PTA AGM

1. Welcome

Welcome, everyone. thanks for attending this AGM, and Peter, thank you for hosting this year.

3. Chair’s report

At the end of last year, a lot of change was forced upon the PTA as long-standing and established volunteers left their roles. There were, however, marquee new signings with a new Chair and a new Treasurer; when the first meeting of the year got underway in September, it was very well attended, with lots of new, unfamiliar faces - there was a lot of enthusiasm for might be achieved.

Autumn Term

The traditional Yr7 Activity Day was held at a new location (Green Park) this year following the collapse of the Laser tag company. Despite the PTA’s best efforts, the event was not as well attended as the year before. Positive feedback was from those who attended; everyone appeared to enjoy themselves, and we raised over £500. There were, however, some challenges with the venue on the day, and following a review, the PTA has decided to find another venue for next year’s event.

The other event we have held in the past during the Autumn term is the Wine & Cheese evening for the new Year 7 parents. This year, despite some early interest, the PTA could not find a new parent volunteer to lead this event, and therefore it did not take place – Hopefully, we can find someone, ideally a Year 8 parent(s), who might want to do this next year.

There were no other events that term. But a special mention needs to be made of the Xmas raffle; under the guidance of one of our new superstars, we raised over £1,900, which I think is certainly a record in my time on the PTA.

Spring Term

Come February, the only place to be seen is AGS PTA Curry & Quiz night. Under the expert eyes of our lead – Alex Munro, it is one of our pillar events highlighting the strengths of the PTA and our school community. I am delighted to report that this year’s event went without incident. I am sure there were a few sore heads in the morning, but with just over £2,000 raised, represents a tremendous effort from Alex and everyone who helped in the evening.

Summer Term

The summer terms mean only one thing – the Summer Fete. Last year was exceptional, and despite the weather’s best efforts, we held an event; it felt great as people came, proving it was still valued by many and far from an outdated concept. I admit to having concerns, as I thought last year’s go/no-go was made highly late.

It was made in March, and it was even later this year. My uneasiness was based on the earlier reasons - we lack core numbers and support. In addition, Sarah Johnson had taken a step back for the PTA to support her family as it was GCSE year this year. But I will forever be hugely grateful for Sarah’s re-emergence on the PTA – refreshed and reinvigorated, as this coincided with attending April’s meeting when she agreed again to take it on.

And I am certainly not understating that her intense grit and determination resulted in successfully planning and delivering another momentous event. This we had sunshine, putting an even bigger smile on everyone’s faces who were there. The PTA put on a great day, and we raised an incredible amount of money together.

As it was last year, my role was to take responsibility for the BBQ. We have a tight, well-drilled and hugely ambitious crew to ensure we connect with everyone who comes near our stand. Like last year and with a larger quantity, we sold out of beef burgers, but also, like last year, came up a little short on the sausages. Burgers with onions and cheese are a “thing”, so perhaps this is the beginning of the end for the poor BBQ sausage. I think I will be tweaking the quantities again next year, but joking aside, I would like to extend a huge thank you again – to Sarah and everyone else who played their part in another momentous event.

The fete, like all our events, means numbers. So, before I come on to the committee elections for next year, I will hand over to our Treasurer to talk more about the numbers.

5. Committee elections

As this is annual general meeting, a couple of official agenda items need to be covered. One of those is to vote for our few committee roles next year – that is, the Chair and treasurer. It would also be the Secretary if we had one!

For the past 12 months, the roles have been done by me, Damian Willingale as Chair and Colin Ward as Treasurer. We have put ourselves forward again for next year, but this needs to go for a vote. So, unless there is another else with a particularly keen interest to do either role – if there is, then please raise your hand now; this should be just a formality.

Shout-Out’s

To our lead event organisers for which so much fundraising depends - Sarah & Alex, thank you! Zoe – who is flying solo next year on the SHU, thank you!

Lizzie Kennedy – one of our new bright, shining stars, thank you for taking yourself out of your comfort zone and getting involved. The raffles are flourishing under your direction.

Phil Davies – the other new bright shining star, who looks born to pick up in Larry’s footsteps. It is very reassuring knowing you have our backs, and look forward to working with you during many events in the years to come.

Cristina Galatanu – ever preset on the monthly meetings and assisting with writing and issuing the minutes afterwards, you all but have the role of secretary – can I not interest you in accepting that? In addition, you help at the events, and we’ve worked together behind the bar and during the summer fete. Your energy and enthusiasm are infectious; thank you.

And a final shout-out to everyone on the call this evening who continues to give up precious time each month to attend the calls and support the events - Charles and everyone, thank you!

Moving on….

Finally, I would like to thank all those who will leave the PTA this year. Nicky Oakes has done a fantastic job with the second-hand uniform sales. This year, alongside Zoe Clearly, they’ve had a great year, raising over £1,300 and smashing last year’s effort. The other person who cannot be allowed to leave without a mention is our long-term bar lead - Larry Greenfield. I don’t know how many years Larry was in the role, but he organised the bar events superbly, and with just short of £600 made from PTA bar events this year, a great effort all around - we wish both Nicky & Larry well in the future.

And a special Thank You

Peter Tucker, who steps away from the PTA this year - your time and dedication to the team have been appreciated by everyone involved. You have been in the chair since 2019 and in that time, have always supported the PTA tirelessly. You have been there for me, providing sensible council, especially this year, and you will be missed by all of us, so on behalf of everyone on the PTA - thank you!

8. Closing remarks

Whilst we did not run as many events as last year, the events we did delivered some strong results. The current team has a collective punch far above their weight.

I think, in many ways, the effort this year outweighed that of last year; we have worked hard to raise money where we can support our school, and this year, against a target of £17,500, we raised just

over that amount. Therefore, given the team's current size, this is a fantastic achievement and will help many vital projects throughout the school next year.

As we prepare to wind down for the summer. It won’t be long before our attention turns to next year. We have launched our new 50/50 club, which sounds incredibly exciting.

But at the heart of it all is numbers - and need help from the wider parent community. A small PTA team has raised this fantastic amount of money. If we want to match this total next year, let alone exceed it, we will need more volunteers and will, therefore, continue to encourage as many parents as possible to step up and help make a difference in their son’s time at the AGS.

I report to the trustees on my examination of the accounts of the above charity (“the Trust”) for the year ended 31/08/2023 .

Responsibilities and As the charity trustees of the Trust, you are responsible for the preparation basis of report of the accounts in accordance with the requirements of the Charities Act 2011 (“the Act”).

I report in respect of my examination of the Trust’s accounts carried out under section 145 of the 2011 Act and in carrying out my examination, I have followed the applicable Directions given by the Charity Commission under section 145(5)(b) of the Act.
