Increasing social. economic and legal issues in the Malayalee community The Malayalee community in the UK faces a range of complex challenges that affect their social, economic, and mental well-being. Visa fraud has emerged as a serious concern, leaving victims financially unstable and legally vulnerable. Housing issues-such as overcrowding and discrimination-make it difficult for many to settle comfortably. Unemployment and job insecurity, often caused by the non-recognition of overseas qualifications and workplace bias, contribute to ongoing economic hardship. Domestic violence, particularly among younger generations, highlights intergenerational tensions and evolving cultural values. Mental health concerns, especially among women and children, are exacerbated by isolation and acculturative stress, with alarming reports of suicidal ideation. Additionally, substance abuse, including alcohol and drug misuse, threatens both individual health and family stability. In response to these challenges, M.A.U.K. has launched a number of initiatives aimed at mitigation. By collaborating with local councils and service providers, M.A.U.K. offers practical support and raises awareness within the community-working towards a stronger, healthier, and more integrated Malayalee presence in the UK. Accounts The 2024 Accounts, which Haridas Bhaskaran audited, are published along with this report. We sincerely thank Haridas for meticulously completing this painstaking task for the 4th year running. End 01 Report

Honorary Audit Summary Report for MA UK (Charity in East London)
Year Ending: 31 December 2024
Acknowledgements
I would like to extend our sincere thanks to Mr. Aloshy, Mr. Sreekumar, and other members of MA UK for their cooperaon throughout the audit process. In parcular, I express my gratude to Mr. Aloshy for his detailed explanaons, mely responses, and for providing the necessary documents and clarificaons that greatly facilitated this honorary audit.
Introducon & Audit Scope
for the year ended 31 December 2024. Based on the limited scope of the audit and the sample records examined, no material issues have been idenfied. Financial records appear to be maintained in an orderly and consistent manner. Tesng was performed on selected samples, and no significant discrepancies or irregularies were noted.
This report is intended solely for the internal use of MA UK—its management, execuves, and members. It is not for public distribuon or reliance by external pares. However, it may be reviewed by MA UK’s registered accountant and, if deemed appropriate, countersigned for internal governance.
It is important to note that the responsibility for the preparaon and fair presentaon of the financial statements lies enrely with the management and Directors of MA UK. This includes the design, implementaon, and maintenance of internal controls to ensure accuracy and transparency.
I. FINANCIAL OPERATIONS OVERVIEW
Income & Expense Tracking
-
Class Acvies (Chenda & Dance): Revenue and expenses were recorded on an accrual basis. Delays in student payments created a lag in compensang teachers. Expenses, parcularly hall rent at Lile Ilford School, significantly reduced income for Dance Classes.
-
Community Programs (Elders, Sunday Club, Events): Volunteer reimbursements and event costs were supported by a mix of grants and internal income. PayPal and card transacons were difficult to verify independently due to bulk payments, though breakdowns were provided upon request.
-
Event Acvies (Kerala House, Onam, Keralolsav): Certain high-value expenses lacked formal documentaon—for example, £500 for sound hire. Freelancer payments oen lacked formal invoicing, requiring improved audit trails.
-
Grants: £8,812 was received from Sport England for Sunday Club and similar iniaves.
Updated Governance and Operaonal Notes (from meeng with Aloshy, Sreekumar & Sreejith dated 4[th] Jun 2025)
-
Automaon & Financial Processing: All income and expenses made via Bank, PayPal, and Debit Cards are automacally uploaded into FreeAgent and appropriately allocated by the CFO.
-
Board Oversight: All major expenses are collecvely discussed and approved by the Board of Directors—not by individuals. Monthly financial reports, including income and expenditure summaries, are presented by the CFO to the Board for approval.
-
Audit Recommendaons: The Auditor should be invited to witness this monthly presentaon process at least once before year-end 2025.
-
Project Control: appointed by the Board. The Auditor assumed these commiee leads present their project reports, budgets, and final cost summaries to the Board. It is recommended that the Auditor witness at least one major event presentaon during 2025.
Recommendaons
-
Implement mely volunteer reimbursement process.
-
Maintain visa/passport documentaon for volunteers receiving regular reimbursements for transparency and reporng purposes.
-
Collect class fees in advance where possible.
-
Simplify and clarify the pricing structure for classes.
-
Strengthen invoice documentaon, especially for event-related and volunteer payments.
II. BALANCE SHEET OVERVIEW
1. Fixed Assets
Recorded Assets:
-
£4,751.47 – Speaker system and Kerala House facade work.
-
£1,509.51 – Event equipment.
-
Asset Management: Asset registers are maintained by a team of volunteer directors. The Auditor is to be granted access to these registers and a physical inspecon is recommended before year-end 2025.
2. Debtors
-
System Limitaon: FreeAgent’s aged debtor reports included 2025 data due to a reporng glitch. This was mainly due to the report being run aer year end, explained CFO
-
Invoicing: Invoices are oen generated aer month-end and teacher pay is linked to fee collecon.
-
Audit Conclusion: No major concerns, though monthly advance collecon may aid cash flow management.
3. Cash Holdings
-
Year-End Balance: £572.49 held physically by the CFO in pey cash form.
-
Recommendaon: Perform regular cash counts and year-end reconciliaon, though no discrepancies were noted during audit.
4. Accruals
Reported Accruals:
-
Sangamam: £940.97
-
Kerala House Hire Deposits: £1,545.00
-
Recommendaon: All accruals should be clearly documented and reconciled.
III. KEY AUDIT OBSERVATIONS & RECOMMENDATIONS
Internal Control Observaons
- Course fee structures are complex but were explained by the CFO and are noted here for transparency.
Recommendaons
-
Interest-Earning Accounts: Maintain ~£20,000 in the current account and move surplus funds into an easy-access interest-bearing deposit account. Opons such as Charity Bank may offer compeve interest rates (~3%). This should be reviewed further by the finance team.
-
Documentaon: Require formal receipts or invoices for all transacons and expenses.
-
Fee Management: payments to improve financial planning.
-
Asset Register: Physical verificaon is recommended in 2025.
-
Management Reporng: Share ulisaon reports for grant funding with both stakeholders and auditors.
6. Volunteer Reimbursement Process:
-
Explore faster reimbursement methods, such as mobile submission of expenses at the point of purchase.
-
Appoint an assistant CFO with limited approval authority to expedite smaller claims.
-
Connue using digital submissions backed by proper documentaon.
Conclusion
Overall, the honorary audit did not idenfy any material weaknesses in MA UK’s financial operaons. However, a number of enhancements to governance, documentaon, and internal controls are recommended to support growth and improve future compliance readiness. The auditor looks forward to engaging further with MA UK during 2025 to observe board reviews and event oversight processes as part of the connued audit process.
