ANNUAL REPORT OF VERYAN PARISH HALL MANAGEMENT COMMITTEE FOR THE YEAR 1st JULY 2021 - 30th JUNE 2022
1. Establishment
Veryan Parish Hall Management Committee was established in June 1999 by the Veryan Parish Council to administer the former British Legion hall, which the Parish Council had secured for use as a parish amenity. A Trust Deed for the administration of the hall was completed in May 2001 and charitable status was awarded in August 2001.
2. Objectives
The objects of the organisation are to ensure that the property known a Veryan Parish Hall, and its funds and income, 'shall be applied for the purposes of a village hall for the use of the inhabitants of the parish of Veryan without distinction of sex, sexual orientation, age, disability, nationality, race or political, religious or other opinions, including the use of the property for meetings, lectures and classes or other forms of recreation and leisure time occupation in the interests of social welfare and with the object of improving the conditions of life for the said inhabitants'.
The objects are achieved through management committee representation of parish organisations and of independent members elected by parishioners at the Annual Meeting; through refurbishment and maintenance of the premises to provide a suitable venue for a range of events; and through the hiring of the premises to a wide variety of groups and organisations and the provision by the management committee of social and cultural events open to all.

5. Management
All members signed the declaration of acceptance of office and willingness to act as a charity trustee, in accordance with Charity Commission requirements. The existing subcommittees [finance and refurbishment] were confirmed to be reconvened when necessary. Julie as chairman has continued to be an inspiration for committee members and ensuring that the continuing measures / changes needed to make the hall a viable community commodity are continued.
Colin Rees was again co-opted as property manager to look after the maintenance of the building,
A sub- committee has been set-up to deal with the major aspects of building renovations and looking into grant applications to get these projects off the ground.
Kath Walker is the lead person looking into grants towards the renovations that we have highlighted as needed doing.
6. Information
While some matters discussed at management committee meetings are necessarily in confidence, it has always been the committee's policy to make public as much as possible of its decisions and activities as are compatible with necessary confidentiality. Accordingly, representatives of user groups on the committee are expected to report to their organisations.
7. Use of the Hall
The Hall is licensed as a place of public entertainment and holds a stage play license. All functions are therefore required to comply with the regulations which accompany the award of these licenses.
The licenses have been obtained from Cornwall Council, which means that no alcohol can be served at an event without temporary events notice.
We have not been able to bring any 'Cam to Cove'[Arts Council Supported] performances which consists of artists of local, national, and international standing to the hall in this past year.
Our community / fundraising events this year consisted of a Reopening event to show off our lovely, renovated hall. We hosted a fundraiser for a Ukrainian charity by a local band which was very successful and a Murder Mystery Evening.
The hall has been used 130 times over the past year including both the hall and the committee room. Users were cautious to start meeting once again due to the pandemic and then we were closed from December to March
8. Improvements
The drainage outside to aid with the underground damp has been completed along with the new roof and emergency repairs to the floor. Sadly, the internal works had not been done as scheduled due to the pandemic and the difficulty of getting ahold of materials. Due to the scarcity of materials the cost had also risen. It was decided to buy the materials before the internal works could start and store to save money in the long run.
More grants had to be applied for to cover this increase in costs.
The Internal works commenced on the 6[th] December and finished by March 2022. The old cladding was removed, and insulation attached to the walls. A new floor was laid, and wooden cladding put back up and the walls were painted. New heating was installed and a new boiler. The parish Council gave us a grant which helped with the increase in costs.
It is a tradition that when renovations of this scale take place that somewhere the builder’s signature is placed within the works. A signature was found on a floorboard to be taken up, but was incorporated once again, from the last builder, Mr Cyril Channon who sadly is no longer with us and so to keep up this tradition, our current builder Chris Clark got the school children to sign a floorboard and dated it before being put into place.
With the hall finished a rearrangement of furniture ensured that the hall stays looking fresh and spacious. The lockers have moved from the storage room to the committee room so the tables can go into the storage room. The staging is now also in the committee room, only the chairs remain in the hall.
9. Development plans
It is hoped to get wi-fi into the hall, to be able to operate the heating and for our users. Enquiries are being made to get an online booking system in place during the coming year.
When the hall was renovated the old hearing loop system, which was not working, was taken out. We expect to replace this over the coming year.
10. Thanks are due to all members of the committee and to all of those who help at events and with fundraising, and of course to all the people of our parish who have supported our endeavours.
