MINUTES OF TRUSTEES MEETING TUESDAY, 13[TH] JANUARY 2026

THE CROWN, LITTLE WALDEN

Present: Tony Phillips Chairman, Rod Bird, Richard Legg. Apologies David Broadley

  1. This meeting acts as the Annual Meeting of the Trustees for 2024/5.

  2. The Admin and Charity Accounts have been reviewed and approved and will now be submitted to The Charity Commission.

  3. There are no forthcoming events for the Club that would put finances at any risk.

  4. No Health and Safety issues were identified. It was confirmed that we comply with the MD and our own Health and Safety Policies

  5. Lloyds Bank have notified us that from this year there will be a charge of £4.25 per month per account. Apparently other clubs have been able to waive this charge and Tony contacted Lloyds and although we are exempt for the Charity Account, charges will be made for the Admin. Account. We are now receiving charges on the Charity Account and Tony will discuss this with Lloyds

  6. Our database is secure with access details of Bank accounts, HMRC, Charity Commission and the phone contract. All club accounts back to 2018 are stored on Tony’s laptop and backed up on an external hard drive and memory stick. They are also stored on a dedicated SWLC memory stick. It was felt that our data now have adequate security. Rod has prepared a sheet detailing how to access club records on his laptop. Tony has done the same.

  7. David has a list of potential donations and these are considered with the potential sums at the Business meeting.

  8. We have very substantial reserves in the Charity and Saffron BS Savings accounts. It was agreed that we should aim to reduce this to a total of about £20k over the next year.

  9. We will be in compliance with the requirement for new members to be DBS checked once the application for Mark and Gary is complete.

  10. Next Meetng Tuesday 11[th] March 2026 at 9.45am.

AUDITORS REPORT TO THE MEMBERS OF LIONS CLUB OF SAFFRON WALDEN CHARITY ACCOUNT th I have examined the books and records for the year ended 30 June 2025 and confirm that adequate records have been maintained.
