## **Charity Structure** 

Farnham Round Table Charitable Trust Fund (“the Charity”) is the charitable fund of the Farnham Round Table Club (“the Club”). The Club raises money for the Charity through a number of community events. 

The Charity is governed by trustees selected from the management committee of the Club. All members of the management committee are elected by members of the Club at its AGM. The Charity is an unincorporated association representing the charitable activities of the Club. Charitable grants and donations are voted on by members in regular meetings, with a simple majority being sufficient to carry the vote. Recipients of these grants are brought to the attention of the Club by its members, or through approaching the Club directly. 

Neither the Charity, nor the Club hold any property. There are no custodian trustees for the Charity. 

NB. During voting at the 2022 AGM, Mr. Alexander Donald stepped down as Treasurer (becoming Vice-Chairman), being replaced by Mr. Oliver Tobias. 

## **Activities and Objectives** 

There are two core objectives of the Club: to promote fun, fellowship, and personal development; and to provide community service. It is the latter of these that the Charity supports. 

The Club runs several key events in the local community. These aim to both raise money for the Charity, and to provide the community with entertainment and reason to get together. 

The key Club activities on the calendar are: 

- Farnham Charity Bike Ride & Sportive 

- Farnham Fireworks and Torchlit Procession 

- Christmas Tree sales 

- Santa’s Sleigh collections 

- Several informal social gatherings for members

## **Achievements and Performance** 

## **Event Roundup** 

With COVID-19 lockdowns lifting, and restrictions easing, it was possible to put on all of our events, in full, for the first time in several years. 

The Farnham Charity Bike Ride was well attended, despite torrential downpours on the day, and raised £4,500 for the Charity. This is slightly down on previous years, but uncertainty coming out of lockdown restrictions meant that advertising for the event was delayed until later than usual. 

The second year of Christmas Tree sales went smoothly, with Club members improving on efficiency of logistics and the online ordering process. Sales were down slightly on the first year, but the Charity still raised over £3,000 after costs. In 2020, people were unable to get out to choose their trees; it is likely that some repeat custom was lost due to families enjoying the event of choosing a tree themselves. With the improvements to the logistics and website, it will be possible to start marketing earlier for 2022 sales, hopefully offsetting this dip. 

Santa’s Sleigh brought great joy to the local town, and six routes were covered compared to the four routes of previous years. Hundreds of children and families chased Santa down their streets, waving, and cheering, over the six nights. The Charity was delighted to donate 100% of the proceeds to the local food bank, giving £4,000 to the Trussell Trust. 

Finally, the Farnham Fireworks and Torchlit Procession was the biggest event ever organised by the Club. A perfect storm of other local fireworks events being cancelled at the last minute, a new online ticketing system allowing people from a wider area to attend with the security of knowing they could get in, and pent up demand from two years of lockdown restrictions saw well over 10,000 people attend. This is more than double the usual number. Takings were up accordingly, with the Charity raising almost £65,000. This is more than the Charity has ever raised across an entire year; all achieved in one event. 

This bumper year would not have been possible without the dedication of the Club members, including the fireworks organising committee, and especially the committee lead, who improved the food offerings, event layout, and generally increased engagement with local businesses. 

## **Charitable Donations** 

Including the aforementioned £4,000 donation to the local food bank at Christmas, the success of the Club’s events allowed the Charity to make over £40,000 of donations to local causes. This is a source of great pride for the Club members; that they have been able to give back so generously to the community they are a part of. 

Notable donations include £2,250 to local hospital staff events as a thank you for their tireless work combating the COVID-19 pandemic, £3,000 in Christmas food vouchers to local families in need (as identified by a Club contact with a home-school liaison worker), and £600 to a local women’s refuge to cover the cost of a theatre visit. ## **Milk Float** 

Each year, the Club runs several charity collections in the run up to Christmas. These take the form of Santa being pulled around the local streets in his “sleigh”, by “rudolph” (a Club member with a tow-bar on their car), whilst Santa’s Elves (Club members and local school children) offer collection buckets to the residents. The sleigh is currently assembled on the Club’s trailer. Whilst the sleigh is modular and designed for assembly and disassembly, the work is time consuming, and the parts have a finite life-span. In recent years it has also proven difficult to find sufficient Club members with tow-bars. As a result, alternative sleighs were investigated. 

Since the 2021-22 finances were in rude health, it was decided by the Club to purchase a second-hand milk float to replace the sleigh (which was likely to need further investment soon). The float cost the Charity £3,000, and it is expected that a further £2-3,000 will need to be spent renovating the vehicle, and constructing a sleigh for the back of it. The Club has already secured £2,000 of sponsorship from local businesses to contribute towards the renovations. 

The benefits for this new asset are that any Club member with a full driving licence will be able to play the part of Rudolph (without the need for a tow-bar), the vehicle can manoeuvre more easily and more safely in the narrow streets around Farnham (unlike a car + trailer), and that this should allow for more routes to be added to the programme. Also, 41 Club, the “old boys” members club for ex-tablers have offered to run additional routes/collections on behalf of the Club when the float is fully operational. 

## **Financial Review** 

## **Reserves and Debts** 

The Charity’s largest risk is the cancellation of the fireworks event. This is due to financial outlay being required far in advance of the event, regardless of whether it proceeds or not. The trustees continue to ensure that a reserve fund of £20,000 is maintained, to smooth cash flow in the lead up to the event, and to ensure that event cancellation will not result in the Charity being unable to meet its commitments. 

The Charity has no debts.
