Using up fete and disco stock to run a tuck shop sale. This is a hugely popular sale. We are looking to run this more regularly in the spring/summer months, we will need to recruitment volunteers and year 5/6 students. Also keeps the shed tidy.

Christmas Cards

The children have completed their Christmas card designs 2024. FoPs is working with School Print World. FoPs will receive 20% of all sales. If this is a successful fundraiser, FoPs will look to carry it on in 2025.

Wreath Workshop

With the help from host and professional florist Holly Moon we are hoping to re-run this event in 2024. Tickets for the event will be £50 and this includes a welcome drink and mice pie.

Christmas Tree Disposal

January 2024 drop and chop for £5 and upwards. This was a very good event, and we will be running is again in 2025 and looking to make over £100.

Bike Bus

The Bike or walking bus would be a parent volunteer led scheme. Starting in January 2025, every Friday morning 7:45am, meeting points in Stratton, Chesterton, and Victoria Road. Bike or walk to school and a FoPs refreshment/croissant served in the music/drama hall. This great new bike/walking bus will generate a sense of community, promote healthy living, care for towns environment, help calm traffic and raise much needed funds for Powell’s school. The more miles the children do the more businesses, parents and the community could sponsor/pledge. We’d ask for a donation via the PTA portal or a SumUp payment link.

Parent Disco Bar

Both bars ran very well. With the summer bar being the most popular, making well over £200. We will look it run these bars and social evenings more often in 2024.

Parent Social Club

Social drinks gathering to be held in the music and drama hall. With a FoPs volunteers bar. To run each term or at special occasions such as September welcome drinks, Christmas, Easter, start of summer and end of term.

Parent Party Race Night

April/May time the newer committee members are looking into running a parent party race night. To be held at a venue in Cirencester. This will include a VR horse racing, a parent run bar and live music. Tickets would be priced at £25 per person.

School Lottery

Tickets are £1 a week with 36p going to the prize draw and 40p donated straight to school. The draw is every Saturday. A simple and fun fundraiser that can really make a difference to school. It has been agreed the committee make a promo flyer for the Lottery which will go in the school starter packs, on parent mail, and up on the FoPs noticeboards. In 2023 raised over £1000. Thank you to those who have taken part and to those who have kindly donated their winnings.

Rag Bag

The Rag Bag program continues and is a great way to get rid of those unwanted clothes. The money comes in over the year. We feel this could do better. We will be promoting this through school’s comms and notice boards.

Easy Fundraising

The few parents that support this scheme allow money to drip in over the year. We need to find ways to remind parents and other family members to use the scheme in their everyday shopping as it could prove to be hugely profitable. We need to push and promote this one more. In 2023 it contributed £50.

Summary

We raised almost £25,000 profit and contributed within the academic year around £15,000 to school with the remaining funds allocated to the larger projects which includes the playground refurbishment and the enhancement to the play areas in key stage 2.

Thank Yous

Thank you to Mrs. Cooper and all the school staff for their support. Also, a big support thanks to the office team - Clare Arnold, Claire Jarvis, Nadine Brown and Steve Rodgers.

Thank you to all the class representatives, who have helped bridge the communication gaps between parents and the school. A special mention and big thank you to Jon Calvert. FoPs and the parents really appreciate your excellent instant messaging.

Thank you to the FoPs committee - Carrie, Gemma, Ruth and Victoria. Since taking over in 2022 the committee would like to thank everyone who has helped and supported. As a committee with older children leaving the school in 2025, the full committee is stepping down and getting ready to help welcome new members and form a new committee. FoPs are already welcoming and thanking for their work to date new members:

Finally

The work Friends of Powell’s carries out is important to the school and our children’s school experience. We provide money that allows Powell’s to improve facilities, support purchasing additional resources and contribute to events. This combined with the provision of a rich calendar of events both for the children, families and wider community enriches the children’s school years. We thank all parents and families for their continued support of events and fundraising over this year.

charity (“the Trust”) for the year ended30 / 09 / 2024.
Responsibilities and As the charity's trustees, you are responsible for the preparation of the

I report in respect of my examination of the Trust’s accounts carried out
