Egton Play Group Report of the Trustees for the Year Ended 31 August 2023
The Trustees present their report together with financial statements for the year ended 31 August 2023 which are also prepared to meet the requirements for a directors’ report and accounts for Companies Act purposes.
OBJECTIVES, ACTIVITIES AND ACHIEVEMENTS
The organisation's objects and its principal activity is to provide a play group for and to advance the interaction of children of pre-school years of age within the vicinity of Egton, near Whitby, North Yorkshire.
The Trustees are satisfied with the results for the year. North Yorkshire County Council finding is up 66% due to more children who were eligible for funding attending the play group. Overall, there has been an increase in income ofjust over £10,000. Expenses have decreased by just over £2,000. The overall effect of this is a deficit of £10,027 in 2023 compared to a deficit of £21,889 in 2022.
FINANCIAL REVIEW
Reserves policy
The unrestricted funds not committed or invested in tangible fixed assets (free reserves) held by the Charity currently amount to £53,132 which is approximately 12 months running costs.
The Trustees do not consider this level to be excessive and believe that it is adequate to cover all obligations, support current activities and ensures that funds are available if council funding is reduced or there is a temporary fall in numbers.
STRUCTURE, GOVERNANCE AND MANAGEMENT
Charity constitution
The charity is constituted as a Company limited by guarantee, without a share capital, as is therefore governed by a Memorandum and Articles of Association. It became a registered charity on 23 July 2004. The charity is organised so that the Trustees meet regularly to manage the affairs of the Charity.
Recruitment and appointment of new trustees
Trustees are selected from existing employees based on length of service.

In setting our objectives and planning our activities the trustees have given careful consideration to the Charity Commission guidance on public benefit.
This report has been prepared in accordance with the special provisions of Part 15 of the Companies Act 2006 relating to small companies.

Independent examiner's report to the trustees of Egton Play Group (‘the Company’)
I report to the charity trustees on my examination of the accounts of the Company for the year ended 31 August 2023.
Responsibilities and basis of report
As the charity's trustees of the Company (and also its directors for the purposes of company law) you are responsible for the preparation of the accounts .in accordance with the requirements of the Companies Act 2006 (‘the 2006 Act’).
Having satisfied myself that the accounts of the Company are not required to be audited under Part 16 of the 2006 Act and are eligible for independent examination, I report in respect of my examination ofyour charity's accounts as carried out under Section 145 of the Charities Act 2011 (‘the 2011 Act’). In carrying out my examination I have followed the Directions given by the Charity Commission under Section 145(5) (b) of the 2011 Act.
Independent examiner's statement
I have completed my examination. I confirm that no matters have come to my attention in connection with the examination giving me cause to believe:
- accounting records were not kept in respect of the Company as required by Section 386 of the 2006 Act; or 2. the accounts do not accord with those records; or 3. _° the accounts do not comply with the accountng requirements of Section 396 of the 2006 Act other than any requirement that the accounts give a true and fair view which is not a matter considered as part of an independent examination; or
4, the accounts have not been prepared in accordance with the methods and principles of the Statement of Recommended Practice for accounting and reporting by charities (applicable to charities preparing their accounts in accordance with the Financial Reporting Standard applicable in the UK and Republic of Ireland CRS 102)).
I have no concerns and have come across no other matters in comnection with the examination to which attention should be drawn in this report in order to enable a proper understanding of the accounts to be reached.

The charitable company is entitled to exemption from audit under Section 477 of the Companies Act 2006 for the year ended 31 August 2023.
The members have not required the company to obtain an audit of its financial statements for the year ended 31 August 2023 in accordance with Section 476 of the Companies Act 2006.
The trustees acknowledge their responsibilities for

(a) ensuring that the charitable company keeps accounting records that comply with Sections 386 and 387 of the Companies Act 2006 and
-
(6) preparing financial statements which give a true and fair view of the state of affairs of the charitable company as at the end of each financial year and of its surplus or deficit for each financial year in accordance with the requirements of Sections 394 and 395 and which otherwise comply with the requirements of the Companies Act 2006 relating to financial statements, so far asapplicable to the charitable company.

General Information and Basis of Preparation
The charitable company is a registered charity in England. The address of the registered office is given in the company information on page 1. The nature of the charitable company’s operations and principal activities are shown in the Trustee’s Report. The charity is a private company limited by guarantee. The members of the company are the trustees listed on page 1. In the event of the charity being wound up, the liability in respect of the guarantee is limited to £1 per member ofthe charity.
The charitable company constitutes a public benefit entity as defined by FRS 102. The financial statements have been prepared in accordance with Accounting and Reporting by Charities: Statement of Recommended Practice applicable to charitable companies preparing their accounts in accordance with the Financial Reporting Standard applicable in the UK and Republic of Ireland (FRS 102) issued in October 2019, the Financial Reporting Standard applicable in the United Kingdom and Republic of Ireland (FRS 102), the Charities Act 2011, the Companies Act 2006 and UK Generally Accepted Practice as it applies from 1 January 2015.
The fmancial statements are prepared on a going concern basis under the historical cost convention. The trustees consider that there are no material uncertainties about the charitable company’s ability to continue as a going concern. The trustees have considered the level of funds held and the expected level of income and expenditure for 12 months from authorising these financial statements.
The financial statements are prepared in sterling, which is the functional currency of the charitable company, rounded to the nearest £.
The significant accounting policies applied in the preparation of these financial statements are set out below. These policies have been consistently applied to all years presented unless otherwise stated,
Income

Items of income are recognised and included in the accounts when all the following criteria are met:e The charity have entitlement to the funds. ° Any performance conditions attached to the item(s) of income have been met or are fully within the control of the charity.

° There is sufficient certainty that receipt of the income is considered probable; and e The amount can be measured reliably.
Income from charitable activities includes income recognised as earned (as the related services are provided) under contract or where entitlement to grant funding is subject to specific performance conditions. Income from sales of food of meals and milk is net of the related expenditure and included within food and subscriptions. There is no other netting off within the accounts.

Investment income is recognised on a receivable basis.
Expenditure
Liabilities are recognised as soon as there is a legal or constructive obligation committing the charity to the expenditure. All expenditure is accounted for on an accruals basis and has been classified under headings that aggregate all costs related to the category. It includes attributable VAT which cannot be recovered. Direct costs comprise those costs incurred by the charity in the delivery of its activities and services for its beneficiaries. It includes both costs that can be allocated directly to such activities and those costs of an indirect nature necessary to support them.
Support costs are those functions that assist the work of the charity but do not directly relate to charitable activities.
Governance costs include those incurred in the governance of the charity which are associated with the constitutional and statutory requirements.

Tangible fixed assets
Fixed assets are stated at cost less accumulated depreciation. Assets costing less than £200 are not capitalised.
Depreciation is provided at the following annual rates in order to write off each asset over its estimated useful life.
Building - 4% on cost Toys and equipment - 20% on cost Computer equipment - 25% on cost
Debtors
Prepayments and other debtors are recognised at the transaction price.
Investments
Current assets investments are short term highly liquid investments and are held at cost, They have a maturity of less than one year.
Cash at bank

Cash at bank and cash in hand includes cash and short tenn highly liquid mvestments with a short maturity of three months or less from the date of acquisition or opening of the deposit or similar account.
Creditors
Creditors with no stated interest rate are recognised at their transaction price.
Fund accounting , General funds are unrestricted funds which are available for use at the discretion of the Trustees in furtherance ofthe general objectives ofthe charity and which have not been designated for other purposes.
Pension costs
The charity operates a defined contribution pension scheme for the benefit of its employees. Contributions are charged to the Statement of Financial Activities as they are paid.

9. TRUSTEES' REMUNERATION AND BENEFITS
All of the trustees received remuneration from the charity totalling £34,997 (2022: £43,306) and pension contributions of £931 (2022: £1,060) as permitted in the Articles of Association. They were paid the normal commercial salary for the work done.
Trustees' expenses
There were no trustees’ expenses paid for the year ended 31 August 2023 nor for the year ended 31 August 2022.

- EMPLOYEE BENEFIT OBLIGATIONS
The charity operates a defined contribution pension scheme for the benefit of its employees. The amount recognised as an expense in the year Is £931 (2022: £1,060). :
16. RELATED PARTY DISCLOSURES
As stated in note 9, all of the trustees received remuneration totalling £34,997 (2022: £43,306) from the charity.
