TRUSTEES REPORT

Trustees' Responsibilities

The trustees are responsible for preparing the financial statement and trustees report and keeping proper accounting records.

Objectives and Activities

The charity has continued to provide a venue for the local community and the scout groups. During the year the charity has benefitted from local council financial support during the COVID pandemic.

An overview of the years activities is outlined in the community centres managers report and the West Paulsgrove Scout Leaders reports set out below.

Managers’ report to the trustees

When taking over in November in 2020 I concentrated on finding funding and keeping the hall ticking over. I believe that I did apply for all the government funding we were entitled too and that has left us in a good position.

I managed to find a training group that we were allowed to have as they were classed as training/education and they booked the hall for whole weekends and were very prompt with payment and regular bookings up until May 2021. Sadly, they have decided to move on elsewhere when I was unable to take a booking as the time was already booked.

At the start of the year I joined us to a free lottery for community and charity groups like ours and in August we were awarded £750.

The free webpage from BT was removed in March and I managed to create a new webpage for Highslopes and updated the Facebook page with the new details for contact. I also try post more regularly on the Facebook page hoping to create more interest in the centre. Some of our bills such as waste removal were not on direct debit so that’s been changed and our water bills are now available online when they were not before.

We have had a few issues the fire alarm had a fault which was caused because it had never been serviced and needed two new batteries. Now we will be reminded to have a yearly service. I had Wi-Fi installed and a better upgraded phone deal which has made life a lot easier taking bookings and saves us around £5 per month. Everything else has been fairly easy to manage either through asking Mark to fix or looking on YouTube for a boiler fault fix. I have also changed the notice board on the main gate as needed and with contact details when we are shut but it does fade quite quickly when the sun is out. I have been trying to keep on top of the gardening and keeping the weeds etc down. We now have a credit account with Clearsee janitorial supplies.

In July the Shutter over the halls fire doors broke and AK shutters came out to repair them at a cost of £480. This was due to the motor dying and the rigging which the shutter sits on wearing out.Within a month it stopped working again and I have requested that it is fixed as it should not break within a few weeks of a major repair. I have sent you quotes received from Safevue and Security Southampton regarding CCTV for you to look at via your email. Hopefully this can be discussed at our next meeting.

In April a new toddler group started called Singalings this is a long term booking and is going very well. In May Aggies started up again on a Thursday morning each week. We also had a second toddler group start called Diddi dance and again this is another long term booking and is going well. Cardio fit restarted in June and are doing 2 evenings a week and are very happy to be back. Birthday parties are starting to book up now and in July we have had 4 already and at least 1 party a month already booked up to December.

Also in July there were several bookings from the NHS a staff away day and a new physio therapy group for under 5s over 4 weeks which went well. There is another 6 week course booked which started last week. I have had to chase them a bit to get payment arranged but that is now sorted.

I have taken on a Yoga group which Started on the 23[rd] August. It has been going well and another morning group has now started.

The Royal Navy had a fun day on the 28[th] August at Highslopes their first event of the year.

This Month has also seen a local band that have book to use the hall for occasional band rehearsal on Saturday mornings for a few hours.

Scouts started back in April 2021 and have just finished their summer camps for Cubs, Beavers and Scouts. Hopefully this will give you an idea of what has been happening over the last 10 months at Highslopes.

Paulsgrove and Wymering Scout Groups (PAWS) report to the trustees

I'm very pleased the 2 groups (53rd and 46th) have merged and are working well together, we will be known as P.A.W.S. - Paulsgrove and Wymering Scouts. Even with everything our members have been through in the past year we have managed to fulfil the requirements of the chief scouts' awards, the highest award in any of our sections and hand out a gold award to a member of our scout section, 4 silver awards to our Cubs section and 7 bronze awards to our Beavers section. Our numbers since we have been able to meet again this year have steadily risen and for Squirrels and Cubs we are now full, which is amazing. Also, we have gained 5 new leaders in the past year, which we are always very thankful for, the more leaders we have, the more activities we can offer and the less work it is for any one individual. These new leaders have all completed their getting started training and are working closely with our other leaders to run the programs for your children. In the past year we have 2 leaders who have gained their wood badges, this means they have completed all their training but as with all our leaders they will still have to keep their first aid, safety and safeguarding up to date every 3 years to continue being a leader. We are also lucky enough that our exec are happy to stay on for another year. We are also very lucky to have leaders who keep our outside area up together and have this year finished a pizza oven for us.

The Year has been a tough one for our young people but our leaders have given their best all to provide fun, friendships, new adventures and normality for them all. The Spring term was done via zoom with challenges and activities which were provided for our younger members in a pack so they could join in. The older section enjoyed their zoom sessions by chatting and playing games, needing that time to relax.

Once we were able to meet again after Easter our Squirrels (our youngest members, aged 4 to 6) enjoyed being outside, planting seeds, taking part in games a mini-Olympics, they completed their canal and rivers badges and started to learn about maps. The term ended with soft archery and a water-based evening. During the winter term they were able to make paper planes and learn about what it was like to go in a plane, they also went on their first hike, had a visit to the war memorial at Portchester precinct to lay the wreath they had made and visited Staunton farm for the day and lots of Christmas activities.

The Beavers (ages 6 to 8) have tried cake decorating, making clay Stonehenge's, tried indoor caving, after building their own dens, learnt how to start fire and cook s’mores around the campfire, made puppets, achieved their builder and their space badges, joined in with the Pauslgrove lights switch on and had a summer camp and Christmas camp, both at the hall.

The Cubs (who are 8 to 10 years and our busiest section) spent the summer doing their DIY badge, making dragons from wood and painting them, a few each week did this while they also took part in making campfire cakes in an orange, their athletics badge, retro playground games and a fun evening with water games and a water slide, the Winter term took us inside where they completed their scientist badge by making rockets, dying celery and working out the best way to clean pennies. They achieved their world challenge badge by taking part in Diwali activities and looking into their personal history and the community around us and taking part in Jamboree on the internet (JOTI).

Cubs enjoyed 2 caps at the hall this past year, summer camp where we taught them the basics of camping and then Christmas camp.

Scouts who are 10 to 14 years old, have been growing fruit and veg to use in their cooking and have been able to make rhubarb crumble, pea and mint risotto, blueberry muffins and strawberry jam and scones. They have also completed the modal maker badge using the kits supplied free form Warhammer games. They have had 2 camps, one which was for camping skills, pioneering and cooking and the second one which tied in with JOTI, where they took part in international activities and achieved the highest level of their digital citizen badge. They have also taken part in the district night hike.

In October we started our oldest section – Explores, who are 14 to 18 years old, they are enjoying getting to know each other, they have done some cooking, enjoyed a campfire and a pizza and bowling evening. Heidi Nathan PAWS Group Scout Leader
