EXAMINERS REPORT TO THE COMMITTEE
I report on the accounts for Hucknall Swimming Club for the Year End 31[st ] August 2023.
The constitution of the club states the Committee shall be responsible for ensuring that the Accounts of the Club for each financial year be examined by an independent examiner to be appointed by the members in General Meeting. The committee consider that an audit is not required under section 43(2) of the charities INDEPENDENT act 1993 (the 1933 Act) and that an independent examination is needed.
It is my responsibility to:

Examine the accounts under Section 43 of the 1933 Act

Follow the procedures laid down in the General Directions given by the Charity Commission (under Section 43(7) (b) of the 1933 act, and
-
State whether particulars have come to my attention.
Basis of the Independent Examiner’s Statement
My examination was carried out in accordance with the General Directions given by the Charity Commission. An examination includes a review of the accounting records kept by the charity and a comparison of the accounts presented with those records. It also includes consideration of any unusual items or disclosures in the accounts, and seeking explanations from the Committee concerning any such matters. The procedures undertaken do not provide all the evidence that would be required in an audit, and consequently no opinion is given as to whether the Accounts present a ‘true and fair’ view and the report is limited to those matters set out in the statement below.
Independent Examiner’s Statement
In connection with my examination, no matter has come to my attention:
- Which gives me reasonable cause to believe that in any material respect the requirements
To keep accounting records in accordance with Section 41 of the 1933 Act; and
To prepare accounts which accord the accounting records and comply with the accounting requirements of the 1933 Act have not been met; or
- To which, in my opinion, attention should be drawn in order to enable a proper understanding of the accounts to be reached.
I clarified a number of items with the treasurer in order to understand some of the comparisons as following the merger of the two clubs some additional clarification was needed.

Hucknall Swimming Club
Aims of the Club
Hucknall Swimming Club was formed in January 2023 as a merger between Hucknall & Linby Dolphins and Falcons Amateur Swimming Club. Hucknall Swimming Club aims to provide a swimming club to Hucknall, Linby and the surrounding areas. We aim to provide accessible swimming to the early beginner through to the competitive swimmer who can enter various galas and open meets.
– Our swimming journey starts with the Foundation Squad developing competitive swimming skills from Swim Lessons. These are designed for our youngest swimmers. Once a child progresses enough, they are then able to join our Academy squads, where they can continue to achieve to the best of their ability. Progression then moves through the Development and then Performance squads, with those swimming aiming for counties, regional championships and beyond. Some of our older swimmers stay at the club whilst at University and beyond.
Our coaching programme is designed by our head coach to develop the childrens’ swimming not only to progress to competitive swimming but also to enjoy swimming at our club. We strongly believe that if children enjoy themselves, the results will be far better.
The club currently has 93 Club Train (and increase of 15 from 2022) and 84 Club Compete (an increase from 40 in 2022), with another 40 Club Support (increase of 19 from 2022) volunteers. The majority of the increase is due to the merger, although there has been an increase in new swimmers, there have also been a significant number of swimmers leaving the club.
Major Activities and Achievements in the Year.
The club has increased the number of poolside helpers, and ensured that poolside helpers have been able to access the training that they require and want.
The number of swimmers who have been competing in open meets has increased significantly, and this, alongside significant efforts with training, has resulted in an impressive number of swimmers achieving County times, participating in East Midland Championships and qualifying for National competitions (National Masters, Scottish Nationals and Welsh Nationals).
Financial Activities
This financial year demonstrates in the increase in spending and income due to the merger.
Total income for membership and training: £60,933
Total membership and training expenses: £60,555
Net surplus: £378
Despite a small surplus, this is largely due to the £7,037.41 to the transfer of funds and an additional £5,270.59 of fundraising. New squads have meant that there is more consistency to training and payments, which should mean a small profit in 2024 which can be reinvested in training.

Chairman’s Report
The biggest milestone this year is the merger with Falcons ASC. This included a whole squad structure change, which took longer than anticipated. However, this has led to more consistency in training, improvements to the training sets. The outcomes of this can be seen through performances in open meets and county qualifications.
Reflecting on last year’s finances, the club made a small surplus of £378, which is largely due to fundraising and the surplus from merger. The changes to squad came with increased fees, however most of this was absorbed by increases pool hire. The new squads has led to significant improvements to training and helped lead a larger number of swimmers to be able to compete in County Championships and above. We continued to aim to have a greater presence at the County Championships, with 33 swimmers qualifying at time of writing (an increase from 12 last year) and 193 County Qualifying Times. This year, we took a large number of swimmers to County Relays, and enjoyed great success with our under 10 teams (reaching finals and coming 4[th] ). We are looking to continue this, with greater time for training and hopefully more teams making finals.
Due to the merger, there has been an increase in poolside helpers, and other volunteers. However, there is always a need for additional parent volunteers, and this will continue to be a focus, specifically to ensure that we have sufficient officials for open meets and volunteers to support with the day to day running.
This year we had the Full Swim Mark reaccreditation, and this was passed. Thanks to the help and support from the volunteers who ensured that this happened.
Over the last year, and again due to the merger, we have been able to increase the level of leagues that we offer to swimmers, and also include licensed time trials for all swimmers. We held our first open meet, which was a huge success, not only for swimmers but also financially. We have the date booked for next year, and will start promoting in the new year.
The Future
Over the next 12 months, we have the challenges of finding a new Head Coach, as Jack leaves us in March. Adverts will go out shortly, once we have the codes through from Swim Mark. We will look to refine the training program, with additional measures to support swimmers in achieving their best. Our overall aim of the club is to remain a club that allows all swimmers to enjoy swimming first and foremost, but to allow opportunities to be competitive should swimmers wish.
Last year, we aimed to increase the swimming time available, and we have been able to do this with the merger and changes to squads. However, this is a continuing need to develop pool time to ensure that we can offer sessions to new swimmers, and develop the recruitment process. We also need to continue to develop the targeting of swimmers, both in training and competitions. We also need to look at how to develop club funds to be able to support swimmers from all backgrounds, developing the inclusivity of the club.
We need to continue to attract and maintain high quality swimmers to ensure that we can remain a competitive club. Over the last year, we lost good swimmers to other clubs, through the merger and other reasons. We need to ensure that we work to stem this flow, and retain the swimmers that we develop, this needs to be a priority for the coming year.
We need to continually look towards being a club of choice for families and aiming to have top 2 finishes in leagues and galas. We have a fantastic set of swimmers, and we need to ensure that we give them all the opportunities to flourish.

Head Coaches Report
Coaches
I would like to give a massive thank you to all the coaches this year. It really shows all the CPD and extra reading/training you have undergone this last year to improve the sessions. They have become more independent, and it is evident they aim to give high quality coaching every session.
Swimmers
Hucknall have attracted new swimmers from other clubs. This year saw Hucknall produce more county times and midland qualifying swimmers from the younger generations. It’s even more pleasing to see so many of our younger swimmers joined Nova this year as they are Hucknall’s growing talent.
Competitions
This year we had a total of 18 swimmers enter County Championships 2023 with a total of 66 swims. A silver medal was won and the boys and girls 9/10 year old relays made both finals. Much improvement has happened over this year with nearly double the swimmers achieving qualifying times for 2024 County Championships.
We had 4 swimmers compete in Regionals long course championships and 3 swimmers in regional short course. Evie and Lynden also competed in National Masters.
We have field teams at 19 galas with two more to go. Highlights were winning a cannon race and a JC Dobb gala. In the sport centre league, we have accrued more than double last years total points tally with 1 round left to swim. The teams have achieved a 3rd place and three 4th places.
Open meets
Pleased to see attendance improving. Focus on these will be paramount going forward with changes announced by British Swimming regarding entries to counties, Midlands, Nationals and British Championships.
Training
The Annual plan is in place and learning has been taken from last year to create focus for the training. The training has a 6 week focus plan with coach discussions taking place to make sure constant improvement happens. County development and County/Regional performance focus is on Counties and Midlands.
There is a current focus on endurance and aerobic performance. Tuesday sessions are based on skills and technique, then throughout the week applying what has been learnt at a quicker pace.

Treasurers Report
Financial Activities
The merger with Falcons ASC presented some financial challenges this year due to the huge amounts of admin work needed to restructure the organisation of the club into new squads and subsequently update all members accounts with new session times and fees.
Deciding the structure of the new club took considerably longer than anticipated which delayed decisions to cancel pool time so the club continued to pay pool hire for severely undersubscribed sessions.
– The year saw a small surplus of £378 largely due to the £12,308 fundraising income, of which £7,037.41 was the transfer of surplus funds in Falcons ASC post-merger. The club has gained volunteers with additional skill sets, most notably fundraisers and we have seen a large rise in fundraising income – and expect this to continue.
Membership and training fees were reviewed for the new season (Sep 23) and will sustain the operational costs of the club if membership can be maintained at around 85-90% of capacity. Additional funds raised outside of training and membership income can then be invested back into the club and its members in the form of coach and volunteer training and new equipment. Our next financial accounts – will include income from our very first open meet hosted expected to raise the club approximately £4,800.
The club has healthy reserves of £22,154, but we do not want to see these decline in the funding of ordinary training activities. It is the clubs aim to hold 6 months of operational costs in reserves (which is currently approx. £26,000)
