Footscray Rugby Sports & Athletic Club

Charity Number 1090979

Trustees Report

Period ended - 31[st] December 2023

Our Aims and Objectives

Purposes and Aims

Our charity’s purpose as set out in our constitution rules are to:

The focus of our work

Our main objectives for the year continue to be the provision of playing pitches and equipment (e.g. goals) for rugby & football during the winter months, cricket & football during the summer. This year the charity’s management committee has:

How our activities deliver public benefit

The charity has been working with other organisations that provide education and sports opportunities to young people including providing rooms for classes and sports academies

Who used and benefited from our services

Principle funding sources

The charity’s primary source of revenue is from the hire of pitches. Other sources of revenue include the hire of a function room and the operation of a bar for club members.

The management committee is currently investigating opportunities to provide electric car charging points and a joint venture with another company to provide Padel facilities. Discussions will be required with Greenwich council (the charities landlord) before any commitments are made.

Grants are utilised where possible to help improve the pitches, for instance the charity is currently receiving a 3-year grant from the Football Association to improve the grass pitch surfaces and have in the past used funding from the Rugby Football Union to purchase improved equipment for cutting the grass.

Risk Management

A major review of Health & Safety at the site was performed in the year that identified a few areas for improvement, issues identified by the review were logged and an action plan implemented to clear them. All items so logged have been closed.

Staff training in terms of first aid, manual handling and fire marshals was refreshed.

Compliance with food hygiene requirements in all areas serving food and drink was checked, the high rating of 5 was maintained.

As per many small charities, there is a small staff and full segregation of duties is not always achievable. The trustees have reviewed the controls over cash and are satisfied that these are appropriate for the size of the enterprise.

Ms B Eldridge Footscray Rugby Sports & Athletic Club 239A-241 Footscray Road London SE9 2EL

Dear Ms B Eldridge

Footscray Rugby Sports & Athletic Club Accounting Period ended 31/12/2023

Please find enclosed your accounts for the Year Ended 31/12/2023.

These accounts should be reviewed carefully to ensure that it accurately records all your sources of income and details of outgoings and allowances to which you may be entitled. If you are satisfied that the accounts are complete and correct, please sign and date it where indicated. Please send the signed accounts pages back to us for submission to Companies House and HMRC.

In regards to the club it is essential that we start to split out the trading income as discussed at our meeting and we would suggest a limited company will need to be set up, with the club being the owner of the shares and at least one of the trustees being a director. This is needed due to the current set up not separating any trading profits which are liable to corporation tax. All income that is not directly related to charitable fundraising should be funnelled through this limited company and any profit made by the company will then be paid to the club as a charity contribution. This means that the company makes no profit on trading income and therefore has no corporation tax to pay. The charity contribution made by the company to the club also means the club has no income which is liable to income or corporation tax. If you need us to set the company up please let us know, once this is set up, the bank account will need to be opened and the trading started.

Vat is separate and the trading income ran through the company would mean the company would have to register for VAT just like the club. Quarterly VAT returns would then need to be submitted by the company.

In regards to the trading income that would be the bar sales, room and pitch hire, anything that generates a trading income.

Lastly please find attached our invoice for your kind attention.

If you have any queries please do not hesitate to contact us.

Yours sincerely
