I report to the trustees on my examination of the accounts of the above charity (“the Trust”) for the year ended DD / MM / YYYY .

Responsibilities and As the charity's trustees, you are responsible for the preparation of the basis of report accounts in accordance with the requirements of the Charities Act 2011 (“the Act”).

I report in respect of my examination of the Trust’s accounts carried out under section 145 of the 2011 Act and in carrying out my examination, I have followed all the applicable Directions given by the Charity Commission under section 145(5)(b) of the Act.

King George V Playing Fields Cleeve. Trustee’s Report - The Field and Pavilion.

The Pavilion continues to be jointly run between Cleeve Cricket Club and Yatton and Cleeve Football Club who are responsible for its day to day operation during their respective playing seasons.

Trustees

We have a committed team of 6 trustees with no changes this year. Alice Jones as Chairperson, Richard Lawrence (chairs the Recreational Committee), Colin Warren is Secretary, accountant Adam Mantzos is Treasurer plus Andy Gilbert and Sue Cook.

The Playing Field

The field continues to be maintained to a very high standard. The Trustees are grateful to the groundsman. The children’s play area is maintained by “Cleeve Kids Corner” and remains very popular with families and young children. However, it legally had to close and cease use during lockdown. Despite no direct funding, the equipment and area are maintained to a good standard as reflected in the annual health and safety inspection carried out on behalf of the NPFA.

Coronavirus

Lockdown has seen more footfall of residents and locals taking in the grounds as part of their daily walking circuits. The village of Cleeve is very fortunate to have such a large field of green open space and established trees for all to admire and contemplate. When acknowledging new and familiar faces in a socially distanced manner, the community has benefited from a new sense of camaraderie and appreciation of where we live, bringing everyone together. However, with the COVID-19 lockdown, the football season went unfinished and the start to the cricket season was cancelled. The Clubs suspended their payments to The Trustees. Immediately, the Trustees shut down and secured the facilities to minimize financial outgoings and took a payment holiday on the finance for the tractor.

Fund Raising and Grants for the Pavilion

Further refurbishment has continued with new automatic humidity sensors on the roof fans fitted and for the disabled access to be re-built. The National Grid grant application was a success and the £19,000 came through at the end of July 2020.

Whilst The Pavilion could not legally open through lockdown, we took the opportunity to proceed and completely overhaul the interior ready for the new football season. This included re-decoration with new flooring, plus new seating, tables and chairs and comfy leather sofas. We were also able to refurbish the area behind the bar with new flooring, stainless steel washing facilities, etc. Works have been carried out by local contractors, with the labour provided personally by the trustees and volunteers.

We were delighted to qualify for a £10,000 COVID-19 grant from North Somerset Council. This has financed any immediate day-to-day expenditure whilst we discuss a future payment plan with the clubs. We were extremely grateful for all of this support.

The Clubs

Yatton and Cleeve FC continue to support 4 teams and are working closely with Yatton Junior Football Club to bring the younger players through into the men’s game. They now share their playing time between Cleeve and Hangstones Yatton although the Pavilion at Cleeve is currently their main base.

The Cricket Club this season has been cancelled with no junior cricket at all with the club following ECB advice. The Tennis Club continues to offer junior coaching and attracts an adequate level of membership.

Objective for the next year

With the Pavilion fully refurbished, the clubs will be encouraged to open the bar on a more regular basis which in turn should encourage more social members to enroll and increase overall use the pavilion by the whole community (skittle teams, darts and pool players, etc) generating continued financial stability afforded by the shared bar operations. The clubs will be encouraged to minimize the outgoings and for them to contribute with the internal improvements by providing a new sound system, purchase TV screens, etc.

The Trustees continue to adhere strictly to their forward operating and maintenance budget, which is shared with the clubs and will remain challenging in the current climate.

Any new plans?

Post lockdown, we are keen to make The Pavilion more of a community asset and this will secure its financial security for the long-term and benefit all. We are looking at re-wilding parts of the grounds and residents have already offered to plant bulbs and a tree to encourage even greater biodiversity. We are also in discussions with a local company with regards to installing solar panels to the roof.
