Reports – Activities, Outreach and Community Support

Vision

Our vision to be a loving and encouraging, inclusive fellowship of ‘real people’ trying to be ‘real Christians’ has not changed. We continue to reach out to those who do not yet know Jesus by demonstrating our faith in the most positive ways we can, by our actions.

Prayer

Grapevine always encourages everyone to pray as part of their spiritual disciplines and to be part of prayer in the church. Weekly prayer meetings run every Saturday morning. There are also other opportunities to join other regular prayer meetings and to be part of our prayer chain organised by Alice Allsworth . Prayer points can also be sent to the team led by Pat Matthews.

Sunday Clubs – The Shed & Creche

The Church runs provision for children from toddlers to teens every week. They have age-appropriate Bible teaching and activities related to a theme. All are actively involved with the adults through the worship and taking part in the services. Sue Smith.

Down the Line – Sunday Group

Down The Line was restarted by Tim and Mel Smyth due to a need in the church for an older Sunday morning group. We are blessed to have six leaders who help with delivery. We generally look at subjects and issues that are relevant to the children's lives relating them to biblical teaching. Tim Smyth

Youth Group – Buddies 7-11s

Our popular mid-week youth group session is set around a weekly Christian theme, followed by games and crafts. It is energy filled. Thanks to the helpers who have led and participated in all the activities along with the youngsters themselves. It has been a very successful year. Elaine Marks

GV Youth

GV Youth started in January 2022 for children over 11 years of age. Activities include crafts and games. We have developed a good rapport with the children attending and try to encourage them to converse with us regarding the things going on in their lives! Tim Smyth

Little Lambs Toddler Group

Little Lambs has an average of 20 mothers and carers each session with their children. Most join in with the songs and craft activities, and some listen to the Bible story. It is a relaxed and friendly group. Julie Waterman

Pips Toddler Group

We have been delighted this year to welcome so many new toddlers with their parents and grandparents. We offer free play, craft, a singing session and snacks. There are between 25-35 children attending each week. Everything is free. We donated £180 to Childrens Hospice South-West this year. Jan Uttridge

Momentum Music

Momentum Music runs on Thursday evenings where people can meet to practice secular and Christian music. Anyone who is keen on music can attend and have a go. Tim Smyth

Children’s Holiday Club

This year’s Holiday Club was called Shipwrecked . We had interest months before and were packed out and full all week. The children loved the dramas, games, craft activities and songs. Thanks to everyone who gave up their time to help and run the programme. You are an amazing team. Elaine Marks

Bible Study Home groups

Three mid-week homegroups continue to support the development of our pastoral care and to explore relevant, practical study topics. Participants really enjoy these meetings. We use a range of study resources for the sessions by well-known authors. Ade Marks

Vinecrafts

Vinecrafts is a thriving group of around 20 members who meet weekly bringing along a wide variety of personal crafts to work on. This year we organised a Christmas fayre with a contribution made to local charities. The group also helped make the knitted angels which are distributed every Christmas. Kate Shaw & Maggie Eastman

Open Doors – Coffee mornings

The Friday Coffee morning offers refreshments and activities. These include book swaps, quizzes and daily papers. There is no charge, but donations are welcome for Cancer Research. We received a small grant from Cornwall Council and purchased an advertising banner, tablecloths and aprons. Open Doors offers a warm welcoming space and friendship to all in the community. We have also collaborated with the local College offering work experience placements for special needs students. Sue Smith

Grapevine Cycle group

The cycle group continues to grow and is supported by a dedicated group of participants. Each Saturday we try and cycle to a different place. All the cyclists learn basic bike maintenance and carry spares with them. It is a popular weekly social event as we visit different venues on the way for refreshments. The group has its own Facebook page. Mike Thorne

Grapevine Hoop Group

This group runs on Monday evenings providing free sessions for exercise and movement. It is run by Maria Ashton.

Joy Movement and worship group

This group started in February 2023. Participants can join in dance or movement along to worship music. Thanks to Amber Barry and Kate Shaw who organise the sessions.

Social events

Grapevine continues to look for ways to develop fellowship and build community – this includes organised social events. Our craft mornings (Christmas and Easter), picnics, scavenger hunt picnics, treasure trails, music nights, pastoral team meals , walking , cycling and crafts all continue . We will explore other ways we can do more. Ade Marks

Christmas and Easter Craft mornings

We were able to run our Christmas and Easter craft mornings this year. These are very popular and draw people from the community together. Thanks to all who provide their time, commitment and creativity to these annual outreach activities. Thanks also to Julie Waterman who is the inspiration behind them. Ade Marks

Christmas cards and Christmas services

This year 1500 Christmas cards and publicity leaflets were distributed as part of our outreach. As usual we made every effort to maintain a full range of services over the Christmas period for everyone, including Christmas day. Ade Marks

Outreach

Grapevine supports as many outreach programmes as possible. We are always working hard to develop materials to use as part of local evangelism. We offer the building to community groups when appropriate. Much of our outreach work focuses on young people and children during the week through a range of groups and during the summer via the annual Holiday Clubs. This year we again distributed postcards in Illogan on a regular basis letting the community know that we are there to help and we blessed the people we met along the way. Grapevine Christmas Angels

A small group of dedicated Church members knit up to 1000 angels each year and distribute them with an attached festive message at Christmas. This has proved to be very popular and appreciated by the local community. Sue Smith

Alpha 2023

A new Alpha course started in June 2023 with 6 participants. This was an exciting and worthwhile programme of exploration. All the members started a new homegroup on completion. This was run by Christine and Mick Butcher.

Marriage course

A four-session marriage course was organised and run on Saturday evenings by Alan and Nic Bentley as part of our outreach programme . The couples attending found it incredibly helpful.

Gift bags

We continue to give out our gift bags to people in need. This includes new mums with babies who attend the toddler groups or are known to church members, or anyone who would benefit. Feedback from recipients is always positive. We encourage everyone to continue supplying treats such as sweets, chocolates and biscuits for the bags. Nic Bentley

Pastoral teams

Grapevine has an established pastoral team. Pastoral leaders provide continual support within the church. Leaders note that it is a positive experience getting to know more people on a personal basis and to pray for them. Nic Bentley

Hardship Fund

As pressure continues to build on people as a result of the cost of living and energy crisis, Grapevine continues to maintain and offer local support from a self-generated hardship fund. We will keep on distributing this to any worthy causes as long as we can. The hardship fund donations are changing lives. Ade Marks

Teaching and Preaching

The preaching and teaching lead is taken by the pastors, with help from occasional speakers. Systematic preaching of a linked series of teaching talks forms the main basis of biblical teaching, primarily delivered on Sundays.

Worship and music

We are always looking to encourage our musicians in worship, add more instruments, and develop the use of music pads to enhance the worship experience. Songs used in worship are reported regularly online to CCLI (Christian Copyright Licensing International) - we are also a member of their Song Select resource.

Publicity / Newsletter

News and events are announced on our website and Facebook pages. A weekly Newsletter is designed and produced by Elaine Marks and complemented by weekly PowerPoint notice presentations at Sunday services and updates using Facebook. Newsletters are issued every week and posted to those who cannot attend the service.

Noticeboard publicity

The exterior noticeboard at the main entrance continues to be an excellent resource to publicise the work of the church. Additional internal noticeboards are used to inform church members of events and to provide team details.

Reviews and reports

Some church activities were reported in the West Briton by Sue Smith. Sue also contributes articles to the quarterly Illogan Review, publicising a range of community focused activities in the local area.

Website

The website is a professionally designed site accommodating latest news, events, and updates. Thanks to Alan Bentley for his work maintaining and updating the site. The website address is: grapevinecommunitychurch.org

Facebook pages

Grapevine Community Church has a general Facebook page where events can be publicised and shared. We also have a closed group Grapevine News Facebook page and others with specific interest target groups, for example, kids and youth, the annual Holiday Club, Toddler group and Grapevine Community Church Rocks plus Grapevine Community Church Angels.

Media presentation – Livestreaming and song projection

The church’s public address and song projection system is used each week. This is backed by a Wi-Fi router which helps groups access the internet both in the main church and adjoining rooms. We livestream our worship services and load them onto YouTube each week. Livestreaming helps us to reach more people. Thanks to John Matthews, Alan Bentley, and Tim Smyth for heading this up along with Reuben Bentley, Isaac Bentley and Tracy Holmes. The technical support team uses a What’s App group to keep in touch. They have worked tirelessly to maintain the system.

Health and Safety, Buildings and Maintenance

We have a dedicated DIY team working each week to maintain and improve the building. Thanks to Dave Eastman and Tracy Holmes, for this. In mid-2022 work started on the expansion of the stage area to create more storage and to provide easier access for the musicians. This is now complete.

Fire safety checks continue with the emphasis on clear access and emergency lighting maintained in working order. The fire extinguishers are always checked and certificated annually. This past year has again been a safe year. However, vigilance is always required by all church members. This is to ensure that we keep each other safe by adhering to appropriate guidance and keeping all areas in a safe condition. Anyone unsure about a health and safety issue or requires help with risk assessments is asked to contact the leadership team or trustees. In order to improve external security and to help with developing parking issues outside the church we continue to use a basic CCTV security system at the front of the building.

First Aid Training

In November 2021, 13 people passed a refresher course in First Aid delivered at the church. Everyone found the sessions practical and enjoyable. Their qualifications are still in date.

‘Upper Deck’ new rooms project – 2022

Plans for the construction of two new rooms on the upper deck to provide a range of community activity work were cancelled in 2022 and grants pledged or provided were returned or, where agreed by the donor, retained for general expenditure. We were unable to raise the funding for this project and only secured £6000 in grants. We thank AllChurches Trust, Alexis Trust, Beatrice Laing Trust, Broadmead Trust, Cassell Trust for their support, but we were well short of the final target despite many further applications. Feedback from every donor was positive and we are able to reapply again in the future. Thanks to Barry Shattock for all his hard work on this. We have also enquired if one of our immediate neighbours may consider selling or leasing part of his garden at the rear of the church for use by the church. We continue to pray for this.

Cleaning

Regular cleaning mornings take place, along with the weekly cleaning to keep on top of the building, when possible. Thanks to Jan Uttridge and all those who volunteer to help.

Safeguarding – Vulnerable Adults and Child Protection

We take the safety and welfare of vulnerable and young people very seriously. We have our own Safeguarding Policy and operate under the umbrella of Thirtyoneeight (formerly the ‘Churches Child Protection Agency Service’ - CCPAS). Our Safeguarding Policy is available for inspection as well as the accompanying guidance booklet - Children’s Workers Pocket Guide . Ade Marks and Richard Waterman have responsibility this. We are regularly informed by Thirytoneeight of any updates.

All volunteers who work with young people and vulnerable adults are asked to undergo a Disclosure and Barring Service (DBS) check and to participate in any training offered by the church and through Thirtyoneeight . Workers are also asked to familiarise themselves with the church’s Safeguarding policy and guidance. By following good practice, we all work together to safeguard any children and vulnerable adults in our care. Any additional training can be provided on request. All our volunteer workers are requested to go through our DBS electronic checks as part of updating our safeguarding procedures and practice. We have a significant number of the church covered by DBS checks. Thanks to Richard Waterman for leading this.

Equal opportunities statement

In order to protect members of Grapevine, participants in community activities, and volunteers or employees, Grapevine has an Equal Opportunities statement which is available for review. The statement is based on a model supplied by Thirtyoneeight.

Policies and procedures - Updates

Grapevine’s policies and procedures are updated in response to any changing national legislation and to standardise the format of presentation. In 2020, an updated Health and Safety Risk Assessment was introduced in response to government guidance on Coronavirus (Covid 19). Our Fire safety actions and procedures were updated significantly in 2021.

Office

The office for Grapevine Community Church is based at 1 Glenfeadon Terrace in Portreath. It is supported by a telephone, photocopier, printer, two desktop computers, a laptop and some storage space. Our e-mail address is: gccoffice@btinternet.com and telephone number 01209 842213.

Treasurer’s report

Independently examined accounts for the year 2022-23 are attached. The received income was £49,520 which was a 7.9% increase on the previous year. The majority of the income comes from regular giving either via Stewardship or direct payments by bank transfer. Outgoings at £40,932 were slightly lower than the previous year despite general cost inflation. The reserves therefore increased and stood at £21,931. The Hardship Fund was well used and payments of £3,867 were made and at the end of the year the Hardship Fund stood at £380. Richard Waterman

Leadership Team

The Leadership team includes Ade and Elaine Marks (Co-pastors) with Alan and Nichola Bentley (Assistant Pastors). The team meets to discuss and pray about the challenges and direction of church, to encourage and to share vision and strategy ideas.

Networking, mission and support

The activities of the church must always extend beyond our local area. We are pleased to be associated with several local, national and international contacts. We are always delighted to maintain working contact with other churches in the area. We also value the input of our visitors on a regular basis. Grapevine continues to develop links with other churches and associated Christian organisations. Thanks to Illogan Parish Council for their generous grant support from the Community Fund for £300 towards our Kid’s clubs and Toddler groups.

Local Leadership Prayer and Fellowship

The leadership team has participated in prayer and fellowship meetings with other local church leaders and this is proving to be a good way of moving together in unity of spirit and purpose. It’s great to see churches praying and working together to share the gospel. Grapevine is also regularly invited to participate in a monthly Prayer & Share online and other informal fraternal meetings with local pastors and leaders.

Trustees

The church is a registered charity with appointed trustees. They are Alan Bentley, Richard Waterman, Alice Allsworth (chairperson and secretary) , and Nichola Bentley. David Eastman has also joined the trustees team. Thanks once again for all your hard work, continued support and creativity.

Sharing the Gospel / Mission

Our challenge is to always keep reviewing outreach and to demonstrate the gospel in action. This is the way people will be drawn towards God’s heart. How can we reach out more? What else can we do to fulfil our mission for the next year? God gives us the gifts and abilities - we must continue to use them for His glory, and we can learn more! As part of the desire to reach out to people and show the love of God in action we still choose not to charge for activities or refreshments. This is to make every activity available to all irrespective of means. Of course, anyone can donate to the work of the church if they wish to.

The trustees consider that an audit is not required for this year (under section 144(2)) of the Charities Act 2011 (the Act), and that an independent examination is needed. It is my responsibility to:

Basis of independent examiner's statement

My examination was carried out in accordance with General Directions given by the Charity Commissioners. An examination includes a review of the accounting records kept by the organisation and a comparison of the accounts presented with those records. It also includes consideration of any unusual items or disclosures in the accounts, and seeking explanations from the trustees concerning any such matters. The procedures undertaken do not provide all the evidence that would be required in an audit, and consequently no opinion is given as to whether the accounts present a 'true and fair view' and the report is limited to those matters set out in the statement below.

In the course of my examination, no matter has come to my attention

The Church has one employee: Mr Adrian Marks - employed from 1st Nov 2016. No employee received emoluments in excess of £60,000 and staff were paid through the PAYE system.

6. PAYMENTS TO AND FROM TRUSTEES

No payments were made to trustees or any persons connected with them during this financial period. No other material transaction took place between the organisation and a trustee or any person connected with them.

All the trustees are church members and give via the weekly offerings or via Stewardship.

7. RISK ASSESSMENT

The Trustees actively review the major risks which the charity faces on a regular basis and believe that maintaining the free reserves stated, combined with the annual review of the controls over key financial systems carried out on an annual basis will provide sufficient resources in the event of adverse conditions. The Trustees have also examined other operational and business risks which they face and confirm that they have established systems to mitigate the significant risks.

8. RESERVES POLICY

The Trustees have considered the level of reserves they wish to retain, appropriate to the charity's needs. This is based on the charity's size and the level of financial commitments held. The Trustees aim to ensure the charity will be able to continue to fulfil its charitable objectives even if there is a temporary shortfall in income or unexpected expenditure. The Trustees will endeavour not to set aside funds unnecessarily.

9. PUBLIC BENEFIT

The charity acknowledges its requirement to demonstrate clearly that it must have charitable purposes or ‘aims’ that are for the public benefit. Details of how the charity has achieved this are provided in the Trustees report. The Trustees confirm that they have paid due regard to the Charity Commission guidance on public benefit before deciding what activities the charity should undertake.
