## **REPORT OF THE TRUSTEES FOR THE YEAR ENDED 31 AUGUST 2023** 

The Friends of Beacon Hill School (FoBHS) is a registered charity and a member of PTA UK, an annual general meeting was held on the 13 October 2022 and the following trustees were appointed: 

Sophie Andrews (Co-Chair) appointed 13 October 2022 

Alexis Dixon (Co-Chair) appointed 13 October 2022 

Kathryn Ayres (Secretary) appointed 13 October 2022 

Sophie Andrews (Treasurer) appointed 13 October 2022 

Stephanie Phillips (Trustee) appointed 13 October 2022 (previously Emma O’Sullivan) 

Sarah Dinning (Trustee) appointed 13 October 2022 

Jackie Gilbert (Trustee) appointed 13 October 2022 

Dr Rebecca Neeves (Trustee) appointed 13 October 2022 

All members of the trustee retire from office at the Annual General Meeting but may offer themselves for re-election and re-appointment. 

## Object 

The object of the charity is to advance the education of the pupils of Beacon Hill Primary School by: 

Developing effective relationships between the staff, parents, and others associated with the school, providing and assisting in the provision of facilities for education at the school. 

Engaging in activities or providing facilities or equipment which support the school and advance the education of the pupils. The association shall be non-party political and non-sectarian. 

## Review of Actvites and Achievements 

The principal activities of FoBHS are to generate funds to donate to Beacon Hill Primary School for specific projects and enhance learning, these funds are generated by holding an extremely active and varied programme of events throughout the year. 

Where volunteers are allowed, The FoBHS attend new intake meetings to serve tea, coffee and snacks, and to give parents a chance to see the uniform/book bags e.t.c 

The FoBHS run a summer fair, Christmas fair and a Fireworks night, which as well as raising funds for the school, also increases commitment and familiarity with the school for the whole family. 

The FoBHS charity works closely with the school and the head teacher or her representative, who attends FoBHS regular meetings.

The trustees are very pleased with the level of support and the funds that have been generated in the year, all events have been well supported by parents, children and staff. 

During the year 2022/23, FoBHS has funded school trips for all pupils, additional SEN resources, new iPads for the classes in addition to many more items, this allows all the children to experience extra curriculum activities during school. 

The 2022/23 year The FoBHS provided to the school and for the use of the whole school 

- £2,087 to fund and HANTS school library subscription 

- £6,464 to fund new PCs for all the classrooms 

Total school funding for the year amounted to £28,189.59 

The FoBHS aims to make all, of its activities accessible to everyone in the school. 

The FoBHS issue regular updates and newsletters on funds raised and spent, which is issued to all parents. 

## Public Beneft 

The  Trustees  confirm  that  they  have  referred  to  the  guidance  contained  in  the  charity commission’s general guidance on public benefit when reviewing The Friends of Beacon Hill School’s aims and objectives and in planning future activities. The Friends of Beacon Hill School is a group of parent and staff volunteers. The Friends of Beacon Hill School hold regular committee meetings where staff, parents and others associated with the school are always welcome to participate. 

## Reserves 

The charity does not have a policy on reserves, but the Treasurer looks to maintain enough money in the bank accounts to fund all forthcoming expenses such as floats and expenses for events and any commitments to donations to the school. At no point in the year was the account overdrawn.

## **INDEPENDENT EXAMINERS REPORT** 

I report on the accounts of Friends of Beacon Hill School for the year ended 31 August 2022, which comprises the statement of financial activities, balance sheet and related notes. 

## Respectve responsibilites of Commitee and Examiner 

The committee is responsible for the preparation of the accounts. The committee consider that an audit is not required for this year under section 144 of the charities Act 2011 and that an independent examination is needed. 

## It is my responsibility to: 

- Examine the accounts under section 145 of the Charities Act 

- Follow the procedures laid down in the general Directions given by the Charity Commission under section 145(5)(b) of the Charities Act 

- and to state whether, particular matters have come to my attention 

## Basis of independent examiners report 

I report in respect of my examination of the Trust’s accounts carried out under section 145 of the 2011 Act and in carrying out my examination, I have followed the applicable Directions given by the Charity Commission under section 145(5)(b) of the Act. The procedures undertaken do not provide all the evidence that would be required in an audit and consequently no opinion is given as to whether the accounts present a ‘true and fair view’ and the report is limited to those matters set out in the statement below. 

## Independent examiner's statement 

I have completed my examination.  I confirm that no material matters have come to my attention in connection with the examination which gives me cause to believe that in, any material respect: accounting records were not kept in accordance with section 130 of the Act or the accounts do not accord with the accounting records 

I have no concerns and have come across no other matters in connection with the examination to which attention should be drawn in order to enable a proper understanding of the accounts to be reached.
