Annual General Meeting Minutes held on 06[th] March 2022 at 3.30pm In Carnival Hall
Present Committee Members:
Kishor Patel, Deepak Rabheru, Surendra Patel, Yogeshwari Ramaswamy, Karan Singh Panwar, Bala Luthara, Rajesh Thampi, Pramila Patel, Ajith Singh, Santosh K Dayawarshetty, Sakti Prasad Biswas, Geeta Vyas, Prashant Shirode.
Basingstoke Hindu Society (BHS) Members:
Harish Lakhani, Bala Luthra, Rama Murthy, Rohit Patel, Surya Patel, Tilotma Rabheru, Yogeshwari Ramasamy, Shatrughan Sookhun, Rajesh Thampi, Madhu Bhai Trivedi, Sanjay Vithalani, Kanti Bhai Mistry, Amol Attarde, Mano Singh, Kanak Rajgor, Krishna Shrestha, Mora Bhai Patel, Daksha Lakhani, Jitendra Jobanputra, Chhaya Jobanputra, Arun Mummalaneni.
1. Welcome & Introduction
Meeting opened at 3.30pm
Kishor Patel opened by stating that this year’s AGM will be conducted by an independent chairperson and introduced Mr. Rama Murthy.
Mr. Rama Murthy proceeded by stating that his aim was to work through the main agenda items quickly for the elections to take place around 5.00pm. (agenda attached)
2. Apologies for absence accepted and noted - Prashant Shirode, Pramila Patel, Santosh K Dayawarshetty, Sakti Prasad Biswas, Geeta Vyas, Ajith Singh.
3. Minutes of the last AGM held on 25[th] November 2018
Kishor Patel read out the main points from the minutes of the previous meeting. Mr. Rama Murthy asked for the membership’s approval of the minutes to be accurate and correct. Proposed by Karan Singh and seconded by Rohit Patel. Minutes were approved and accepted by majority of the membership by show of raised hands.
4. Matters arising
Mr. Rama Murthy mentioned, there were not enough members so the minutes will be sent by email to all the members for approval.
5. Chairman’s Report
Kishor Patel commenced by welcoming and thanking everyone for attending the AGM. He was humbled to be given the opportunity to serve as chairman and had lot of fun running the Carnival Hall / BHS and said he was so lucky to have 2 teams. 1[st] team being his wife Surya and the boys, they did an amazing job helping me out.
And the 2[nd] team made up of the BHS committee and volunteers, on the whole an outstanding group of people to work with.
Kishor’s report progressed with a photo’s slides shown with brief explanations.
He said we have improved things during the past year by running it like a community centre with reasonable price and customer service.
Hall hire payments now only by bank transfer or cheques thereby no cash in the office.

Deepak bhai as BHS Treasurer, produced monthly accounts for BHS. We encouraged all the community to use Carnival Hall. Teamwork improved by involving Pramila ji in the Inter Faith events.
During the covid time, Carnival Hall became the community hub for doing the Sewa work. Around 5000 hot meals were served to society including, NHS and Fire services.
Further slides showing testimonies from JG Dance, The Three Amigos, Basingstoke Ladies Choir and National Blood were shown on screen.
With slide of Mandir Sewa Group volunteers, he said we need for users to have sense of belonging and ownership of the Mandir and suggested more users join the group to share out the workload in keeping it tidy & clean.
With the final slide of ladies in the office he said during the year more women participated in BHS events and activities.
Report ended with a thank you to all from Kishor. No comments were raised.

6. Secretary’s Report
There was no separate secretary’s report, everything was covered in Chairman’s report.
7. Treasurer’s Report
Rama Murthy stated that the treasurer’s report for the previous year 2019 had not been approved and asked the membership to do so before continuing with the current 2020 and 2021 reports.
No questions raised or objections received.
Proposed by Rohit Patel and seconded by Karan Singh Panwar.
Report was accepted by majority of the membership by show of raised hands.

Deepak Rabheru presented the 2020 and 2021 reports by thanking BHS & Malcolm Dove of Dove Marsh & Jones partnership for auditing the accounts. He also expressed his thanks to Bipin Mistry and Malcolm Dove for their assistance during his difficult times, whilst he was going through his eyesight treatments.

He then asked if everyone had seen the income & expenditure accounts and if anyone required a copy they only had to ask. He also asked if anyone had any questions regarding the accounts.
Mano Singh asked question in 2020 – Why the membership amount is only £150. Deepak ji clarified by saying during “the Covid time no membership was collected”.
No other questions raised, or objections received.
Rama Murthy asked for the membership’s acceptance of the treasurer’s report. Proposed by Rohit Patel and seconded by Karan Singh Panwar. Report was accepted by majority of the membership by show of raised hands.

8. AOB
Rama Murthy: stated that more communication required. Also arrange lectures and seminars on Hinduism to spread the awareness. Organise trips to Hindu temples, bring new people to carnival hall.
Amol Attarde: We need regular sports activities for members including board games and table tennis.
Kishor Patel: Requested members to join education committee to help schools.
Mano Singh: Arrange more social activities and get more people to join BHS.
Sanjay Vithalani: Promote Hindu activities. Can Hindu activities be subsidised, also Covid is not fully out of our way, so we still need to be careful.
1 Minutes silence: There was a 1-minute silence was observed in remembrance of the BHS members and community people whom we lost in last 2 years.
Rama Murthy asked for the membership’s acceptance of the proposal. Proposed by Rohit Patel and seconded by Karan Singh Panwar. Proposal was accepted by majority of the membership by show of raised hands.

Rama Murthy closed the AGM.
9. Dissolve and thank the outgoing committee
Rama Murthy thanked the existing committee and asked them to stand down.

There was no election, all the committee members including Chairman, Secretary and Treasurer were elected unopposed.
Newly elected committee: Prasant Shirode (Chair), Karan Singh Panwar (Treasurer), Krishna Shrestha (Secretary), Kishor Patel, Deepak Rabheru, Ajit Singh Saluja, Surendra Patel, Yogeshwari Ramasamy, Sakti Prasad Biswas, Santosh K Dayawarshetty, Rajesh Thampi, Shatrughan Sookhun, Pramila Patel.
Rama Murthy thanked the team dealing with the election and vote counting and handed over to the new committee chairman.
12. AOB & Closing the meeting
Kishor Patel thanked the caterers and all those who helped out today. Meeting closed at 17.30.
