Apologies – Linda Stanton. Minutes of last AGM – were read and agreed a true record. Matters arising – nil

Treasurers Report - The treasurer presented the accounts for the year ending 1[st] March 2021 which showed a balance of £15451.18 and pointed out the main areas of interest was £12568 income which was the grant money received to pay for the new windows and doors also £18388.71 under EDC which was covid grant money. Expenses showed £2758.80 for the purchase of ground material to make a car park area and £14828.10 being the payment for the Doubleglazed, windows and outside doors. Accounts audited and signed off.

With no other queries the accounts were accepted .
Setting of AGM date

The treasurer said that he would like the date of the AGM changing so that it coincides with financial year end currently showing in constitution as November. Financial period as per the Charity Commissioners is 1[st] March so 6 months on not showing true picture of how the accounts are standing. To change the AGM we need to make a resolution stating this and it will need a two thirds majority to become legal.

A report is submitted annually to the charity commission
As spring is approaching users of the hall are vacating to go outside. Any rate increase agreed then is brought into effect when users move back in or are applied to any new users on starting the agreed programmes in the hall.
Resolution
The resolution to change the AGM from November to April was put to the trustees It was agreed by all persons present that this resolution is passed and comes into effect in April 2022.
Energy report –

This came back saying not to progress the ideas forwarded as viability questionable. Hall currently has no insulation just the doubleglazed windows that have been installed. With the building being of a wooden construction any insulation has to take into consideration condensation. Options include adding insulation under the roofing sheets, covering the outside of the building with insulated sheet, adding solar panels to the roof £27K including batteries. Cladding wall externally would allow the hall to continue being used.

Grants from the lottery no need to match funding with grants at 30K but Cumbria waste Management give upto 80% grants .

It was agreed to look into getting quotes for Insulation, Solar panels and extraction fans to make the hall’s carbon footprint smaller and the hall more comfortable.

Lights on car park with a sensor to activate but this to be controlled by switch internally.

Replacement of the crockery with new mugs Dunelm being suggested but then IKEA was suggested as they have a number of options for quantity purchase. Barry/Amanda to look into.

Ventilation currently none as windows have no opening in them so restricted to opening doors, suggested adding fan to roof to increase the removal of hot air.

Looking to replace gate at front entrance possible visit to reclamation yard or approach metal worker based in Brougham Hall.

Seat to be built and inscribed using wood and sandstone in memory of John Sarginson
and his dedication to the hall and village.

Dog/Puppy training starting on a Tuesday in 6 week batches.
