Structure, Governance and Management

The Charity is governed by its Constitution which was adopted on 15 May 2000.

At the AGM the secretary and treasurer are elected along with the hall managers and then those wishing to stand on the committee are elected from those members who are present. At the first committee meeting after the AGM the committee members elect a chair for the year.

The Longwood Village Group committee meets every month to discuss matters of general concern, to plan events and decide how funds will be spent.

The Longwood Sing group have their own Chair, Secretary, Treasurer and Committee and deal with all things regarding the Annual Longwood Sing. The Chair of the Longwood Sing Committee attends the Longwood Village Group committee meetings and reports on matters concerning the organisation of the Longwood Sing.

The LVG Memory cafe has its own bank account, committee and volunteers and reports each month to the LVG Committee.

Aim and Purpose

The constitution of Longwood Village Group (LVG) states that it exists to improve the condition of life for the inhabitants of Longwood and the surrounding area, without distinction of sex, race or of political, religious or other opinions, through the provision of educational activities, recreational activities and leisure time occupation in the interests of social welfare.

It also states that in furtherance of these aims it will secure the establishment of a community centre and will manage and maintain it in cooperation with any local authority or other person or body.

Finally, LVG will promote such other charitable purposes as from time to time may be determined.

Objectives and Activities

LVG is committed to enabling as many inhabitants as possible of Longwood and the surrounding area to participate in educational, recreational and leisure time activities that improve health, wellbeing and the quality of life.

LVG arranges and provides either alone or with other bodies and organisations, the holding of meetings, talks, classes and training courses. When planning these activities, the LVG committee and trustees have considered the Charity Commission's guidance on public benefit and does everything it can to ensure that the activities it provides are affordable, accessible, appropriate and safe.

LVG holds in trust for the people of Longwood, The Longwood Mechanics Hall, and maintains, manages and improves the fabric of the building so as to provide a community centre for use by the local inhabitants.

LVG also holds in trust approximately 25 acres of local woodland (Pighill Wood) which forms the focus of a Woodland Conservation and Heritage Improvement Project (Woodchip project) and through training and volunteer work deems to protect and manage the woodland for the benefit of both wildlife and the local residents.

Achievements and Performance

We feel that the COVID-19 Pandemic has now been confined to history and that we have returned to normality and are back to enjoying life in a normal and active way.

Longwood Village Group held its first coffee morning of the 2024/2025 financial year on April 6th with the theme of "Bunnies and Butties". We had bacon butties on sale, Kirk, from Longwood Gardens, selling bedding plants and we had an Easter Egg hunt for the children and a tombola table with lots of prizes raising money to support our Memory Cafe. There was our usual cake stall and raffle and, as at all our coffee mornings, our library was open for the sale of books and novels, and we were also selling jigsaws.

The May 5[th] coffee morning had a theme of the four Cs (Coffee, Cake, Cookery and Crafts) featuring the usual coffee and cakes plus a sale of cookery and crafting books. Kirk also attended selling spring plants from Longwood Gardens, the library was open for the sale of books and novels, and we had our usual raffle and jigsaws for sale.

This year's Annual General Meeting was held on Friday 31[st ] May at the Mechanics Hall at 7.30pm. Reports and accounts for the 2023/2024 financial year were presented and accepted as a true record. All the serving officers of the Group were re-elected to their posts, and all the committee members were re-elected to serve for another year. Attendees were invited to join the committee for cheese and wine at the conclusion of the meeting.

The June 1[st] coffee morning saw us serving up scones with strawberries, jam and cream, Kirk from Longwood Gardens had a plant stall again and we had the ever-popular cake stall, raffle, and sale of books and jigsaws.

The July 6th coffee morning was themed around the fact that The Olympic Games were being held in Paris and that Team GB would be attending. The cake stall had an international flavour, Kirk from Longwood Gardens had a flower stall and we had the usual attractions of a raffle plus jigsaws and books were on sale as usual. Flyers were put out on all the tables announcing the various classes for the Horticulture, Handicraft and Art show which will be held in September.

The August 3[rd] coffee morning had a beach party theme and everyone was invited to attend in summer clothing again Kirk had a stall selling cut flowers and we also had a raffle with holiday themed prizes and as usual our library room was open for the purchase of books and novels and we had jigsaws on sale.

The Horticultural, Handicraft and Art show took place on Saturday 7[1] h September with entries being registered at the Hall on Friday evening September 6th between 4.00 pm and 8.00 pm, at a cost of 50p per entry. There was a total of 80 entries to the show.

Kirk from Longwood Gardens had a stair again selling cut flowers and there was the usual cake stall and raffle. There was a good turnout of residents who came to see all the entries and the winners' prize giving. The September coffee morning also coincided with Kirklees Heritage Open days, so we also had a display out in the hall showing a history of the hall and its re-development and refurbishment to the community centre that it is today.

The October 5[th] coffee morning's main feature was Graham's fabulous bacon and/or sausage butties to go with the usual teas and coffees. Kirk from Longwood Gardens had a stall selling cut flowers and we had our usual raffle. The library was open for the purchase of books and novels and we also put out an appeal for donations for the Jubilee Centre food bank for items to be distributed out to those in need or to be used in the provision of free meals at the Jubilee centre.

The November 2[nd] coffee morning saw a really good attendance at our Christmas stalls coffee morning, where we had a wide variety of stalls selling Christmas Cards, and suitable Christmas gifts. LVG ran its own sale of donated pre-loved items, The Pennine Singers ran a bottle and jar tombola to raise funds for their choir and a sale of handcrafted goods raised money specifically for the Longwood Village Group Memory Cafe.

December 6[1] h was our special Christmas coffee morning with mince pies on sale with the teas and coffees our fabulous Santa's Grotto was on stage again. We had stalls selling Christmas Cards and gifts and a total of 12 children visited Santa outside his grotto and received a small Christmas gift. One of the stalls was a tombola stall raising money for the Memory Cafe. Tina made some beautiful Christmas table decorations which were available to purchase It was good to see the Hall so full of happy, smiling faces!

The January 4[1] h, 2005 coffee morning we had Graham's bacon butties on sale and we had our usual cake stall and raffle we were also selling books and jigsaws.

The February 1[1][1] coffee morning was advertised as a half price giant book and jigsaw sale whilst there were also all our usual attractions of the raffle and cake stall.

The March 1[1][1] coffee morning had no particular theme but offered all the usual attractions of tea, coffee, cake stall, raffle and sale of books and jigsaws.

On November 10th, members of the LVG Committee attended the service of remembrance at the war

memorial. On 3[rd] December, members of the committee gathered at Outlane Golf Club to enjoy Christmas

Dinner.

On 22[nd] December members of the Committee attended the Carol Service at St Mark's Church where the Chairman gave one of the readings along with other members of the local community.

The Mechanics Hall

The Mechanics Hall provides the venue for a broad selection of activities that will appeal to a cross section of the local population, below is listed the range of activities currently on offer:

These activities take place every week except for Public Holidays but there are always vacant periods that allow for the hire of the hall for one off events and private functions. In the past we have had several children's birthday parties, special celebration events and even funeral teas in the hall. The Hall is hired out at a very competitive rate to the organisers of these activities as a means of raising capital for running costs and the upkeep and improvement of the building and the facilities.

Events and Activities

Throughout the past year, Longwood Mechanics Hall has continued to serve as a vital community hub. We hosted a variety of events with local theatre companies, including Huddersfield Thespians and St Mark's Players.

On March 20[th] a comedy evening was held at the hall with a special guest appearance by Jack Caroll, who first appeared on TV as a contestant on Britain's Got Talent and now appears regularly on Coronation Street playing Bobby Crawford.

St Mark's players presented their annual LAFTAS show, this year entitled "The Whistle Stop World Tour" from the 2[nd ] to the 6[th ] of October.

Professional Entertainer Sandy Smith appeared again at the hall this year on the 8[th ] of November, this time she was accompanied by a colleague, and they presented their show "Shout out to the 60's".

December 11[1h] to 14[th] Huddersfield thespians were at the hall with "Comedy Crackers" and they were back in March 2025 when they put on their production of "Lady in the van."

These performances not only provide entertainment but also strengthen our community connections. At this time, we have no plans to collaborate with additional theatre companies to minimize disruption for our regular hall users.

Maintenance and Improvements

Several improvements have been undertaken to ensure the hall remains welcoming and functional. Key achievements include:

Community Involvement

Our hall thrives thanks to the dedicated support of community members. Volunteer hours have been instrumental in the success of our activities, and we are extremely grateful to all who have contributed their time and effort.

Financial Overview

Despite challenges, particularly the ongoing rise in energy prices, we have managed to maintain a stable financial position, allowing us to continue investing in the hall's upkeep and services.

Plans for the Future

Looking ahead, we have several exciting plans.

Upcoming Events

St Mark's Players will be putting on their 2025 show in October.

We are working with One Community Kirklees to potentially host an event in September, with a grant application currently under review.

Professional singer Sandy Smith will be appearing at the Hall in November with two of her colleagues and they will be entertaining us with Northern Soul and Motown songs.

Acknowledgements

A huge thank you, to the committee members, volunteers, and community supporters who make the operation of Longwood Mechanics Hall possible. Your dedication and hard work ensure the hall continues to be a cherished and essential part of our community.

We are always looking for new activities that would add to the attraction of our programme.

We should take pride in this Hall, the fact that it's owned by every resident in Longwood (16,764 people). As we continue to seek funding for major refurbishment it is essential that we expand the membership of the Longwood Village Group as the more members on the list, the more this helps us to gain funding for the hall.

Other Activities of Longwood Village Group

Woodchip Project

On a few occasions a few coping stones have been dislodged from parts of the walls, and we try and ensure that these are replaced as soon as possible.

Litter is a continuous problem as is the occasional camp and campfire but regularly walking through with a bin bag in hand, and with the help of others who do the same, we manage to keep on top of this problem.

The woodland is currently looking in better health, with beds of ransoms slowly spreading and the beds of bluebells and pink purslane are becoming more numerous.

The top set of steps from the golf course through the woodland have now been taken up and relayed and a fair section of wall that was severely bowed has been taken down and rebuilt.

A large tree that came down in the spring right across the main track has been sawn up and stacked out of the way by Barney and Ian. Another extremely large tree has come down at the bottom of the wood near to the well in the field above the reservoir we need to consider whether the removal of this tree is necessary and within our capabilities.

We are planning on planting some wild primroses at selected sites in the woodland over the coming years and we are still bringing on a number of oak trees for planting in the wood. We have asked regular walkers to contact us immediately if they witness any abuse or inappropriate behaviour in the woodland.

Recently the secretary of Outlane golf club got in touch to say that the branches of the trees that overhang the edge of the golf course were in desperate need to be trimmed back. The project leaders met with the secretary and the green keepers and a schedule of work was agreed. This work has now been completed and both parties are extremely pleased with the results.

Longwood Sing

The 2024 Longwood Sing was held on Sunday 8[th ] September. Musicians involved were Golcar Band, St John's School, Crow Lane School and Moorlands School. This year's Musical Director was Peter Simons, from Musica Kirklees. The guest speaker was the Archdeacon of Halifax, the venerable Bill Braviner (Church of England. The 151[st] anniversary of the Sing was also a sad day as our long-time President, Dr Bert Jindal, had recently died; we held a minute's applause in his memory.

The Sing programme included; 0 when the saints go marching in, Autumn days, The Longwood Sing song (written by Moorlands School), Jerusalem (Dr Jindal's favourite hymn), Our eyes have seen the glory(Glory, glory hallelujah!), the Hallelujah chorus, the National Anthem, and pieces from the schools.

Prizes were awarded to the winners of the schools' poetry competition. To honour Bert's memory, the charity was the National Autistic Society, to whom we donated £300.

The Longwood Sing is known as "The Mother of all Sings" and back in 1893 the whole hillside would have been covered with the 5000 people who attended. In 2024 the Sing was held in St Mark's Church, which was filled to capacity (although rather fewer than 5000 people!).

As usual the Sing was followed by refreshments in St Mark's Parish Centre.

The Longwood Sing Committee comprises of Fr Simon Crook, Cir Andrew Marchington, Peter Simons, Paul Couchman and James Bex. Our historian is Chris Marsden. We would welcome new members with the skills, experience and time to support this historic community event.

Many thanks to Susan Sechi, who has been secretary of the Longwood Sing for a number of years, and who has now retired from that role.

Longwood Village Group Memory Cafe

The memory cafe, now in its second year at the hall, provides a familiar, safe and stable environment in which dementia sufferers and their carers can enjoy a freshly prepared meal and be involved in crafting and other stimulating activities. The customers are supervised by their carer and/or by trained and qualified staff and enjoy the support of specialists from Kirklees Council.

There are usually games of Bingo before the lunch and various mentally stimulating books, magazines and games available to use.

The cafe is well supported financially by LVG and other organisations that use the hall on a regular basis and is supported by a small band of volunteer staff that the customers are familiar with. On two occasions during the year, the "Memory Lane Singers" have attended the cafe and after the meal they have entertained everyone with songs from the 1950s and 1960s, Abba songs and other songs that everyone knows and that everyone can join in and sing and dance.

There has been one great concern during the year, while preparing the accounts for presentation at the AGM in May, the LVG treasurer noticed that there were some anomalous subscription payments that had been taken from the LVG memory cafe account on a regular basis since March 2024.

These subscription payments were for Amazon Prime, Amazon Video, Amazon ad free and a company called Yezspot and they had all been set up on the same one of the three cards that were linked with the account.

The Trustees of Longwood Village Group were appraised of the situation and investigations by the treasurer with help and assistance from Lloyds Bank and Simpson Wood (our accountants) identified one of two possibilities either:-

  1. A fraudulent third party had managed to access the account and had set up these subscriptions.

  2. The users of the account card had fallen into the trap of inadvertently setting up these subscriptions without realising what they had done. (This is apparently a common error due to modern online business practises of having these offers as the default option on their purchases)

Whichever is the situation, the actions to be undertaken were set out as follows:-

  1. The company Yezspot was contacted via an online chat, and a request was made to cancel the subscription immediately.

  2. The user of the Amazon account logged in to their account and cancelled the Amazon Prime subscription with immediate effect.

  3. Lloyds Bank were informed of the situation, and the offending bank card was cancelled, and a request was made for a new card to be issued.

  4. Changes to the way that the bank statements are checked have been initiated to ensure that any anomalous or fraudulent payments are noticed sooner.

  5. The users of the other cards linked to this account were made aware of the possibility of this happening again and were asked to ensure that they were extremely careful when ordering anything online so that they did not fall into the trap.

  6. The fraud department at Lloyds Bank were contacted by telephone and the situation was explained to them, after investigation they re-credited £787.71 to the account which they identified as having been fraudulently debited from the account.

As these issues were discovered at the time of the AGM and the financial year end, the refund and recovery will appear in the accounts of the 2025/2026 financial year.

The Trustees declare that they have approved the Trustees' report above.

Independent Examiner's Report to the Trustees of Longwood Village Group

I report on the accounts of the Trust for the year ended 31 March 2025, which are set out on pages 7 to 10.

Respective responsibilities of trustees and examiner

The charity's trustees are responsible for the preparation of the accounts. The charity's trustees consider that an audit is not required for this year under section 144(2) of the Charities Act 2011 ("the Charities Act") and that an independent examination is needed.

Having satisfied myself that the charity is not subject to an audit and is eligible for independent examination, it is my responsibility to:

Basis of independent examiner's report

My examination was carried out in accordance with the General Directions given by the Charity Commission. An examination includes a review of the accounting records kept by the charity and a comparison of the accounts presented with those records. It also includes consideration of any unusual items or disclosures in the accounts and seeking explanations from you as trustees concerning any such matters. The procedures undertaken do not provide all the evidence that would be required in an audit, and consequently no opinion is given as to whether the accounts present a 'true and fair view' and the report is limited to those matters set out in the statement below.

Independent examiner's statement

In connection with my examination, no matter has come to my attention:

(1) which gives me reasonable cause to believe that in any material respect the requirements:

have not been met; or
