## **TRUSTEES’ REPORT** 

## **YEAR ENDED 31 AUGUST 2020** 

The Trustees present their report and the financial statements for Hampden Gurney Parent Teachers Association (“Hampden Gurney PTA”) for the year ended 31 August 2020. This report has been prepared in accordance with the Charities Act 2011. 

## **THE CHARITY** 

Hampden Gurney Parent Teachers Association’s constitution was adopted on 26 November 2003. The Charity was registered with the Charity Commission on 8 January 2004 under registration number 1101423. 

## **STRUCTURE, GOVERNANCE AND MANAGEMENT** 

The Trustees are appointed at the annual general meeting which is held during the autumn term by its members. 

At the first meeting of a new period, the Trustees agree on the broad strategy and areas of activity for the association. The day to day management is delegated to the Chair, who is currently Laure Boizard. The Trustees then meet on a regular basis and at least once a year to, amongst other things, discuss the strategic direction of the Charity, consider its financial information, review grants to charitable organisations and track their progress. 

The Trustees are recruited from the Parent Teachers Association and are chosen for their particular skills and expertise. 

The Trustees who served during the year and up to the date of signing are listed on page 4. 

## **OBJECTS** 

The objectives of the charity are as follows: 

To advance the education of pupils in the school in particular by: 

1. Developing effective relationships between staff, parents and others associated with the school; 

2. Engaging in activities or providing facilities or equipment which support the school and advance the education of the pupils.

## **FINANCIAL REVIEW** 

The results for the period are set out on page 8 of the financial statements. 

## **RESERVES POLICY** 

The charity held total funds as at 31 August 2020 of £36,270 all of which are unrestricted. The Trustees agree to a reserves policy of £750, which is equivalent to one year’s administration. The balance of funds above this amount will be taken forward and allocated for future projects. 

## **RESPONSIBILITIES OF THE TRUSTEES** 

Charity law requires the Trustees to prepare financial statements for each financial year which give a true and fair view of the state of affairs of the charity and of the receipts and payments of the charity in the period. In preparing those financial statements, the Trustees are required to: 

- Select suitable accounting policies and then apply them consistently 

- Make judgements and estimates that are reasonable and prudent 

- Prepare the financial statements on a going concern basis unless it is inappropriate to presume that the charity will continue in operational existence 

- State whether applicable accounting standards and statements of recommended practice have been followed. 

The Trustees are responsible for the keeping of proper accounting records which disclose with reasonable accuracy the financial position and to ensure that the financial statements comply with the Charities Act 1993 and the Charities (Accounts and Reports) Regulations 2005. They are also responsible safeguarding the assets of the charity and hence for taking reasonable steps for the prevention and detection of fraud and other irregularities.

This report covers the 2019/20 school year, from 1st September 2019 to 31st August 2020. The total fundraised amount to £26,963, which is a more than honourable result knowing that our major fundraising events were cancelled because of the Covid-19 pandemic. 

During the Autumn term (September to December), the PTA ran more than usual events to engage a wide audience and increased the fundraising as the school asked for more support. 

The Autumn Bop, a back-to-school version of the popular Spring Bop was held on 27th September 2019. It was as successful as its March edition and a great way for children and parents to catch up after the summer break and have fun on the dancefloor and enjoy a barbecue. It also proved to be a great way for new Hampden Gurney families to meet with other ones and feel part of the school community as soon as the first month of school. By charging for tickets and selling food, drinks and small merchandise on the night, we raised £2,547. A Spring Bop should have been held on 20th March but we decided to cancel the day before we should have started to sell tickets. We were not talking about school closure nor lockdown on that day but Covid was starting to spread and we did not want to take any risk. 

In September/October, we held a very popular Walkathon. Each year group at school walked to nearby Hyde Park, and walked an age-appropriate route within the park. Each class member asked their family, friends or parents’ colleagues for sponsorship. The Walkathon was focused on supporting PE provision (PE coach, swimming lessons and equipment). Two classes ended up in a tie and they were both successful in having a much deserved pizza party. We raised in total £8,730 without gift aid! 

The first and eventually only Bake Sale was held on the October Parents’ Evening. Our Bake sales are always organised on those evenings as they are well supported by a regular flow of parents attending the school throughout the afternoon and into the early evening. The event made £2,078, which is an excellent achievement. Unfortunately, we had to cancel the Spring Bake sale which should have happened on 25th March. 

During the year, we received the last settlements (for a £4,000 total) of the Portman Foundation specifically to improve our library. Thank you to the Portman Foundation for their generous support to our library over the last years. 

As every year, Christmas was a very busy and festive period. Once again, we sold high-quality Christmas trees at competitive prices to parents, generating a net profit of £545. Our Christmas play was recorded by extremely talented parents, raising a £180 net profit. A new raffle was organised and raised £620. 

In addition to these significant fundraising events, we had a continual stream of smaller fundraising events throughout the year. We held two second-hand uniform sales making a total of £432 and a coin collection after the summer break (£270). 

As mentioned above and because of Covid-19 pandemic, we cancelled all the events which should have happened from March to July 2020 (Spring Bop and Bake sale in March, Summer Fair in May and Auction in July). We had a budgeted income of more than £25,000 for all those events. 

In order to face this huge gap in our income and as we realised that life would not probably go back to normal before months, we decided to make a shift in our fundraising strategy. As it could not rely on events anymore, we launched in July a donation appeal to all parents, asking them to commit to regular giving. It started to bear fruit during the summer, which explains the £4,904 parental donation amount, much higher than the previous years.

We are enormously grateful to parents’ sponsorship for events during the first months and their generous donations and commitment to regular giving without which the PTA could not continue to support the school. We appreciate the additional gift Aid to any donation. We are also very grateful to all our corporate sponsors for their support, as well as match funding made during the year. 

The PTA was able to pay for a wide range of activities for the school. We worked with school staff to identify what would benefit the children the most. 

£10,211 was spent on art and music opportunities with specialist teachers. For the first time this year, the PTA paid for the Physical Education Coach for a total £7,678 amount. The specialist teachers not only enrich our children’s educational experiences, knowledge and skills, it also supports our teachers’ statutory preparation, planning and assessment (PPA) weekly release. 

The PTA also contributed to swimming lessons (£1,335), playdeck and PE equipment (£1,767) and technology expenses (£410). 

The PTA contribution to the library (£2,189) was made possible thanks to the Portman Foundation donation. 

As all school trips organised after 15th March were cancelled (day trips as well as Y4, Y5 and Y6 residential trips), the PTA contribution to school trips was exceptionally low this year (£392). 

The PTA also gave a contribution towards breakfast clubs (£436) and money for a hardship fund to support equal access to activities for all children. We’re always happy to help pay for extra-curriculum treats too, such as providing Secret Santa presents (£714) or organising a Christmas pantomime (£359). 

The PTA was also happy to contribute to curriculum resources (£2,000). 

Our PTA would not exist if it weren’t for the support and involvement of the school’s children and their families. Each event in our calendar requires a lot of input from planning to delivery. Though we all celebrate our success, we also recognise the importance of our volunteers. Parents, grandparents, uncles and aunties help in a variety of ways, by encouraging their classes to get involved with PTA events, donating directly, being part of the PTA committee, and volunteering their time to plan and run events. Each year the school faces increasing financial constraints and so our role as the PTA becomes even more important. Thanks to our generous donors and volunteers we are able to continue to provide support to our school. We appreciate very much parental positive response to our donation appeal in July, especially in those times of unprecedented difficulties due to the Covid-19 pandemic. We would also like to thank our corporate sponsors and donors, either local businesses and organisations or parents’ employers, for their loyal support and without whom the PTA would not have been able to contribute to so many school activities. 

We would like to thank our past Chairs and Treasurers, who have worked tirelessly in assisting fund raising activities, and provided support each step of the way, over the past year.

## **Independent Examiner’s Report to the Trustees of Hampden Gurney Parent Teachers Association** 

I report on the financial statements of the Charity for the year ended 31 August 2020, which are set out on page 8. 

This report is made solely to the Trustees, as a body, in accordance with section 145 of the Charities Act 2011 (the 2011 Act).  My examination has been undertaken so that I might state to the Trustees those matters which I am required to state to them in an independent examiner’s report and for no other purpose.  To the fullest extent permitted by law, I do not accept or assume responsibility to anyone other than the charity and the charity trustees as a body, for my examination, for this report, or for the opinions I have formed. 

## **Respective responsibilities of the trustees and the examiner** 

The charity’s trustees are responsible for the preparation of the accounts. The charity’s trustees consider that an audit is not required for this year under section 144(2) of the 2011 Act but that an independent examination is needed. It is my responsibility to: 

- examine the financial statements under section 145 of the 2011 Act; 

- follow the procedures laid down in the General Directions given by the Charity Commission under section 145(5)(b) of the 2011 Act; and 

- state whether particular matters have to come my attention. 

## **Basis of independent examiner’s report** 

My examination was carried out in accordance with the General Directions given by the Charity Commission. An examination includes a review of the accounting records kept by the charity and a comparison of the accounts presented with those records. It also includes consideration of any unusual items or disclosures in the accounts, and seeking explanations from you as trustees concerning any such matters. The procedures undertaken do not provide all the evidence that would be required in an audit and consequently no opinion is given as to whether the accounts present a ‘true and fair view’ and the report is limited to those matters set out in the statement below. 

## **Independent examiner’s statement** 

In connection with my examination, no matter has come to my attention: 

(1) which gives me reasonable cause to believe that, in any material respect, the requirements: 

- to keep accounting records in accordance with section 130 of the 2011 Act; and 

- to prepare accounts which accord with the accounting records and comply with the accounting requirements of the 2011 Act 

have not been met; or 

(2) to which, in my opinion, attention should be drawn in order to enable a proper understanding of the accounts to be reached.

## **1. ACCOUNTING POLICIES** 

## **a) Basis of Accounting** 

The accounts (financial statements) have been prepared in accordance with the Charities Act 2011. 

The financial statements have been prepared on a receipts and payments basis. Receipts are brought into the accounts when cash is received. Likewise, payments are accounted for at the time payment is made, inclusive of VAT. The basis of preparation is permitted for charities with an income of less than £250,000 and which are not companies under the Companies Act 2006. 

## **Statement of assets and liabilities** 

All equipment funded is the property of the school and not Hampden Gurney PTA. There are therefore no significant other assets aside from the cash and bank balances. Furthermore, there were no liability or committed funds as at 31 August 2020. 

## **b) Tax status** 

The Charity is a registered charity within the definitions of section 506(1) Income and Corporation Taxes Act 1988 and is therefore taking advantage of the exemptions given by Section 505 of that Act. 

## **c) Fund accounting** 

Funds held by the charity are: 

_Unrestricted general funds_ – these are funds, which can be used in accordance with the charitable objectives at the discretion of the Trustees. 

_Designated funds –_ these are funds set aside by the Trustees out of unrestricted general funds for specific purposes or projects.
