Meeting of Trustees of Lakeside Christian Fellowship Trust
Held on 21 September 2025
Present Rod Sayers, Ian Hay, James Mackay, Sean Larkin, Paul Day
The meeting opened with a time of prayer
Financial
The Trust had the following balances in its bank account on 11 January 2025
LCF CAF Bank - £17,890.98
Elburgon CAF Bank - £545.84
Lloyds Bank – £3,548.74
It was agreed the Trust should move to using Lloyds bank only, as CAF bank website is now less useable following a recent upgrade. Ian Hay agreed to investigate the detail of setting up new accounts.
Accounts for Year ended 30 June 2025
These were circulated to the trustees for review and were approved
The Chair agreed to look at whether an independent examiner should be appointed from another Church or a third-party organisation which will charge for the service.
Date of presentation of accounts – it was agreed the accounts would be presented to the Church as soon as a convenient date was available.
Retention of documents – all financial records that were no longer required by law would be destroyed
Monthly statements – the detailed required from the monthly Treasurers report was discussed as all Trustees had access to the bank statements on a real-time basis.
Monthly Financial Review – it was agreed that the Trustees did not need to formally sign off on the finances monthly as the Trust ran on a cash basis through the bank accounts and all transactions were authorised by Trustees and fully visible to all the Trustees
Tax Accounts
Year ended 5 April 2024 - These were submitted to HMRC prior to the January deadline using Tax Calc.
Gift Aid
Year ended 5 April 2025 – The claim was submitted on 6 April 2025 and monies received
Safeguarding Policy
Nothing to report from the safeguarding officers
KYC
No queries from CAF Bank have been received at the date of the meeting
Elburgon
Rod Sayers provided an update on his discussions with Samuel Muya and progress towards getting the accounts finalized and the status of the orphanage agreed with the Government.
The Trustees would consider further what can be done to sustain the orphanage in the medium term given the change in Kenyan law and a reduction in donations.
Trustees
New Trustees – The trust would continue to look for additional Trustees
Treasurers Spreadsheets
It was agreed that Ian Hay would continue to produce the Treasurers Spreadsheet
Romania
An update was provided by Sean Larkin following his recent visits
Dianthus
The lift was being repaired and that would give disabled members of the congregation access to the first floor again.
Recordings
The Trust would look to see if there was any way to improve the recordings of services given the presence of young children meant there was a lot of background noise on recent recordings
LCF Giving
It was noted that with the increased support for Sean Larkins travel on ministry trips, that funds are going down faster in 2025. It was agreed that the trust would need to review its donations to other charities in the light of increased costs and reduced giving.
AOB
Lines of communication – continue to use email and face to face meetings as the most effective means of communication
The dates for the next meetings were to be agreed following the meeting
