REPORT OF THE TRUSTEES

FOR THE PERIOD ENDED 19 OCTOBER 2021

The Trustees have pleasure in submitting the Report and Accounts for the period ended 19 October 2021 for Portchester Free Church Trust [PFCT].

Objects of the charity

The charity, which is a church, is governed by a trust deed. The Trust seeks to demonstrate the Christian faith in action by serving the local and wider community as a church.

Summary of the charity's main activities and achievements

With Sunday worship at the Community Centre suspended from March 2020 members had commenced prayer and communion services in their own homes and this continued until July 19th when we started the Sunday “Zoom” meetings. These meetings have continued throughout the year. They have proved to be popular with folk; shorter services with the preacher at the beginning rather than later. Lucasz contributed to the worship throughout these meetings, and we thank him for his ministry. In addition, Thursday prayer meetings have been “Zoomed” for some time now. The carol service was also celebrated on ”Zoom”. It all felt very surreal but was nevertheless much enjoyed.

Sadly, house groups were suspended all year and the AGM was also cancelled.

With no opportunity for physical get together Kathy decided to run some quiz evenings on a Friday. They became an instant success and eight such evenings took place. They were wide ranging in content including maps of Portsmouth, London, and general knowledge with picture rounds!

Other events also took place as restrictions were lifted such as meeting for prayer on Dore Avenue playing fields, Praise in the Precinct a couple of times and a tabletop craft sale for Mission Guatemala in the Snowden’s garden during December.

We have always received regular updates from the supported missionaries in Guatemala and their monthly newsletters can be found on their website http://www.missionguatemala.co.uk. In August 2021, Mission Guatemala became a registered charity in its own right (registration number 1195621).

In planning the activities the Trustees have applied the guidance on public benefit issued by the Charity Commission.

Financial review

During the year income increased by £39,600, to £158,200, and expenditure increased by £40,500, to £160,300. As a result the cash held by the charity decreased by £2,100, to £4,200 which is all restricted for Mission Guatemala.

Going concern

The Trustees met on July 6th 2020 to discuss the church’s continuing charitable status. The number of Church members eligible to claim gift aid had dwindled over the years thus making it of little value and the regular giving to the church had also reduced significantly this year due to Covid-19 restrictions, however, over the years the Mission Guatemala duties had increased. A unanimous decision was made by the Trustees to close the charitable status once Mission Guatemala arrangements had been finalised, which was done in August of this year when they registered as a separate charity.

The charity's items of equipment have all been disposed of with the proceeds being shown in the accounts. The church bank account is to be closed with remaining funds granted to the new Mission Guatemala charity [1195621] which the church has supported for a number of years. The remaining church liability will be met by Mission Guatemala.

Governance

Responsibility for setting policy and for making operating decisions rest with the trustees who meet regularly to monitor the activities of the charity. New trustees are recruited and appointed by the existing trustees.

Responsibilities of trustees

Charity law requires us as Trustees to prepare financial statements for each accounting year which record the receipts and payments of the charity for the year.

We are responsible for keeping proper accounting records which disclose with reasonable accuracy at any time the financial position of the charity and enable us to ensure that the financial statements comply with the Charities Act 2011.

We also have a responsibility to safeguard the assets of the charity and to take reasonable steps to prevent fraud or any other irregularities.

TO THE TRUSTEES OF

PORTCHESTER FREE CHURCH TRUST

I report to the trustees on my examination of the accounts of Portchester Free Church Trust ('the charity') for the period ended 19 October 2021 on pages 5 to 7 following.

Responsibilities and basis of report

As the trustees of the charity you are responsible for the preparation of the accounts in accordance with the requirements of the Charities Act 2011 (‘the 2011 Act’).

I report in respect of my examination of the charity’s accounts carried out under section 145 of the 2011 Act and in carrying out my examination I have followed all the applicable Directions given by the Charity Commission under section 145(5)(b) of the 2011 Act.

Independent examiner’s statement

I have completed my examination. I confirm that no material matters have come to my attention in connection with the examination giving me cause to believe that in any material respect: 1. accounting records were not kept in accordance with section 130 of the 2011 Act; or

  1. the accounts do not accord with the accounting records.

I have no concerns and have come across no other matters in connection with the examination to which attention should be drawn in order to enable a proper understanding of the accounts to be reached.

NOTES TO THE ACCOUNTS

1 Accounting policies

The accounts have been prepared on a receipts and payments basis and comprise a statement that shows the charity's receipts and payments, a statement that summarises the charity's assets and liabilities and related notes. The accountancy profession have determined that only accounts prepared in accordance with applicable accounting standards present a 'true and fair' view and, as these receipts and payments accounts have not (and cannot) be prepared in accordance with accounting standards, these accounts do not present (and are not intended to present) a 'true and fair' view of the charity's financial activities and state of affairs.

General funds are unrestricted funds which are available for use at the discretion of the trustees in furtherance of the general objectives of the charity. Designated funds comprise unrestricted funds that have been set aside by the trustees for particular purposes. Restricted funds are donations which are to be used in accordance with specific restrictions imposed by donors; they include donations received from appeals for specific activities or projects.

The Trustees have assessed whether the use of the going concern basis is appropriate and, in light of the decision made July 2020 to wind up the charity, the charity can no longer be regarded as a going concern.
