MINUTES OF THE SHERWOOD ARCHERS ANNUAL GENERAL MEETING
HELD ON SATURDAY 22[ND] MAY 2021 THE CLUBHOUSE, MAYTHORNE COTTAGE FIELD, LOWER KIRKLINGTON ROAD, SOUTHWELL. Our normal February date was deferred until May due to the Covid Pandemic and lockdowns. PRESIDENTS WELCOME :
Welcome to the AGM for 2020, later in the year than usual, but then, everything has been different from usual so far this year. As President, I want to thank everyone for the way they have supported the club in whatever way they could during what was a difficult year.
To-day we will receive the reports from the Executive Committee and the Officers for 2020 and elect their successors for 2021. I hope that the different procedures we have to follow this year will not make their tasks too difficult, but no matter what, Sherwood Archers is active again!

I would like to thank all the members of the club for their continued support through what has been a very difficult year. My thanks go particularly to Jason for all the hard work he has done to make the field look so great, also to Mark for getting extra funding from Sport England in an effort to make it possible to be able to shoot indoors even if it didn’t quite happen. I want to thank Susan for all her hard work in keeping members informed and running the booking system, this will have to continue for a while yet.

SECRETARY :
From a secretary’s point of view, it has been a particularly challenging year with the use of emails and zoom meetings being our way of keeping in touch, but hopefully we can now resume our normal monthly committee meetings. There has been a lot of changes from AGB’s prospective with a great deal of guidance and updates to guidance for being able to open the field for use by members and for the running of tournaments. At the present time, all this guidance still stands so although things are a little easier there is still a lot of red tape to work through each time, we wish to re-open the field or set up our tournaments. AGB have also asked that now not only our membership renewals are done online but all our events whether they be competitions, beginners’ courses, have a goes must be registered online as well. All of this is operated through the Sport 80 platform, which I think some of you may be familiar with as you are able to access this to check your own personal data.
We are planning to host our usual range of tournaments again this year after we had to cancel everything last Year and I hope to see many of you there whether it be shooting or as working party to support the club.
Finally, I have decided that after 20 something years as club secretary it is time for me to stand down, so I would like to say thank you for the support I have received over the years and that I will of course be available to help the new incumbent. Susan Stankovic

This has been the first of a very strange time for Sherwood Archers. It is hard to think that it is 18 months ago that we started they year with much promise with income coming from our Indoor Competitions. The future looked rosy. New bosses were purchased, and a ramp commissioned for the toilet block.
However, come the beginning of March we had to shut down all operations on the field. There was no shooting or access for many months. Shoots were halted, which meant that our income was severely affected. Fees from the members had never covered our overheads but with people unable to shoot would they still support the club and look to better times in the future. I was very pleasantly surprised that over 75% of members renewed their membership which along with an overdue payment from EMAS helped us through the year.
We started shooting again mid-year and even held what I classified as a Covid National Shoot. No sooner as we started, we were forced into lockdown again for a much longer period this time but over the year we made an income of £13181.24. I have enclosed Income/Expenditure sheet where you will see the costs involved for the year, our expenditure was £14002.66 which means that we made a loss over the year of £821.42.
2020 was a hard year for many reasons but I feel that 2021 is going to be even harder. Most people have had little or no shooting this year and will be thinking whether it is worth continuing with their membership hopefully they will still want to be part of Sherwood Archers. What good is a perfect field, clubhouse, and toilet facilities without people to use them. Linda Telford
RECORDS OFFICER :
Knowing what we all know about the year that was 2020 I think it’s safe to say for the majority of members it was a total washout for archery. We all had bigger fish to fry, be it worries about family, health, or work.
The few test tournaments that did go ahead were a welcome break from the doom and gloom of the first lockdown even if they were few and far between. And we all know what happened to indoors.
All that being said some determined members did get out and put some very good scores in. Archery GB has decided that 2020 be excluded from handicap/ classification calculations.
However, for those who did shoot and improved on their hc/class this will not affect you, your improvements will stand and your starting hc/ class will be calculated/ adjusted as normal. This will make it fair for those for whatever reason did not get out and shoot last year, your starting handicap/ classification will be what 2020’s should have been or what you finished 2019 at. I will add a copy of the hc/class to the end of this report as we are still not (at the time of writing) using the clubhouse. I will also add on to the end all the scores achievements and improvements at the end as we haven’t been having monthly committee meetings.
I would like to remind members I am open for business and recording your scores.
Any new members who are beginners send me your details adults just your email address for updates, name and what bow you shoot, juniors the same but add your birthdate so you can be put in the correct category.
If you have joined from another club also let me have your handicap/ classification proof and ill add you. I am happy to continue in the role as records officer for the coming year

TOURNAMENT OFFICER :
The Tournament Organising Team has less than usual to report. Nearly all of our own tournaments as well as those we host had to be cancelled. Susan, Linda, and Jane retained one each, and all of the others were lost. Our own Portsmouth in January, and The Notts Indoor Championship Portsmouth in February both had entries of about 100, some shooting more than one session. Thanks to Susan and Linda for two important additions to our finances. In March, Jane organised her first shoot, the Double Record Status Clout, at Kirklington. Thanks to Mr Tim Farr for providing the field. Fifty archers took part in this successful shoot under trying conditions. Thank-you Jane.
After a long closure of the field throughout the summer, except for our Groundsman Jason, because
“everything keeps on growing”, Susan organised an Open National Competition, shot in three sessions over two days on the last weekend in October. Strict rules for field layout and rules of shooting limited the number of archers and helpers allowed on the field, and a range of safety measures protected everyone during the competition. Fifty archers took part, and it proved to be a good test of the anti-Covid regulations set by AGB. Thanks to Susan for all of the detailed work involved in organising this shoot under the current regulations.
Finally, thank you to our members for all the help they give to the Organisers. Without them there would be no tournaments After more than 40 years as Tournament Organiser, part of a team in later years, this year, with no shoots
to organise and the increased change from pencil and paper to computer, I realised that it was time to stand down, and become a helper. Thank you to everyone who has helped me over the years, and success to whoever follows me. George Brown.
JUNIOR REPRESENTATIVES :
Last March several of our juniors were coming to the end of the Notts. Archery Society winter training programme and looking forward to a productive outdoor season putting their newly honed skills into practice. Sadly, that was not to be with lockdown being implemented just a week after their final training session.
As with most of our members, the juniors have struggled to maintain their fitness and form during the past 14 months, but with the aid of the club coaches and the option of the N.A.S winter training programme, hopefully being available again later this year, they can soon get back to the shooting line and enjoying their archery again.

PUBLIC RELATIONS OFFICER :
There wasn’t very much news to send to The Bramley in 2020, but I reported on the shoots we held, and included anything that I thought would show the readers that we were still active. I relied on the various organisers for details of their shoots, and on our Records Officer, Lee, for details of achievements by our members at home and away. Photographs taken at shoots were always welcome.
The reports for the months when we were active were copied to our website to keep members informed, and my thanks to Malcolm for his help.
If no-one else wants to take on this post I am happy to continue with it, relying, as usual, on getting the information from you, as and when you have anything newsworthy.

GROUNDSMAN :
Firstly, thanks go to those who have helped with the maintenance of the field throughout season. Special thanks to my wife, Linda who stepped into the breach giving invaluable assistance between lockdowns, with the endless task of covid19 lane marking and who also sorted the kitchen, equipment shed and toilet to make them covid19 secure. Ulyetts again provided exceptional service keeping the field cut to their usual high standard.
The weather provided its usual challenges with a hot dry spring and early summer with no significant rain until late summer/autumn. It did though, provide lots of outstanding days made for shooting. Pity about the pandemic. Winter proved kind with no really cold weather until early 2021.
This year the focus has been mainly around the roadside boundary with the raising of the crowns on the last few trees at the back of the containers and clearance of the scrub and undergrowth from this area to the top corner. Work has now begun clearing the brambles from the top of the field and a specimen Rowan tree has been planted here to give a splash of autumn colour and food for the birds. We have started a project to improve the roadside boundary hedge, removing all the overhanging growth to let the light in and improve the growing conditions there. Happily, the inner hedge is responding well and beginning to thicken up nicely, promising to block the view from the road in a few years’ time. At the side of the competition container the Hornbeam hedge has established itself remarkably well and after a robust trim last winter made a good start to this season. Unfortunately, the Hornbeams planted to fill the gap in the hedge opposite the golf club entrance did not survive the harsh conditions and this will have to be revisited at some point. The hedge overhanging the clubhouse roof has been cut back and the roof cleared of accumulated detritus. The felting beneath is weathering and will need attention, probably before the end of the 2022 season. Thanks go to Western Power who visited us during the autumn to clear the power lines and do some sympathetic pruning of the two Ash trees over the ditch and the hedge on the north side of the field. With regular trimming the lower part of this hedge continues to thicken out nicely, providing shelter for our more delicate compound archers. The new toilet block was brought into service and after some sterling work on the access ramp and plumbing should provide us with an enviable facility once “normality” returns and we begin hosting competitions again.
This year’s spring has almost past and after a cool dry, slow start recent rain has seen growth rapidly catch up and all is now going well. The emphasis will continue the roadside boundary hedge and the top of the field, clearing the brambles and opening out the ground around the clout target. This along with routine hedge trimming and weed control should keep us fully occupied. Although it can be hard work at times, what makes it all worthwhile is seeing people on the field enjoying the space and maybe even shooting a few arrows occasionally. So please do come down, relax, and take advantage of our little haven from the daily routine.

EQUIPMENT OFFICER :
Thanks as ever for the assistance that has been received during the year, and particularly the fantastic turnout for the pre-competition Outdoor equipment check.
During this strange year bow rental has not been charged for those that had the bows, whilst they were unable to use them.
As stated last year, there will be some costs with maintaining / improving the bows that we have, to ensure that we have good equipment for the Beginners courses, and the “taster sessions”
David Salmon’s kind donation of the Lions sponsor money has been spent on smaller arrows for the younger participants of the courses – just a shame that they have not yet been used in anger!
Before Lockdown 1, we bought some banded foam bosses to assist with single archers, these are in the Equipment shed. Thanks to the grant obtained by Mark, we have replaced the bosses at Jo Whit with sectional targets, so we hope that these will stand the pressure of close-range shooting and be easier to keep in good condition. The older ones are currently in the club house, we are looking to convert these into smaller more solid bosses with strapping, providing slightly smaller, but lighter bosses for any single participants. BEGINNERS COURSE CO-ORDINATOR :
Not much to say really. This was my fifth year as Beginners Course Coordinator, and it has been the easiest of the lost as we unfortunately had to cancel all the courses due to the Covid situation.
We had 6 people signed up for the Spring course but had to cancel at short notice due to the lockdown. As usual we had lots of enquiries but not all turned into bookings.
The summer and Autumn courses also had to be cancelled but at least this wad done with a bit of notice to all.
We tried to hold a re-scheduled autumn course with all if Spring participants willing to give it another go but again due to the second lockdown we had to cancel at short notice.
We have just agreed the dates for the Summer 2021 course, and I already have a few enquiries for that, but the Autumn course dates have not yet be finalised due to uncertainty of free weekends. Hopefully, we can get this underway soon. Thank you.

COACHING ORGANISER :
My first year in the role of Coaching Coordinator has unfortunately been heavily affected by the Covid Pandemic. Even when shooting has been possible the restrictions on coaching have meant that meaningful coaching has been difficult at best.
However, despite this, coaching has been actively offered as part of the clubs return to shooting strategy to help archers who may have lost a bit of confidence during the lockdowns.
Hopefully as things start to get back to a bit of normality the coaching activities within the club can re-gain a little more focus Finally, a reminder to all our members, should you require any help whatsoever, please feel free to contact myself, either directly or through the Secretary, to organise a one-to-one session where an ongoing plan can be formulated. TOKEN SCHEME CO-ORDINATOR :
Usually, the Scheme runs from 1[st] May to April 31[st] each year. With everything that has happened in the last year, with the pandemic and lock downs there have not been so many occasions for people to get points.
Despite this we have had a fair amount of work over the year with the new toilet block, additional white lining and general keeping the lights on type activities.
I would normally give numbers of people who have got points and those who have made the full allocation for discount, with the limited numbers of people doing this work I’m not doing that this year.
The big day we had a couple of weeks ago to get all the competition equipment out and general maintenance of the equipment shed was a great day for all and those who attended, the points will be added to this coming year figures. I am happy to continue with this role for another year unless some has a strong wish to take over.

NEW MEMBERS CO-ORDINATOR :

WEBMASTER :
In the last year we have upgraded both the website software and the many add ones we utilise to make it all work. In total I have completed 45 updates and changes to the site to keep the security and validity of the software current. Over the last 12 months we have had no major outages, but we have had over 150 attempts to gain access to the site through various means. Our current security has proven up to the task and the site is performing well.
There have not been many updates to the content of the site other than changes to when the field is open and changes to the way we book slots.
We recently paid for the back-up service for another year, as well as the domain for one of the 3 domains we have as a club. Our current 3-year deal with our current hosting service will need renewal in December and work on this has started with the aim to get the best deal we can.
I am more than happy to carry on this year where I hope to carry on delivering a high standard of service to the club. Malcolm Douglas-Kellie
AMENDMENT TO THE CONSTITUTION:
It was proposed that the Secretaries role should be split into two posts and two proposals were put forward as to how this should be done and how it would affect the executive committee, they are as follows: Proposal 1:
That the role of Secretary be split into two posts. Both of which should remain as executive posts. The posts to be called Administrative Secretary and Membership Secretary. This would therefore increase the executive committee to 11 members. This was proposed by Malcolm and seconded by Brian and was accepted by a majority vote. Proposal 2:
That the role of Secretary be split into two posts. The posts to be called Administrative Secretary and Membership Secretary. Should both roles become executive posts this would mean an increase in the executive committee to 11. It has been suggested that this would mean that the executive committee is more then 10% of the club membership, and that we should lose 1 post. The suggestions for the post to be lost are: 1 Vice-Chair or 1 Elected voting member or Membership secretary. As the first proposal was accepted this was not voted on.
