Report of the Trustees from 30[th] June 2023 to 13th June 2024. The accounts are for the calendar year ending 31[st] December 2023 

Thank you for attending this AGM and welcome to those joining via the Zoom link. 

As you know, our primary function as trustees of the Society is the administration of the Grail Society Grant Scheme. Since the last AGM we have held three Trustees’ meetings, in July 2023, December 2023 and, most recently, in June 2024. The meetings have all been held via Zoom but in between we have communicated via the trustees WhatsApp group and by email to circulate and discuss Grant applications. Anne-Marie and Simon have shared the task of minute taking and Philip is gradually introducing Peter to the mysteries of the accounts! 

We have continued to award grants on an ad hoc basis rather than employing deadlines for applications. This works effectively at the moment but is always open to revue should circumstances change in the future. As you will learn from Philip when he presents the Accounts, thanks to a very generous legacy from the estate of Grail Companion Mary Low, the Grail Society funds have increased by £500,000, comprising £291,000 in August 2023 and a further £214,000 in May 2024 with a final £92,000 still to come from the estate. Philip will be explaining how the Trustees are currently managing the funds. 

One immediate action on receiving the first tranche, was to increase the maximum grant available for applicants from £3000 to £5000. Since our last meeting grants have been awarded to: 

The Archer Project in Sheffield which supports homeless people in the city. We were able to fund a replacement industrial size washing/drying machine for the Project. www.archerproject.org.uk 

Sacred Heart Parish in Waterlooville, providing extra large containers for the storage of clothing and other goods for distribution to those in need. One of the containers is equipped with solar panels to provide power for keeping food fresh! 

HMP Drake Hall Women’s Prison through an application from PACT has benefitted from a grant to improve the outside space for families visiting the women. 

Refugee Action York have received assistance for their drop in sessions  htps://www.refugeeactonyork.org and Adventure Plus  - Youth work and Outdoor Education Charity in Bampton have been able to purchase five refurbished mountain bikes. htps://www.adventureplus.org.uk 

The grants we have awarded make a huge difference to the small projects. 

I am delighted to have been working with our new Trustees for the past year so I know I will be leaving The Grail Society in capable hands when my term of office comes to an end on 17th September; having completed two terms of office I am required to step down. However, we do need at least one more trustee as our Constitution requires a minimum of five trustees. 

Looking to the future of both the Grail Society and the Ladies of the Grail Charity, we will be having a joint meeting in London on 20thJuly to discuss and discern the way forward. Please keep both groups in your prayers.

The board members are responsible for the preparation of the accounts. The board
members consider that an audit is not required for this year (under Settion 144{2) of
the charities Att 2011) and that an independent examination is requlred.
Having satisfied myself that the charlty Is not subject to audit under company law
and Ss ellBible for independent examination it is my responslbility to:_ examine the
accounts under Section 145 of the 2011 Act. to follow the procedures laid down in
the General direttlons glven by the Charity Commission (under Section 14515)(b)
of the 2011 Act): and_ to stste whether particular matters have come to my
attention.
Basls of the Independent examlnerfs report
My examination was carried out in accordance wlth the General D1￿ctionS glven by
the Charlty Commisslon. An examlnation indudes a revlew of the accountin8 records
kept by the charlty and a comparison of the accounts presented wlth those records.
It also Includes consideration of any unusual items or disclosures In the accounts,
and seeking explanations concernlng any such matters. The procedures undertaken
do not provide all the evldence that would be requlred In an audit, and consequently
no oplnion Is glven as to whether the accounts present a 'true and falr vlew, and the
report Is limlted to those matters set out In the statements below.
Independent examlner's statement
In connection wlth my examlnation, no rnatter has come to my attention:
(l)which glves me reasonable cause to belleve that, In any rnaterlal ￿spert the
requlrements to prepare accounts which accord wlth the accounting records,
comply with the methods and prlnciples of the Statement of
Recommended Practice: Accounting and Reporting by Charities have not
been met: or
(2)to which. in my opinton, attention should be drawn in orderto enable
proper understanding of the accounts to be reached.
