King George V Playing Fields Cleeve. Trustee’s Report - The Field and Pavilion.

The running of the Pavilion continues to be jointly run between Cleeve Cricket Club and Yatton and Cleeve Football Club who are responsible for its day-to-day operation during their respective playing seasons.

Trustees

We have a committed team of 5 trustees with one resignation this year. Alice Jones continues as Chairperson, Richard Lawrence (chairs the Recreational Committee), Colin Warren is Secretary, accountant Adam Mantzos is Treasurer plus Sue Cook. Andy Gilbert stepped down and we have a vacancy to fill.

The Playing Field

The field continues to be maintained to a very high standard and the Trustees are grateful to the grounds man. Following lockdown, the children’s play area re-opened and has remained very popular with families and young children. It is maintained by “Cleeve Kids Corner” and despite no direct funding, the equipment and area are maintained to a good standard as reflected in the annual health and safety inspection carried out on behalf of the NPFA.

Coronavirus

Lockdown has seen more footfall of residents and locals taking in the grounds as part of their daily walking circuits. The village of Cleeve is very fortunate to have such a large field of green open space and established trees for all to admire and contemplate. When acknowledging new and familiar faces in a socially distanced manner, the community has benefited from a new sense of camaraderie and appreciation of where we live, bringing everyone together. However, with the COVID-19 lockdown, the football season went unfinished, and the cricket season was cancelled. Under government guidelines, the children’s play area had to close for a period of time.

The Clubs suspended their payments to The Trustees. Immediately, the Trustees shut down and secured the facilities to minimize financial outgoings and took a payment holiday on the finance for the tractor.

Fund Raising and Grants for the Pavilion and Playing Field

The National Grid grant came through at the end of July 2020. Whilst the Pavilion could not legally open, the Trustees took the opportunity to proceed and completely overhaul the interior ready for the new football season. During lockdown, we were delighted to be eligible and qualify for several COVID-19 grants from North Somerset Council. This generosity has secured the immediate future of the playing field and facilities and financed the day-today expenditure.

The Trustees were extremely grateful for this financial support which saw us through such a critical time. This has allowed time to review and discuss future payment plans with the clubs and to balance the books going forward.

The Clubs

The clubs themselves had very little income during this period and had to cease playing until such time that the government and their affiliations issued guidelines to allow them back to playing competitively. Yatton and Cleeve FC now field 3 teams rather than 4 - 2 teams play across Somerset County Leagues and 1 team plays in Weston District Football League. They now share their playing time between here at Cleeve with the Pavilion currently their main base on match days and the council funded Hangstones pitches at Yatton. Very few players reside within Cleeve itself living within 3 miles in Claverham and Yatton. They are struggling for committee members and have little appetite to run the Pavilion.

The Cricket Club this season introduced the All-Stars program for 4–8 year old’s. An initiative promoted by the ECB with great success attracting 45 children. Under government guidelines, the 2 Senior teams were keen to play friendly matches this season with players having to bring their own teas. The Youth Section with U11, U13 & U15 teams were kept busy. The pavilion was allowed to re-open under strict socially distanced covid guidance. The Tennis Club continues to offer junior coaching and attracts an adequate level of membership.

Objective for the next year

The Trustees continue to re-negotiate all outgoings on behalf of the clubs – from rubbish collection to utilities, installing time clocks, thermostats, etc. and the clubs are asked to minimize all outgoings collectively. The strict operating and maintenance budget is shared with the clubs and will remain challenging in the current climate. The football club are showing little interest in running the Pavilion for the next season. From September to April there are 3 skittle teams that want to use the Pavilion. The Trustees are acutely aware that to close the Pavilion is not an option and need to find a way to cover costs and keep it open.

Any new plans?

The Pavilion to become more of a community asset with regular events to secure its financial security for the longterm and benefit all. Long term, looking at viability of adding solar panels to the roof.

I report to the trustees on my examination of the accounts of the above
charity (“the Trust”) for the year ended 30/ 09 / 2021.
As the charity's trustees, you are responsible for the preparation of the
accounts in accordance with the requirements of the Charities Act 2011
(“the Act”).

I report in respect of my examination of the Trust’s accounts carried out under section 145 of the 2011 Act and in carrying out my examination, I have followed all the applicable Directions given by the Charity Commission under section 145(5)(b) of the Act.
