TRUSTEES’ Report
YEAR ENDED 31 AUGUST 2023
The Trustees present their report and the financial statements for Hampden Gurney Parent Teachers Association (“Hampden Gurney PTA”) for the year ended 31 August 2023. This report has been prepared in accordance with the Charities Act 2011.
THE CHARITY
Hampden Gurney Parent Teachers Association's constitution was adopted on 26 November 2003. The Charity was registered with the Charity Commission on 8 January 2004 under registration number 1101423.
STRUCTURE, GOVERNANCE AND MANAGEMENT
The Trustees are appointed at the annual general meeting which is held during the autumn term by its members.
At the first meeting of a new period, the Trustees agree on the broad strategy and areas of activity for the association. The day-to-day management is delegated to the Chair, who is currently Julia Villanova. The Trustees then meet on a regular basis and at least once a year to, amongst other things, discuss the strategic direction of the Charity, consider its financial information, review grants to charitable organisations and track their progress.
The Trustees are recruited from the Parent Teachers Association and are chosen for their particular skills and expertise.
The Trustees who served during the year and up to the date of signing are listed on page 4.
OBJECTS
The objectives of the charity are as follows:
To advance the education of pupils in the school in particular by:

Developing effective relationships between staff, parents and others associated with the school;

Engaging in activities or providing facilities or equipment which support the school and advance the education of the pupils.

FINANCIAL REVIEW
The results for the period are set out on page 8 of the financial statements.
RESERVES POLICY
The charity held total funds as at 31 August 2023 of £70,963 all of which are unrestricted. The Trustees agree to a reserves policy of £750, which is equivalent to one year’s administration. The balance of funds above this amount will be taken forward and allocated for future projects.
RESPONSIBILITIES OF THE TRUSTEES
Charity law requires the Trustees to prepare financial statements for each financial year which give a true and fair view of the state of affairs of the charity and of the receipts and payments of the charity in the period. In preparing those financial statements, the Trustees are required to:

@ Select suitable accounting policies and then apply them consistently

@ Make judgements and estimates that are reasonable and prudent

e@ Prepare the financial statements on a going concern basis unless it is inappropriate to presume that the charity will continue in operational existence

e State whether applicable accounting standards and statements of recommended practice have been followed.
The Trustees are responsible for the keeping of proper accounting records which disclose with reasonable accuracy the financial position and to ensure that the financial statements comply with the Charities Act 1993 and the Charities (Accounts and Reports) Regulations 2005. They are also responsible safeguarding the assets of the charity and hence for taking reasonable steps for the prevention and detection of fraud and other irregularities.

2022/23 Chair — Julia Rice
This report covers the 2022/23 school year, from 1st September 2022 to 31st August 2023. The PTA raised £40,455.
As a result of the strategy initiated in 2020 to compensate for the cancellation of all in-person events because of the Covid-19 pandemic, £15,568 was raised from parental donations. Most parents who started a regular giving scheme in 2020/21 continued in 2021/22 apart from those who left the school and those who set up the scheme on Virgin Money Giving (the fundraising platform closed down in November 2021). This loss of donors was compensated by new donors, particularly among new parents, further to an active donor acquisition communication (new parents coffee morning, emails, communication through the class representatives (“Reps”), etc). Other parents chose to make one-off substantial donations, sometimes matched by their employers. We received a substantial £2,701 from employers’ match funding schemes.
In terms of small fundraising events, we added two more from the previous year which included a parents karaoke evening that lost £254, and a movie night which raised £215. Both of these events included a large part of the Hampden Gurney community which was the goal in creating them. We also added a music soiree as well, where the students performed a musical which raised a total of £3,064.
Our first major fundraising event was a Walkathon which, this year, replaced the annua! Danceathon. Like every sponsored event, it proved to be very popular. Each year group walked around the neighbourhood. Each class member asked their family, friends or parents’ colleagues for sponsorship. This Walkathon focused on supporting a variety of projects which were not covered by the regular giving appeal (play deck and PE equipment, class trips and other). Two-year groups raised an exceptional amount and won a joint pizza party (Nursery and Reception), In total, we raised £8,545 (vs £8,882 in 2021/22) without gift aid!
Like every year, we tried, as much as we could, to celebrate Christmas and give a glimpse of the festive season.
Once again, we sold high-quality Christmas trees at competitive prices to parents, generating net sales of £543.
The Christmas plays were recorded during the dress rehearsal on 3 December. Parents could then buy the DVD and/or downloadable link. This income covered the filming costs and a small profit was made. Most of the £1,190 Christmas play and DVD income came from the sale of mulled wine, minced pies, programs and raffle tickets to parents who were invited to watch the live plays in the school. Like every year, we also sold Christmas cards which the school’s children own designs, which generated a £441 donation to the PTA.
The first big spring event in 2023 was a Bake Sale. The cake sale is a huge undertaking where homemade and store bought goods were sold for students, parents, staff and neighbours to enjoy. The cake sale raised a total of £2,319. Held on July 14th 2023, the Bop was an immense success. Both children and parents were happy to socialise again and to catch up as an end of year celebration. It was nice for all to feel again part of the school community and, for some who had joined the school during the pandemic, to meet other parents. They all had fun on the dance floor and enjoyed a barbecue. By charging for tickets and selling food, drinks, and face painting on the night, we raised an amazing net amount of £4,151 (vs £3,874 in April 2022).
In addition to these fundraising events, we had a continual stream of smaller fundraising events/incomes throughout the year. We held three second-hand uniform sales, one each in the Autumn, Spring and Summer

term (£1,662 — includes the three sales). We also raised donations through the Amazon smile program and The Giving Machine scheme.
We are enormously grateful to parents’ sponsorship for events during the first months and their generous donations and commitment to regular giving without which the PTA could not continue to support the school. We appreciate the additional gift Aid to any donation. We are also very grateful to parents’ employers who matched their donations and all our corporate sponsors for their support, especially on the occasion of the auction and the bake sale.
The PTA was able to pay for a wide range of activities for the school. We worked with school staff to identify what would benefit the children the most.
The total expenditure amounted to £50,878 in 2022/23, which was slightly lower than the previous year. Most expenditure relates to the support to specialist teaching (£43,676 out of £50,878, total spending).
£28,676 was spent on Art and Music opportunities with specialist teachers. For the third year, the PTA paid for the Physical Education coach for a total £15,000 amount. Those amounts do not only cover the 22/23 school year, but also some costs of the year before. The specialist teachers not only enrich our children’s educational experiences, knowledge and skills, it also supports our teachers’ statutory preparation, planning and assessment (PPA) weekly release.
The PTA is happy to support curriculum resources (£275). Some of these resources are able to be used multiple years and across grade levels.
The PTA also contributed to school trips (£3,194). Children were happy to enrich their school experiences with these much-loved trips, especially during the summer term.
During the school year, swimming lessons are provided to students thanks to the PTA support (£1,551).
The PTA also paid for the well-done awards (£712 which were distributed to children during the well-done assembly, on the last day of school in July.
The PTA has also agreed to pay for a whole school subscription to the London Zoo (£500). Which is available to all classes, Nursery through year 6.
Other spendings (£970) include end of year presents for the school staff and teachers.
Our PTA would not exist if it weren’t for the support and involvement of the school’s children and their families. Each event in our calendar requires a lot of input from planning to delivery. Though we all celebrate our success, we also recognise the importance of our volunteers. Parents, grandparents, uncles and aunties help in a variety of ways, by encouraging their classes to get involved with PTA events, donating directly, being part of the PTA committee, and volunteering their time to plan and run events. Each year, the school faces increasing financial constraints and so our role as the PTA becomes even more important. Thanks to our generous donors and volunteers we are able to continue to provide support to our school. We appreciate very much parental positive response to our donation appeals. We are also incredibly grateful for the team of parents who accepted the challenge to organise in-person events, very often in a very short period of time, with significant time constraints of their own. They all proved to be extremely successful, and we could feel the kindness, intelligence and positive mindset which is the backbone of our school community.
We would also like to thank our corporate sponsors for their support and without whom the PTA would not have been able to contribute to so many school activities.
We would also like to thank our past Chairs and Treasurers, who have worked tirelessly in assisting fund raising activities, and provided support each step of the way, over the past year.

| report on the financial statements of the Charity for the year ended 31 August 2022, which are set out on page 9.
This report is made solely to the Trustees, as a body, in accordance with section 145 of the Charities Act 2011 (the 2011 Act). My examination has been undertaken so that | might state to the Trustees those matters which | am required to state to them in an independent examiner’s report and for no other purpose. To the fullest extent permitted by law, | do not accept or assume responsibility to anyone other than the charity and the charity trustees as a body, for my examination, for this report, or for the opinions | have formed.
Respective responsibilities of the trustees and the examiner
The charity’s trustees are responsible for the preparation of the accounts. The charity’s trustees consider that an audit is not required for this year under section 144(2) of the 2011 Act but that an independent examination is needed. It is my responsibility to:

e@ examine the financial statements under section 145 of the 2011 Act;

e follow the procedures laid down in the General Directions given by the Charity Commission under section 145(5)(b) of the 2011 Act; and
-
e state whether particular matters have to come my attention.
Basis of independent examiner’s report
My examination was carried out in accordance with the General Directions given by the Charity Commission. An examination includes a review of the accounting records kept by the charity and a comparison of the accounts presented with those records. It also includes consideration of any unusual items or disclosures in the accounts, and seeking explanations from you as trustees concerning any such matters. The procedures undertaken do not provide all the evidence that would be required in an audit and consequently no opinion is given as to whether the accounts present a ‘true and fair view’ and the report is limited to those matters set out in the statement below.
Independent examiner’s statement
In connection with my examination, no matter has come to my attention:
(1) which gives me reasonable cause to believe that, in any material respect, the requirements:

e to keep accounting records in accordance with section 130 of the 2011 Act; and
-
e to prepare accounts which accord with the accounting records and comply with the accounting requirements of the 2011 Act
have not been met; or
(2) to which, in my opinion, attention should be drawn in order to enable a proper understanding of the accounts to be reached.

1. ACCOUNTING POLICIES
a) Basis of Accounting
The accounts (financial statements) have been prepared in accordance with the Charities Act 2011.
The financial statements have been prepared on a receipts and payments basis. Receipts are brought into the accounts when cash is received. Likewise, payments are accounted for at the time payment is made, inclusive of VAT. The basis of preparation is permitted for charities with an income of less than £250,000 and which are not companies under the Companies Act 2006.
Statement of assets and liabilities
All equipment funded is the property of the schoo! and not Hampden Gurney PTA. There are therefore no significant other assets aside from the cash and bank balances. Furthermore, there were no liability or committed funds as at 31 August 2023.
b) Tax status
The Charity is a registered charity within the definitions of section 506(1) Income and Corporation Taxes Act 1988 and is therefore taking advantage of the exemptions given by Section 505 of that Act.
c} Fund accounting
Funds held by the charity are:
Unrestricted general funds — these are funds, which can be used in accordance with the charitable objectives at the discretion of the Trustees.
Designated funds — these are funds set aside by the Trustees out of unrestricted general funds for specific purposes or projects.
