Annual General Meeting Minutes Wednesday 9[th] October 2024 at 7.00pm Venue: Winterley Methodist Church

ITEM ACTION
1. Welcome
The Chair opened the meeting and welcomed the attendees to the AGM. The previous
minutes were accepted as a true record of the last academic year’s AGM.
2. Apologies for absence
Apologies have been received from Emma Kerr and Natalie Pemberton.
3. Chair’s report
The Chair gave the meeting a summary report on the challenges and successes at preschool
over last year, notably the recent ‘Good’ Ofsted inspection and achievements of staff in
undertaking level 3 qualifications. Copies of the Chair’s report were circulated to attendees.
There were no questions arising from her report.
4. Treasurer’s report
TC reported that financially the preschool is in a much better position than in recent months,
helped largely by the introduction of the session supplement from Easter this year. The
reserve is ~£7.5k and expenditure is well controlled with staff ratios being carefully
monitored according to occupancy and there being a reduction in unnecessary expenditure.
TC commented that we need to start marketing and attracting families to place children with
us, particularly as the January numbers aren’t much higher than at present. Following the
recent Ofsted inspection it was agreed that we need to market the preschool and advertise
the outcome of our recent inspection.
5. Constitution
The Chair reported on the successful application to change the preschool’s charitable
registration to an incorporated charity, effective from August 2024. This action was
necessary following the current committee identifying issues around liability with the
previous registration. The now incorporated charitable status of the preschool ensures that
the preschool can operate appropriately, through governance from trustees who no longer
have liability, which will hopefully reassure anyone volunteering to get more involved in the
preschool in becoming a trustee/committee member.
6. Election of committee/trustees
The Chair advised that Ian Raisbeck and Katie Raisbeck wished to step down from their
trustee/committee roles and she thanked them for their valued contributions over the last
couple ofyears. Their resignations left three trustees/committee members andparents had

been advised that the preschool was looking for new members. SJM and BN offered to join the committee and to act as trustees for the preschool. The roles were discussed and the Chair will send further information to them to allow them to make an informed decision to join. KAR and JH will liaise with them accordingly, in order to process the appropriate KAR/JH applications for Ofsted and DBS checks.

7. Fundraising a. Spring fayre Following the success of this year’s event in raising £792 in profit, TS suggested that we TS do a Spring fayre in February/March following a similar format to last year. She is happy to lead on this with support from other parents/staff and it was agreed to encourage as much involvement as possible from parents/preschool families. b. Easyfundraising KAR reported that this continues to raise a good level of additional funds for the KAR preschool and she will again try and encourage more parents to sign up to this scheme in case some are still unaware of it and/or how straightforward it is.

c. Other fundraising ventures

the church for Saturday 7thDecember (AM). It was agreed that holding it on a
Saturday worked well last year and it was very well supported. This year JH hopes
to follow a similar format and to make it a family event, selling cakes, refreshments
and artwork/crafts.

➢ SJM suggested sponsoring events such as Tough Mudder or a half marathon and she
would be willing to do this.
➢ TC put an application in to B&Q for a £1k grant to help develop the lower garden
area (beyond the current fence). TC has been advised that this application was TC
successful but is awaiting further information regarding plans and timescales. It was
also discussed about having a good tarmac surface, possibly instead of the patio,
which may be worth discussing when more information is received about the B&Q
grant.
8. Any other business
JH commented that the green shed doors are split and that the bottom is rotten. It was also
agreed that we do not have enough storage for the bikes/scooters etc. It was agreed to try JH
and find someone who might be able to look at the doors to ascertain whether
repair/replacement is feasible, and to look at additional storage options for the bikes etc.
